QuoteCloud eSignatures are legally binding, eIDAS compliant and on every plan. Each signer has their own signature block and signs from one link without an account, or in person on your device. You can ask signers to enter a one-time passcode sent to their email first. It is not an identity check. Initials and date fields work on uploaded PDFs.
A tablet in a fictional firm's office showing Graham and Ruth Pender's wills and powers of attorney agreement in the signing view. Ruth Pender signs in person on the firm's device and the button turns to Signed. Two notes beside it: a one-time passcode sent by email is optional for signers who are elsewhere, and every signed document carries a certificate of authenticity and an audit trail.

Fixed-fee legal packagesInitials and dates on your own disclosure PDF
Many firms keep their costs disclosure statement as a PDF they don't want to retype. Upload it as it is and place initials and date fields on the page, so each party initials it as they read.
Initials, text and date fields work on uploaded PDFs. Agreements built from QuoteCloud content blocks use signature blocks instead, placed wherever you need a signature.

What the passcode is, and what it isn't
One-time passcode verification is optional. Here is exactly what it adds to a signature, so your firm can decide where it fits beside your own checks.
What it is
Before a signer can sign, QuoteCloud emails them a one-time passcode and asks them to enter it. It shows the person signing had access to the email address you sent the agreement to.
What it isn't
It is not a verification of identity, a VOI or a KYC check. Nobody's ID is looked at. Where your rules require you to verify a client's identity, do it through your usual process.
Signing in the room
When a client signs in person on your device, after a meeting or at a signing appointment, you can see who is signing. The passcode matters most for parties you never meet.
Witnessing and formal documents
Whether a document can be signed electronically, or needs a witness, depends on the law that applies to it. QuoteCloud gives no legal advice, so check before you send one for eSignature.

From draft to every party signed
How a firm sends one agreement to several parties in QuoteCloud.
- 1
Add the signers
Name each party (client, spouse, director, guarantor) and give each one their own signature block in the agreement.
- 2
Turn on the passcode
Ask signers to enter a one-time passcode sent to their email before they sign. It's optional.
- 3
Send one link each
Each party gets the agreement by email and opens it in any browser, with no account to create.
- 4
Each party signs
Draw, type or upload a signature. Clients in the office can sign on your device instead.
- 5
Keep the record
The signed agreement carries a certificate of authenticity and an audit trail.
The signed record
A record of who signed, and when
Both buyers entered their passcode and signed, the payment on signing received and the certificate attached: one place to look when anyone asks how the agreement was accepted.

Signing questions from law firms
Are QuoteCloud eSignatures legally binding for law firms?
QuoteCloud eSignatures are legally binding and eIDAS compliant, use 256-bit encryption and are included on every plan, including Free. Each signed document carries a certificate of authenticity and an audit trail. Whether a particular document can be signed electronically, or needs a witness, depends on the law that applies to it, so check that before you send it.
Is the one-time passcode an identity check?
No. When you turn it on, each signer is sent a one-time passcode by email and must enter it before they sign. That shows the person had access to that email address. It is not a verification of identity, VOI or KYC check, so run your usual identity checks where your rules require them.
Can several parties sign the same costs agreement?
Yes. Add each party as a signer and give them their own signature block. Each opens the agreement from their own email and signs in any browser without an account, and you can see who has signed and who is still to sign. QuoteCloud does not set a signing order between them.
Can a client sign in person at our office?
Yes. A client can sign on your own device, such as a tablet at a signing appointment or after a meeting. The signature is recorded with the same certificate of authenticity and audit trail as an online signature, and you can still ask parties who are elsewhere to sign from their own email.
Can each party initial every page?
Electronic initials, text and date fields can be placed on PDFs you upload, such as a costs disclosure statement you keep as a PDF. Agreements built from QuoteCloud content blocks use signature blocks, which you can place wherever a signature is needed.
Is the passcode sent by SMS?
QuoteCloud's optional one-time passcode is sent to the signer's email address, the same address the agreement was sent to. Check the email address you hold for each party before you send, because the passcode goes there. Turn it on for parties you won't meet in person.
