Getting started with QuoteCloud

The brief arrives with the signature

Your onboarding or brand questionnaire sits inside the proposal, so the client answers it in the same document they sign.

On the Business plan, QuoteCloud's Forms block puts a form inside the proposal, so an agency's onboarding or brand questionnaire is answered in the same document the client signs. The Zapier trigger Form Submitted on Document can pass the answers on to your other tools. It is a form inside the document, not a form on your website.

The cover of a sample rebrand proposal from a fictional studio, Ambergrove Digital, for Orchard Lane Wines, beside the brand questionnaire inside it. The four questions tick off one by one with the owner's answers (three words: honest, generous, unhurried; the three wines in the spring release; refresh the logo but keep the pear; brands she admires), then the proposal is signed by Grace Kirkby, with her co-owner Tom still to sign.

Questions answered in the proposal they sign

Ambergrove's 12-month retainer for Kinroy Outdoor Co. carries a four-question onboarding questionnaire between the scope and the signatures. Elena answered it while she read the proposal: who approves content, the goal for the year in her words, which platforms the team will need access to, and the one word Kinroy never wants to see.

She and Daniel then signed and paid the first month. The account team opened the kickoff with the brief already in the document, instead of chasing it for three weeks.

  • Text, choice and longer answer fields in the Forms block
  • Answers stay in the signed document, with the audit trail
  • The activity shows when the questionnaire was submitted
  • Asks which platforms you need, never for passwords

What to ask before kickoff, and what never to ask

Six questions that save the first fortnight of a retainer or a brand project. Keep the questionnaire short: the proposal is still the thing they are deciding on.

  • Who approves, and who signs

The day-to-day approver for content and creative, and anyone else who needs to see work before it goes live.

  • The goal, in their words

A choice field for the main goal plus a line in their own words. It frames the 90-day plan and the first review.

  • Brand rules and words to avoid

Tone of voice, things they never say, logos and colours to keep. For a rebrand, what must survive the refresh.

  • Dates that matter

Sales, launches, a bottling run or a trade show, so the first weeks are planned around them.

  • Which platforms you'll need

The website, ad accounts, email and social platforms you'll need access to: a list, so you can set up access properly.

  • Never: passwords or card details

Logins, passwords and payment details don't belong in a form. Collect access through your agency's own secure process.

A brief that can travel on, through Zapier

When a client submits the questionnaire, QuoteCloud's Zapier trigger Form Submitted on Document fires. What happens next is the Zap your agency builds: for example, adding the answers as a row in the Google Sheet where you keep client briefs, or posting them where the project team will see them.

Here, Grace answered Orchard Lane's brand questionnaire before the discovery workshop, so the studio walked in knowing the pear stays.

Put your onboarding questions inside the proposal

Free for 14 days, no credit card required. Send us your current proposal and questionnaire, and we'll convert one template during the trial.

Add a questionnaire to every proposal in five steps

Write it once, keep it in the library and let each template carry it.

  1. Write the questions once

Build the questionnaire as a Forms block: short text, choices and a longer answer or two.

  2. Save it to the library

Keep one questionnaire per service, onboarding for retainers and a brand questionnaire for projects, in the content library.

  3. Add it to your templates

Place it before the signature in your retainer and project templates, so every proposal carries it.

  4. Send the proposal

The client reads, answers the questions and signs in the same document, with no account needed.

  5. Kick off with the brief

The answers sit in the signed proposal, and the Form Submitted on Document trigger can pass them on through Zapier.

What changes when the brief comes with the yes

The jobs between a signed proposal and a real kickoff, before and after the questionnaire moves into the document.

The jobTodayWith QuoteCloud
Getting the brief A separate form or document sent after signing, then followed up for two or three weeks. Answered inside the proposal, before or as the client signs.
Knowing who approves Found out in the first review, when the wrong person says no. Named in the questionnaire, and every signer has their own signature block.
Setting up access Logins pasted into emails and chat threads. A list of the platforms needed; access handled through your own secure process.
Briefing the team The account lead retypes the answers into the project tool. The answers are in the signed document, and a Zap can pass them on.

Onboarding questionnaire questions, answered

Can I put a client onboarding questionnaire inside a proposal?

Yes. On the Business plan, the Forms block adds a form inside a QuoteCloud document, so your onboarding or brand questionnaire sits in the proposal itself. The client answers the questions and signs in the same document, and the answers stay with the signed proposal and its audit trail. It is a form inside the document, not a form on your website.

Is the Forms block a website form?

No. The Forms block is a content block inside a QuoteCloud document, such as a retainer or project proposal. The client fills it in while reading the proposal they were sent. If you want an enquiry form on your website, that stays on your website; it can create a proposal through Zapier, Make or the API, which is a separate set-up.

Can the questionnaire answers go to my other tools?

Yes, through Zapier on the Essentials plan and up. QuoteCloud's trigger Form Submitted on Document fires when a client submits the form, and your own Zap decides what happens next, for example adding the answers as a row in a Google Sheet of client briefs. QuoteCloud doesn't create projects or tasks for you; that depends on the Zap you set up.

Should I ask for passwords or logins in the questionnaire?

No. Ask which platforms you'll need access to, such as the website, ad accounts, email and social platforms, but collect passwords, logins and payment details through your agency's own secure process. A proposal is shared with several people and kept as a signed record, so it's the wrong place for credentials.

Which plan includes the Forms block?

The Forms block is on the Business plan, US$59 per user a month, which also includes Gantt charts, content locking, version history, the approval workflow and the AI Co-Worker. Essentials, US$39, includes price tables, templates, the content library, payments on signing and Zapier. Both start with a 14-day free trial without a credit card.
