Getting started with QuoteCloud

Short course registrations, signed and paid in one link

Participant details in a form inside the document, seats the client can change, and the course fee paid on signing.

With QuoteCloud a short-course provider sends one registration document: the course details, a Forms block for each participant's details, the seats as a quantity the client can change, optional add-ons, and the fee paid in full on signing through Stripe or PayPal. The Forms block is on the Business plan.

A fictional course registration from Tallowood Learning Co. for Business writing essentials on Tuesday 17 November: the participant details for Jordan Pike and Amira Saleh filled in a Forms block, two seats at $495 and follow-up coaching, $1,353.00 including tax, signed and paid in full.

Details, seats and payment in one registration

A company booker registers two staff on a one-day course. The participants' details go in a Forms block inside the registration, the seats are a quantity the booker can change, and follow-up coaching is an option with its own seats.

They sign and pay the full fee in the same visit. Your team has the names, dietary and access needs and the payment together in one signed document.

From enquiry to a paid registration

How a short-course provider sets up registration documents in QuoteCloud.

  1. Build the template

A cover, the course details, a Forms block and a price table with seats per line.

  2. Create per course

Duplicate it for each date, filling the date, venue and PO as data items.

  3. Send the link

Email the registration to the booker, or send it to a list with bulk send.

  4. They complete it

The booker sets the seats, fills the participants' details and ticks add-ons.

  5. Sign & pay

They sign and pay the fee through Stripe or PayPal; you see it in the activity log.

What to ask in the registration form

Fields that make the day run smoothly. Keep identity numbers out of the document.

  • Participant names and roles

One field per participant, or a long-answer field for a group.

  • Dietary needs

A choice field with an 'Other' option.

  • Access needs

A free-text field, so people describe what helps.

  • Purchase order

A data item your team fills in, or a field the booker completes.

  • Identifiers

Collect any student or government identifiers through your own secure process, not in the document.

  • How they heard about you

A choice field your marketing team will thank you for.

Registrations on to your course register

QuoteCloud's Zapier trigger Form Submitted on Document fires when a booker completes the form. Add a row to your course register in Google Sheets, or create an enrolment in your LMS where it has a Zapier connector or an API.

Other triggers include Recipient Signed Document and Document Payment Event, so you can wait for the payment instead.

Short course registration questions, answered

Can a course registration form take payment?

Yes. A registration in QuoteCloud can hold a Forms block for participant details, a price table and a signature, and the booker pays in full or a deposit through Stripe or PayPal straight after signing. The Forms block is on the Business plan; payments start on Essentials.

Can one booker register several participants?

Yes. Put the course on a price-table line with seats as the quantity and switch on quantity editing, so the booker sets the number of seats. Add a field per participant, or one long-answer field, in the Forms block.

Where do the participants' details end up?

In the signed document, with the answers kept beside the signature. To copy them to a spreadsheet, CRM or LMS, use the Zapier trigger Form Submitted on Document, or Make or the API, from the Essentials plan.

Should we collect identification numbers in the form?

No. Keep student identifiers and government numbers out of the document and collect them through your own secure process. QuoteCloud isn't a student records system.

Can we publish a course calendar with live seat numbers?

QuoteCloud doesn't run a public course calendar, seat inventory or waitlist. Each registration is a document you send, often from a template per course date.

Is QuoteCloud suitable for accredited courses?

QuoteCloud sends your registrations and collects details, signatures and payments. It doesn't manage accreditation or compliance reporting, so those stay in your own systems.
