QuoteCloud implementation for law firms
Precedents converted, standard terms locked, fee items loaded, partner approvals set and every fee earner trained, one practice area at a time.

- Building QuoteCloud since 2013
A typical QuoteCloud rollout in a firm converts the engagement letter and costs agreement precedents into templates, saves scope clauses in the content library, locks the standard terms (Business), loads fee items into the catalogue, sets partner approvals on discounts (Business), connects Stripe or PayPal and trains the team. One template conversion is free during the trial.
The approval panel a partner sees on a sample costs agreement from a fictional firm: the agreement is In Review because the fixed fee is discounted by more than 10%, and it waits for Rupert Thistlewood, a partner, to approve or decline it before it can be sent.

A four-week rollout, owned by the practice manager
A sample plan for a fictional firm of twelve fee earners, starting with conveyancing and wills. Your timings will depend on how many practice areas and precedents you bring.
-
Phase 1, Week 1
Convert your first precedent
- You bring
- The costs agreement or engagement letter your firm sends most, with its disclosure document.
- QuoteCloud gives you
- One template converted free during the trial (Essentials, Business, Enterprise); more conversions as a paid add-on.
- Done when
- A fee earner can start a branded costs agreement from the template, with the client and matter as data items.
-
Phase 2, Weeks 1–2
Library clauses and locked terms
- You bring
- Your approved scope clauses by practice area, and the standard terms of engagement.
- QuoteCloud gives you
- Scope clauses saved in the content library; standard terms in a locked block that fee earners can't edit.
- Done when
- The principal has signed off the wording every agreement will start from.
Content locking: Business
Engagement letters and scope of work -
Phase 3, Week 2
Fee items and disbursements
- You bring
- Your fixed fees, packages and usual disbursements as a spreadsheet, with a code for each.
- QuoteCloud gives you
- CSV import into the product catalogue, with column mapping and validation before anything is saved.
- Done when
- Every fixed fee and common disbursement is a catalogue item, ready to drop into a price table.

Fixed-fee legal packages -
Phase 4, Weeks 2–3
Payments and partner approvals
- You bring
- The Stripe or PayPal account each team will use, and your rule for discounts.
- QuoteCloud gives you
- Payment on signing as a percentage or fixed amount; an approval rule that holds a discounted fee In Review for a partner.
- Done when
- A test agreement has been approved, signed and paid into the right account.
Payments: Essentials · Approvals: Business
Costs disclosure & costs agreements -
Phase 5, Week 3
Hand-offs to your practice system
- You bring
- Your practice-management system and what should happen when an agreement is signed or paid.
- QuoteCloud gives you
- Zapier, Make or the API from Essentials, where your system has a connector; Xero or QuickBooks native on Business.
- Done when
- A signed test agreement opens a matter in your system without anyone typing it in.
-
Phase 6, Week 4
Train the team and go live
- You bring
- Fee earners and support staff, an hour of their time, and a few live matters to start with.
- QuoteCloud gives you
- A 45-minute training session on paid plans; extra sessions through professional services.
- Done when
- The first real costs agreements are signed, and the next practice area's template is under way.
Sample planning for a fictional firm, not a promise: your rollout runs at your pace.

Your fee schedule in, column by column
Export the fixed fees and disbursements your firm already keeps in a spreadsheet, map each column to a catalogue field and import it. QuoteCloud checks the rows first, so the two missing a practice area are fixed before anything goes live.
When fees change next financial year, the same file updates the catalogue, and old fee items are marked inactive rather than deleted.
- Column mapping and validation before import
- Fee codes, practice areas and prices
- Active, Draft and Inactive items

What each plan includes for a firm
Every paid plan starts with a 14-day free trial of Essentials or Business, with no credit card. What a firm can set up depends on the plan (prices in USD per user per month, from the pricing page). QuoteCloud gives no legal advice: the wording, fees and disclosure in your templates are your firm's own.
- Essentials ($39): templates, the content library, price tables, the product catalogue with CSV import, payments on signing, document tracking, Zapier, Make and the API, one free template conversion during the trial and a 45-minute training session.
- Business ($59): everything in Essentials plus approval workflows, content locking, version history, the Forms block for matter intake and native Xero and QuickBooks integrations.
- Enterprise (custom pricing): a dedicated account manager and more, for larger firms. Ask us.
- eSignatures are on every plan, including Free.
Rollout questions from law firms
How long does it take a law firm to start using QuoteCloud?
It depends on how many practice areas and precedents you bring. Many firms start with one practice area, such as conveyancing, and add the next once the first template is in use. The four-week plan on this page is sample planning for a fictional firm, not a promise; QuoteCloud converts one template free during the trial to get you started.
Who should own the rollout in a firm?
Usually the practice manager, with a principal or partner approving the wording. The practice manager sets up templates, the content library, the fee catalogue, payment accounts and approval rules, and the principal signs off the scope clauses and standard terms that will be locked. Fee earners then work from the approved templates.
Can each practice group use its own Stripe account?
Yes. Each team in QuoteCloud can connect its own Stripe account, so payments on signing for one practice group go to the account that group uses. Payments go to the Stripe or PayPal account your firm connects. QuoteCloud does not operate a trust account; check your own trust-money rules.
What training is included?
Paid plans include a 45-minute training session, and one template is converted free during the trial on Essentials, Business and Enterprise. Extra training sessions, more template conversions and help with Zapier or API set-up are available through professional services. Enterprise includes a dedicated account manager.
Do we need the Business plan?
Essentials covers templates, the content library, price tables, the fee catalogue, payments on signing, Zapier and the API. Choose Business if you want locked standard terms, partner approvals on discounts, version history, intake forms inside documents or native Xero and QuickBooks. eSignatures are on every plan.
