Getting started with QuoteCloud

Education and training questions, answered

Pricing per seat, forms in documents, several signers, deposits and integrations.

This page answers the questions education businesses ask about QuoteCloud: pricing per participant and per cohort, delivery choices, forms inside documents, parents and students signing, deposits and full payment on signing, term charges, licence quotes and expiry, and connecting an LMS or CRM through Zapier, Make or the API.

Pricing, seats and proposals

Can we price a training program per participant?

Yes. Put tuition on a price-table line with the seats as the quantity, and switch on quantity editing for that line so the client can change the number of seats before signing. Add a per-cohort setup fee and per-participant add-ons, and the totals and the deposit follow. Price tables are on Essentials and up.

Can clients choose in-person, virtual or blended delivery?

Yes. Offer the delivery modes as a single-choice group, each with its own price per participant. The client picks one in the proposal, and the tuition line in the price table follows the choice at the number of seats quoted.

Can we show learning outcomes and modules in the proposal?

Yes. Add them as content blocks, saved in the content library so every proposal uses the same wording. A table can show each module's delivery and hours, and on the Business plan a Gantt chart can show the program schedule with milestones.

Can a school licence quote have an expiry date?

Yes. Give the quote an expiry date, and the Expiring Soon filter lists the quotes that are close to it. The licence term goes in the quote's terms. Nothing renews by itself: next year's licence is a new quote that you send.

Can we send the same offer to many families or clients?

Yes. Bulk send sends one template to many recipients, each copy personalised with data items such as a student's name and subject. Each recipient chooses, signs and pays in their own copy, and you see who has opened and accepted. Bulk send is on Essentials and up, with volume-based costs.

Forms and signing

Can a registration or consent form sit inside the document?

Yes. The Forms block puts questions inside the document, such as participant details, dietary needs or a parent's consent, and the recipient answers them before signing. The answers stay with the signed document. The Forms block is on the Business plan; it's a form inside the document, not on your website.

Can parents and students both sign?

Yes. Add a signature block for each signer, such as a parent and a student, or a school's business manager and principal. Each signs from their own email link or in person on your device, with no account needed. eSignatures are on every plan, including Free.

Are QuoteCloud eSignatures legally binding?

QuoteCloud eSignatures are legally binding and eIDAS compliant. Each signed document carries a certificate of authenticity and an audit trail, and you can ask signers to enter a one-time passcode sent by email before they sign. eSignatures are included on every plan, including Free.

Is QuoteCloud suitable for accredited training providers?

QuoteCloud sends your proposals, registrations and agreements, collects signatures and takes payment on signing. It doesn't manage accreditation, compliance reporting or student records. Any accreditation wording in your documents is your own content, written into your templates. Use it for the commercial side: quoting, registering and getting paid.

Deposits, fees and purchase orders

Can we take a deposit or the full fee when a client signs?

Yes. Connect Stripe or PayPal and set the payment on signing as a percentage, a fixed amount or the full fee. The client pays straight after signing, and the document is marked Paid. Payments are on the Essentials plan and up.

Can we show tutoring fees for every term?

Yes. Show each term's dates and fee in the agreement as repeating charges, so the family agrees the year. Only Term 1 is paid in QuoteCloud, on signing. You invoice the later terms yourself; QuoteCloud doesn't bill them and has no instalments or reminders.

Where does a purchase-order number go?

Into the document as a data item. Your team types it in, or your own system sends it through the API or Zapier when the document is created. It stays in the signed copy for your finance team. QuoteCloud doesn't create purchase orders or invoices.

Does QuoteCloud invoice the balance?

No. QuoteCloud takes one payment on signing. The balance is invoiced from your accounting software. Xero and QuickBooks Online are native integrations on Business, otherwise they connect through Zapier, which can start a step when a Document Payment Event fires, if you set it up.

Integrations and your data

Does QuoteCloud integrate with our LMS?

Not natively. An LMS or student system connects through Zapier, Make or the QuoteCloud API, where it has a connector or an API. For example, a signed proposal can start a zap that adds the cohort in your LMS. Zapier, Make and the API are on the Essentials plan and up.

Does QuoteCloud keep student records?

No. QuoteCloud keeps the documents you send, with their signatures and any Forms block answers. Student records, attendance and results stay in your LMS or student system, and Zapier, Make or the API can pass details from a signed document there.

Which CRMs and accounting tools connect?

HubSpot and Zoho connect through Zapier, and Pipedrive is native on the Business plan. Xero and QuickBooks Online are native on Business, otherwise through Zapier. Other systems can connect through Zapier, Make or the API where they have a connector or an API.

Can our team get updates in Microsoft Teams or Slack?

Yes. Microsoft Teams and Slack can receive alerts for document updates, comments and actions. Inside QuoteCloud, tracking and notifications show your team when a document is opened, and each document's activity records signatures and payments. Set up the alerts once for the whole team.

Plans and getting started

Is there a free trial?

Yes. Essentials and Business start with a 14-day free trial, with no credit card. One template conversion is free during the trial. The Free plan stays free for one user, with two documents a month and eSignatures. Paid plans also include a 45-minute training session for your team.

Which plan does an education business need?

Essentials ($39 per user a month, USD) covers price tables, the product catalogue, templates, payments, bulk send, tracking, Zapier, Make and the API. Business ($59) adds the Forms block, Gantt charts, approval workflows, content locking, version history and native CRM and accounting integrations.

Is there a fee for documents created through the API or Zapier?

Yes. Documents created through the API or Zapier cost US$2.00 each for up to 1,000 a month, US$1.80 for 1,001 to 5,000 and US$1.60 above that. No per-document fee is stated for Make. Zapier, Make and the API are on Essentials and up.

Does QuoteCloud write proposals with AI?

Not by itself. On the Business plan, the AI Co-Worker helps your staff draft and edit inside the editor, and anything it writes is flagged until someone accepts it. Your proposals are built from your own templates, content library and catalogue.
