Getting started with QuoteCloud

Connected to the CRM your agency already uses

Proposals from Pipedrive deals, HubSpot and Zoho through Zapier, Make and the API, and Xero or QuickBooks for the invoices that follow.

Agencies on the Business plan connect QuoteCloud to Pipedrive directly, creating proposals from deals and seeing their status on the record. HubSpot and Zoho connect through Zapier; Salesforce through Zapier or the Sync add-on. Zapier, Make and the API come with Essentials and up, and Xero and QuickBooks are native on Business. No ad platforms or analytics tools connect.

Two overlapping documents from a fictional agency, Ambergrove Digital. Behind, the cover of a 12-month growth retainer for Kinroy Outdoor Co. In front, its activity: sent to Elena and Daniel, opened, the monthly review call added, the onboarding questionnaire submitted, signed by both, and the first payment of $11,363.00 received through Stripe. These are the events Zapier and the direct integrations can pass to a CRM or accounting software.

Signed in QuoteCloud, won in the CRM

Each event on a proposal can start a Zap. When Daniel signs Kinroy's retainer, Recipient Signed Document fires; when the first payment lands, Document Payment Event fires. Your Zap decides what follows, for example moving the HubSpot deal to won and noting the monthly fee, or telling finance to set up next month's invoice.

With Pipedrive on Business, proposals are created from the deal and their status shows on the deal record, without Zapier.

What can be automated, and what stays with people

Automation creates and sends documents and reports what happens to them. Choices inside a proposal stay with your team and your client.

  • Create from a template

Zapier, Make or the API create a proposal from your retainer or project template, with data items such as the client, contact and start date filled in.

  • Add price rows

Channel lines and one-offs can be added to the price table at creation: label, note, price, quantity, term, tax, discount and cost.

  • Send and follow

Send the document, generate a PDF link, update its status, and hear back when it's viewed, signed, paid or commented on.

  • Ticking add-ons: the client

Automation doesn't tick optional add-ons or choose packages. The client ticks them in the proposal.

  • Choosing blocks: your template

Automation doesn't pick content blocks. Case studies, scope and terms come from the template and your library.

  • Ad and analytics data: not connected

QuoteCloud pulls no data from ad platforms or analytics tools, and bills no months after the first payment.

Proposals from your own systems, through the API

Agencies with their own pricing calculator or client portal can create proposals through the QuoteCloud API or Make. A request names the retainer template, fills the data items and adds the price rows for the channels and tiers agreed on the call.

The proposal then reads like this one: the tiers and fees as rows, the add-ons from the template for the client to tick, and the first payment worked out on signing. Request details here are illustrative; the API and Zapier carry a document creation fee from US$2.00 per document.

  • Template + data items + price rows at creation
  • Add-ons stay optional for the client to tick
  • Make is supported; no Make module list is published

Connect a CRM in five steps

The same pattern for HubSpot, Zoho or Salesforce through Zapier.

  1. Pick what should happen

Decide which events matter to your pipeline: viewed, signed, paid or a status change.

  2. Choose the QuoteCloud trigger

In Zapier, start a Zap with a QuoteCloud trigger such as Recipient Signed Document.

  3. Find the deal

Add a step that finds the matching deal or contact in HubSpot or Zoho.

  4. Update it

Move the deal stage, add a note with the monthly fee, or create the follow-up your team uses.

  5. Test with a sample proposal

Send a test proposal to yourself, sign it and check the CRM before switching the Zap on.

Integration questions, answered

Does QuoteCloud integrate with HubSpot?

Yes, through Zapier, which is on the Essentials plan and up. A Zap can start from a QuoteCloud trigger, such as Recipient Signed Document or Document Payment Event, and then update the matching HubSpot deal or contact. What the Zap changes in HubSpot is your own set-up. Zapier documents carry a creation fee if the Zap creates proposals.

Does QuoteCloud connect to Pipedrive?

Yes, directly. Native CRM integrations are listed on the Business plan. With Pipedrive connected, you create proposals from deals and see each proposal's status on the deal record, without setting up Zapier. It suits agencies that run their pipeline in Pipedrive and want each signed retainer visible on the deal the sales team already works from.

What about Salesforce and Zoho?

Zoho connects through Zapier, like HubSpot. Salesforce connects through Zapier or the QuoteCloud Sync add-on. In each case QuoteCloud's triggers, such as a proposal being signed or paid, start the flow, and the Zap or add-on set-up decides what changes in the CRM. Ask QuoteCloud about the Sync add-on for your Salesforce set-up.

Can signed proposals reach Xero or QuickBooks?

Yes. Xero and QuickBooks Online are native integrations on the Business plan; on Essentials they connect through Zapier. A common use is setting up the invoices for months two onwards of a retainer once the client has signed and paid the first month on signing. QuoteCloud itself doesn't bill later months.

Does QuoteCloud connect to ad platforms or analytics?

No. QuoteCloud doesn't connect to ad platforms, analytics or social scheduling tools, and it pulls no performance data. The client's ad spend in a proposal is their own estimate, typed by your team and kept outside every total. Reporting for reviews stays in your own tools.

Can an automation tick add-ons or choose blocks in a proposal?

No. Zapier, Make and the API can create a proposal from a template, fill its data items and add price-table rows at creation. They don't tick optional add-ons, choose packages or pick content blocks. Add-ons are ticked by the client in the proposal, and the blocks come from your template.
