QuoteCloud conveyancing agreements show the fixed fee and optional work in a price table, with searches, certificates and settlement fees as disbursements at cost. Each buyer signs online after an optional one-time passcode, and a payment on signing can be taken. An agent referral can create the agreement through Zapier or the API.
A sample conveyancing costs agreement from a fictional firm for Mia and Lachlan Brennan's house purchase: a fixed fee of $1,650, an owners' association records review, and searches, certificates and the settlement fee at cost, a total of $2,719.10. In front, two phones, one per buyer: each shows passcode verified and a drawn signature, Mia signed at 7:12 pm and Lachlan at 7:31 pm, then a $440 payment on signing paid via Stripe.

Your own process
Our drawing of a firm's process: QuoteCloud's part is the costs agreement, the signatures and the payment on signing. Exchange, settlement and any local steps happen in your own systems and under your own rules.
An agent referral becomes a costs agreement
When a referral form or your CRM has the buyers' details, Zapier, Make or the QuoteCloud API can create the costs agreement from your purchase template: buyer names and emails into data items, the package and the search estimate as price-table rows.
The template still supplies the wording and the optional lines; the automation doesn't tick options or choose blocks. A conveyancer checks it and sends it, or your automation sends it for you.
- Create from a template, fill data items, add price rows
- Zapier triggers when a document is signed or paid
- API and Zapier documents carry a small per-document fee

Conveyancing
Signed before the contract is, every time
A costs agreement both buyers can sign from their phones the evening it arrives, so the fee is agreed before the work on the contract begins.
Signing, passcodes & multiple partiesConveyancing costs agreement questions, answered
Can both buyers sign the conveyancing costs agreement?
Yes. A document can have several signers, each with their own signature block. Each buyer gets their own email link and signs in their own browser, on a phone or computer, with no account to create. eSignatures are on every plan, and the signed document carries a certificate of authenticity and an audit trail.
Are searches and settlement fees shown separately?
Yes. Searches, certificates and the settlement fee sit in their own group as disbursements at cost, apart from your fixed fee and the tax on it. Optional work, such as an owners' association records review, is a line the buyers tick themselves.
Can we take money when the buyers sign?
Yes, from the Essentials plan: a percentage or a fixed amount, paid by card through Stripe or PayPal after signing. Payments go to the Stripe or PayPal account your firm connects. QuoteCloud does not operate a trust account; check your own trust-money rules before taking payments for future costs.
Can an agent referral create the costs agreement?
Yes. Through Zapier, Make or the QuoteCloud API, a referral form or CRM can create the agreement from your template, fill data items such as the buyers' names and add price-table rows. Optional lines stay in the template for the buyers. API and Zapier documents carry a per-document fee.
Does QuoteCloud connect to settlement platforms?
No. QuoteCloud handles the costs agreement, the signatures and any payment on signing. Settlement, trust money and the steps your local rules require happen in your own systems. Signed documents can be passed on through Zapier, Make or the API where those systems have a connector.
What if the buyers don't sign before the offer lapses?
Set an expiry date on the agreement. The Expiring Soon filter shows agreements about to lapse so your team can follow them up. QuoteCloud does not send reminders by itself.
