Getting started with QuoteCloud

Accepted plans into your practice software and accounts

Through Zapier, Make or the QuoteCloud API where your practice software has a connector or an API, and Xero or QuickBooks for the deposit.

QuoteCloud connects to dental practice management software through Zapier, Make or the QuoteCloud API, from the Essentials plan, where the software has a connector or an API. A signed plan or a paid deposit can start a step in another app. Xero and QuickBooks Online are native on Business, otherwise through Zapier.

The history of Helen Gordon's plan at a fictional practice, as the practice sees it in QuoteCloud: plan opened, a comment about the bridge option, implant and zirconia crowns kept, 4 of 4 acknowledgements ticked, signed by Helen with a certificate of authenticity, and the $2,247.00 deposit paid via Stripe. Each of these can start a step in another app through Zapier.

When a plan is signed, the next step starts

Helen ticks her acknowledgements, signs and pays the deposit. Each of those is an event QuoteCloud can hand to Zapier: Recipient Signed Document, Form Submitted on Document, Document Payment Event.

Your Zap or Make scenario decides what happens next, in the apps your practice already uses: a note on the patient's record in your practice software where it has a connector, the deposit in your accounts, a message to the treatment coordinator. Your team, your IT provider or QuoteCloud professional services can build it.

  • Signed, paid and form events as Zapier triggers
  • Make and the QuoteCloud API for the same jobs
  • No dental practice software is integrated natively: it depends on its connector or API

Zapier triggers a dental practice can use

Each one fires from a treatment plan or offer. What it starts is up to you; these are examples.

  • Recipient First Viewed Document

Helen opens her plan for the first time: let the treatment coordinator know it's a good time to call.

  • Recipient Signed Document

The plan is signed: add a note and the signed PDF link to the patient's record, where your practice software has a connector.

  • Document Payment Event

The deposit is paid: record the payment in Xero or QuickBooks Online, or in a spreadsheet the front desk checks.

  • Form Submitted on Document

The patient's acknowledgements in the Forms block are submitted: keep a copy with the rest of their paperwork.

  • Document Status Changed

A plan moves to Accepted, Paid or Lost: update a list of plans waiting on patients.

  • Document Comment Event

A patient asks a question on their plan: add a task for the treatment coordinator in the app your team works from.

Create the plan from your software, the patient still chooses

Going the other way, the QuoteCloud API, Zapier or Make can create a plan from your treatment plan template: the patient's details as data items, and price-table rows with a label, note, fee, quantity, tax and discount.

The automation doesn't tick options, choose between alternatives or pick content blocks. The alternatives, extras and consent wording come from the template; the patient makes the choices and signs. Request examples on our pages are illustrative: there's no public API reference to copy from.

  • From a template, with data items filled in
  • Price-table rows added at creation
  • Per document created through the API or Zapier: US$2.00 (1–1,000 a month), $1.80, then $1.60

Connect a signed plan to your practice software

The usual order for a first Zap. Your practice software's own connector decides what it can receive.

  1. Check the connector

Find out whether your practice software has a Zapier or Make connector, or an API your IT provider can use.

  2. Pick the trigger

Choose the QuoteCloud event, such as Recipient Signed Document or Document Payment Event.

  3. Map the fields

Match the plan's data items, such as the patient's name and the total, to the other app's fields.

  4. Test with a sample

Sign a test plan and check the result in the other app before you switch it on.

  5. Switch it on

Turn on the Zap. Documents created through Zapier or the API carry a per-document fee.

Integration questions

Does QuoteCloud integrate with our dental practice management software?

Not natively. QuoteCloud connects to practice management software through Zapier, Make or the QuoteCloud API, from the Essentials plan, where your software has a Zapier or Make connector or an API. What can be sent or received depends on that connector. Ask your software provider what it supports before you plan the workflow.

What can start an automation from a treatment plan?

QuoteCloud's Zapier triggers include Recipient First Viewed Document, Recipient Signed Document, Document Payment Event, Document Part Paid, Document Status Changed, Form Submitted on Document and Document Comment Event. Your Zap then decides what happens in the other app, such as adding a note to a patient record or recording a payment.

Can our software create treatment plans in QuoteCloud?

Yes, through the API, Zapier or Make. An automation can create a plan from a template, fill its data items and add price-table rows with a label, note, fee, quantity, tax and discount. It can't tick options or choose content blocks: those come from the template, and the patient makes the choices.

Do Xero and QuickBooks work with QuoteCloud?

Yes. Xero and QuickBooks Online are listed as native integrations on the Business plan. On Essentials you can connect them through Zapier, for example to record a deposit when the Document Payment Event fires. QuoteCloud doesn't keep your accounts in two-way sync, so decide which system holds each record.

Can we connect HubSpot or Zoho for enquiries and referrers?

Yes, through Zapier. HubSpot and Zoho connect to QuoteCloud through Zapier from the Essentials plan, so a new enquiry or referral can create a contact, and a signed plan can update it. Pipedrive is listed as a native integration on the Business plan.

Is there a cost per document for automation?

Documents created through the QuoteCloud API or Zapier carry a fee: US$2.00 each for 1 to 1,000 a month, US$1.80 for 1,001 to 5,000, and US$1.60 above that. No per-document fee is stated for Make. Check the pricing page for the current fees before you plan volumes.
