Getting started with QuoteCloud

Your LMS, CRM and accounts, connected your way

Signed proposals and registrations to your LMS, CRM or spreadsheet through Zapier, Make or the API.

QuoteCloud connects to learning management, booking and CRM systems through Zapier, Make or the QuoteCloud API from the Essentials plan, where those systems have a connector or an API. Xero, QuickBooks Online and Pipedrive are native on Business, or connect through Zapier. There is no native LMS integration.

Two views of a fictional training proposal. Behind, the team's activity: opened, seats changed from 12 to 14, catering ticked, signed by both signers, deposit paid via Stripe, and a cohort created in the provider's LMS through Zapier. In front, the proposal's data items: purchase order HHP-PO-40817, the cohort and the program start date.

Each system, and how it really connects

The systems an education business runs, and the honest route for each. Zapier, Make and the API are on Essentials and up; native integrations are on Business.

Create the proposal from your own system

When an enquiry or a booking lands in your LMS, CRM or booking system, the QuoteCloud API, Zapier or Make can create the document from your template. The client's details and PO number go in as data items, and the price rows go in with the seats as the quantity.

Your template still supplies the outcomes, the modules, the terms and the design. The automation doesn't tick options or choose content blocks: the client chooses the add-ons in the document.

  • Create a document from one of your templates
  • Fill data items: client, PO number, cohort, start date
  • Add price rows: label, note, price, quantity, tax, discount
  • API and Zapier documents: US$2.00, $1.80 or $1.60 each, by monthly volume

From a signed proposal to your LMS, through Zapier

A sample zap. The LMS step works only where your LMS has a Zapier app or an API.

  1. Trigger

Recipient Signed Document or Document Payment Event in QuoteCloud's Zapier app.

  2. Pick up the details

Use what the trigger provides, such as the document and the client, in the next steps.

  3. Create the cohort

Add the cohort or the enrolment in your LMS, if it has a Zapier app.

  4. Log it

Add a row to your enrolment register in Google Sheets.

  5. Start the invoice

Start the balance invoice in Xero or QuickBooks, which have Zapier apps.

Registration answers, sent on from the document

When a participant completes the Forms block in a course registration, Zapier's Form Submitted on Document trigger can pass the answers on: to a spreadsheet, your CRM, or your LMS where it has a connector.

The answers also stay in the signed document. QuoteCloud keeps your documents, not student records.

  • Trigger: Form Submitted on Document
  • Answers kept in the signed copy
  • The Forms block is a form inside the document, not on your website

Integration questions from education providers

Does QuoteCloud integrate with our LMS?

Not natively. An LMS or student system connects through Zapier, Make or the QuoteCloud API, where it has a connector or an API. For example, a signed proposal can start a zap that adds the cohort in your LMS. Zapier, Make and the API are on the Essentials plan and up.

Does QuoteCloud keep student records?

No. QuoteCloud keeps the documents you send: proposals, agreements, registrations and consent forms, with their signatures and any Forms block answers. Student records stay in your LMS or student system, and Zapier, Make or the API can pass details from a signed document to it where it has a connector.

Which CRMs connect to QuoteCloud?

HubSpot and Zoho connect through Zapier. Pipedrive has a native integration on the Business plan. Other CRMs can connect through Zapier, Make or the QuoteCloud API, where they have a connector or an API. Zapier, Make and the API are on Essentials and up.

Do Xero and QuickBooks connect?

Yes. Xero and QuickBooks Online are native integrations on the Business plan, and they connect through Zapier on Essentials. QuoteCloud takes the payment on signing; your accounting software issues the invoice for any balance. QuoteCloud has no instalments or payment reminders.

What can the API or Zapier fill in when it creates a document?

It creates the document from one of your templates, fills its data items, such as the client, the PO number and the start date, and can add price-table rows with a label, note, price, quantity, tax and discount. It doesn't tick optional items or choose content blocks: those come from your template and the client.

Is there a fee for documents created through the API or Zapier?

Yes. Documents created through the API or Zapier cost US$2.00 each for 1 to 1,000 a month, US$1.80 for 1,001 to 5,000 and US$1.60 above 5,000. No per-document fee is stated for Make. Zapier, Make and the API are on the Essentials plan and up.
