QuoteCloud is document and eSignature software for costs agreements, engagement letters and fixed-fee packages. It does not give legal advice, run conflict checks or operate trust accounts. Every party signs online, optionally after a one-time passcode sent by email, and a payment can be taken on signing through the Stripe or PayPal account your firm connects.
Costs agreements and disclosure
What is QuoteCloud for law firms?
QuoteCloud is document, quoting and eSignature software. Law firms use it to send costs agreements, engagement letters and fixed-fee packages from their own templates, with scope and standard terms from a content library, fees and disbursements in a price table, signatures from every party and a payment on signing. It is not practice-management or trust accounting software, and it gives no legal advice.
Does QuoteCloud meet our costs disclosure obligations?
QuoteCloud sets out and records what you write: your disclosure wording, fees, estimates, disbursements and every party's signature, with a certificate and audit trail. Whether a document meets your jurisdiction's costs disclosure rules depends on its content, which your firm decides. Keep approved wording in locked library blocks (Business) so every agreement starts from it.
Can one agreement show fixed fees, estimates and disbursements?
Yes. A price table can hold fixed-fee lines, estimates, work charged at hourly rates and disbursements at cost as their own group, with group subtotals and tax on the fees (sales tax, VAT or GST as set on your account). Optional work, such as an owners' association records review, can be a line the client ticks. Price tables are on Essentials and above.
Can we show a litigation estimate as a range?
Yes, as content in the agreement: each stage's estimate with its low and high figures, the stage being agreed marked, and later stages disclosed as estimates only. Before a later stage starts, you send a revised agreement or a new document for the client to sign. QuoteCloud doesn't track time against the estimate.
Is there a costs agreement template we can use?
QuoteCloud's library has agreement templates, such as a non-disclosure agreement, a will and an asset purchase agreement, but no law-firm costs agreement or engagement letter template. Your firm builds its own from its precedents, and QuoteCloud converts one free during the trial on Essentials, Business and Enterprise.
What QuoteCloud does, and what it leaves to you
Clear limits, so you know where QuoteCloud sits beside your practice system, your trust account and your own judgement.
It sets out and sends what you write
Scope, fees, estimates, disbursements and your disclosure wording, from your templates and library. Whether a document meets your rules is your firm's call: QuoteCloud gives no legal advice.
It gets every party's signature
Legally binding eSignatures, an optional one-time passcode by email, a certificate of authenticity and an audit trail. The passcode is not an identity check.
It takes a payment on signing
Through Stripe or PayPal, into the account your firm connects. It does not operate a trust account, send payment reminders or bill later costs.
It hands on to your systems
Through Zapier, Make or the API, or natively to Xero and QuickBooks on Business. It doesn't run conflict checks, open files by itself or keep records in two-way sync.
Signing and verification
Are QuoteCloud eSignatures legally binding?
QuoteCloud eSignatures are legally binding and eIDAS compliant, use 256-bit encryption and are included on every plan, including Free. Each signed document has a certificate of authenticity and an audit trail. Whether a particular document can be signed electronically, or needs a witness, depends on the law that applies to it, so check before you send it.
Can the client verify their identity before signing?
QuoteCloud has optional one-time passcode verification: the signer receives a passcode by email and enters it before they sign, which shows they had access to that email address. It is not a verification of identity, VOI or KYC check, so run your own identity checks where your rules require them.
Can both spouses, or a guarantor, sign the same agreement?
Yes. A document can have several signers, each with their own signature block, and each signs online in their own browser with no account. You can see who has signed and who hasn't. QuoteCloud doesn't set a signing order. Clients can also sign in person on your device.
Can clients initial each page?
Electronic initials, text and date fields can be placed on PDFs you upload, so a disclosure statement you keep as a PDF can be initialled and dated by each party. Documents built from QuoteCloud content blocks use signature blocks, which you can place wherever a signature is needed.
Payment on signing and trust money
How does payment on signing work?
Set the amount as a percentage of the total or a fixed figure, or ask for the full fee. The client pays through Stripe or PayPal straight after signing, and the document is marked Paid. Payments go to the Stripe or PayPal account your firm connects. Payments need the Essentials plan or above.
Does the payment go into our trust account?
QuoteCloud does not operate a trust account. Payments go to the Stripe or PayPal account your firm connects, and QuoteCloud doesn't reconcile trust records. Money received for costs not yet incurred may count as trust money under your rules, so check your own trust-money rules before you take a payment on signing.
Can QuoteCloud bill later costs or send payment reminders?
No. QuoteCloud takes one payment when the client signs: a percentage, a fixed amount or the full fee. It doesn't issue later bills, run instalments, send payment reminders or bill on a schedule. Your later invoices go out from your practice or accounting system as they do now.
Can different practice groups use different payment accounts?
Yes. Each team in QuoteCloud can connect its own Stripe account, so payments on signing for one practice group go to the account that group uses. The fee agreed, the amount paid and when it was paid are recorded on the signed document.

Integrations and intake
Does QuoteCloud connect to our practice-management software?
There is no native integration with legal practice-management systems. Through Zapier or Make, where your system has a connector, or the QuoteCloud API, from the Essentials plan, a signed or paid agreement can open a matter, create a contact or file the PDF. Documents created through the API or Zapier carry a per-document fee.
Does QuoteCloud work with Xero, QuickBooks, HubSpot or Zoho?
Xero and QuickBooks Online are native integrations on the Business plan, and on other paid plans they connect via Zapier. HubSpot and Zoho CRM connect via Zapier, and Pipedrive connects directly. None of these is a two-way sync: QuoteCloud passes on what happened in the document.
Does QuoteCloud run conflict checks?
No. QuoteCloud can collect client details, the other party and other names in a Forms block inside a document (Business), and pass the answers on through Zapier. The conflict check itself runs in your own practice-management system, and QuoteCloud keeps no conflicts register.
Can our system create the costs agreement automatically?
Yes, through the QuoteCloud API or a Zapier step, from the Essentials plan. It creates the document from the template you name, fills data items such as the client and matter, and adds price-table rows. The template decides the wording and which blocks appear; the automation doesn't choose clauses or tick optional lines. Each document created this way costs US$2.00, less at volume.
Plans, security and getting started
How much does QuoteCloud cost for a law firm?
Plans are priced in US dollars per user per month: Free at $0 for 2 documents a month, Starter at $14.95, Essentials at $39 and Business at $59, with Enterprise on custom pricing. Price tables, payments and Zapier are on Essentials; content locking, approvals, version history and the Forms block are on Business.
Is client information secure in QuoteCloud?
QuoteCloud is hosted on AWS and uses 256-bit encryption, and signed documents carry a certificate of authenticity and an audit trail. Keep identity documents and other sensitive records in your own secure systems rather than in a costs agreement, and check QuoteCloud's terms against your firm's own data obligations.
Is there a free trial?
Yes. QuoteCloud has a free plan and a 14-day free trial of Essentials or Business with no credit card. During the trial QuoteCloud converts one of your existing templates, such as your engagement letter, for free on Essentials, Business and Enterprise, and paid plans include a 45-minute training session.
Can partners approve discounted fees before an agreement goes out?
Yes, on the Business plan. An approval workflow can hold an agreement In Review when its discount or total value passes a level you set, for example a fixed fee discounted by more than 10%. A partner approves or declines it before it can be sent, and the decision is logged on the document.
