Getting started with QuoteCloud

Keynote and workshop proposals that hold the date

A keynote, a keynote with a workshop, or a half-day program as one choice, travel and materials as lines, and a deposit on signing.

Facilitators and speakers use QuoteCloud to send one proposal with their session options as a single choice, travel and take-home materials as lines, an expiry date for the date hold, and a deposit the client pays on signing through Stripe or PayPal.

A fictional facilitator's March 2027 calendar with three dates pencilled in as holds and Thursday 18 March inked in for Ardenvale Insurance Group: the keynote and workshop proposal from Mara Ellison Facilitation, $10,230.00 including tax, signed with a $5,115.00 deposit paid.

Three kinds of booking, one way to confirm them

A conference keynote, a workshop series and a leadership offsite from one facilitator's templates. Sample documents.

Every date hold has an expiry

Give each proposal an expiry date that matches how long you'll hold the date. The Expiring Soon filter lists every hold that runs out in the next 30 days, so you can follow up before you offer the date to someone else.

When a hold lapses, the proposal can no longer be signed, so nobody accepts a date you've since given away.

  • Expiry date on every proposal
  • Expiring Soon filter for follow-up
  • Opens tracked, so you know who has read it

Ready for the client's procurement team

Conference organisers often need a formal proposal on file. Hannah asked for a PDF in a comment; Mara answered in the same thread, and the PDF downloads from the same link.

Your hold terms sit in the proposal as a note the client reads before signing.

  • Comments and replies in the proposal
  • PDF download from the same link
  • Hold terms written once in your template

Holding the date

  • Thursday 18 March is pencilled in for you until Friday 6 November.
  • Signing and paying 50% confirms the date; after the hold ends the date may be offered to someone else.
  • If the conference moves, we move with it once at no charge, subject to availability.

Hannah BrookProcurement needs the proposal as a PDF for our supplier file. Is that OK?

Mara EllisonOf course. Download it from the link, or I can send a PDF copy today.

What a speaking proposal needs to answer

The questions organisers ask, and the QuoteCloud block that answers each one.

  • Which session?

Keynote, workshop or program as a single choice, each with its own price.

  • Is the date held?

An expiry date on the proposal and a note on how long you hold it.

  • What about travel?

Travel and accommodation on their own line, so the fee stays clear.

  • How many attendees?

Materials per attendee on a line whose quantity the client can change.

  • What will people get?

Outcomes and a session outline as text blocks from your library.

  • Can we see you speak?

Photos from past events in an image or gallery block (Starter and up).

  • How do we confirm?

Sign online and pay a deposit through Stripe or PayPal.

  • Can we ask questions?

Comments and replies inside the proposal.

Keynote and workshop proposal questions, answered

How do I send a keynote proposal with options?

Offer your sessions, such as a keynote, a keynote with a workshop and a half-day program, as a single-choice group in the price table. The organiser picks one, travel and materials are their own lines, and they sign and pay a deposit online in the same document.

How do I hold a date without losing track of it?

Set an expiry date on the proposal that matches your hold. The Expiring Soon filter, from the Essentials plan, lists every proposal that expires in the next 30 days, so you can follow up yourself. Once a proposal expires it can no longer be signed.

Can I take a deposit to confirm the booking?

Yes, from the Essentials plan. Set a percentage or a fixed amount, or ask for full payment, and the client pays through Stripe or PayPal straight after signing. The balance is invoiced by you; QuoteCloud doesn't run instalments or send payment reminders.

Does QuoteCloud connect to my calendar?

There's no native calendar booking. You can add an event to Google Calendar through Zapier when a proposal is signed, one way from QuoteCloud to the calendar.

Can the organiser's procurement team get a PDF?

Yes. The proposal can be downloaded as a PDF from the same link, and the organiser can ask for it in a comment that you answer inside the proposal.

Does QuoteCloud book travel or list me as a speaker?

No. QuoteCloud sends your proposal and collects the signature and deposit. Travel is a line you price yourself, and it isn't a speaker marketplace.
