Getting started with QuoteCloud

Case studies and bios ready for every pitch

Your best work, your team and your method as library blocks, and a first draft of the executive summary for your team to accept or edit.

Agencies keep case studies, team bios and their method in the QuoteCloud content library and drag them into each proposal. On the Business plan the AI Co-Worker helps draft an executive summary from attached call notes in the editor; its text stays flagged until someone on the team accepts, edits or rejects it.

A fictional agency's case file from its content library beside the Kinroy retainer proposal being assembled. Step by step, the closest case study (an outdoor gear retailer, SEO and email) files into 'Work we're proud of', the team bios file into 'Your team', the AI Co-Worker drafts the executive summary, flagged for review, and then a person accepts it and the flag changes to Accepted. Each block used is marked in the case file.

A first draft of the summary, flagged until you accept it

The executive summary is the page every client reads and the one nobody has time to write. Rina attaches the discovery call notes and asks the AI Co-Worker for a plain, friendly summary with no promises about results.

The draft appears in the editor marked as AI content. It stays flagged until someone on the team accepts it, edits it or rejects it, and nothing is sent until a person sends the proposal.

Executive summary

Kinroy sells hiking and camping gear online and through two stores. Most new customers find you through search, and you want more of them to come back for their next trip.

This retainer brings search, social, paid, email and content under one plan for twelve months, with a review call every month and a written plan for each quarter.

AI Co-Worker can make mistakes. Its text stays flagged until someone on your team accepts, edits or rejects it.

What makes a case study worth reading

Clients skim proof for one thing: have you done this for someone like us? A few habits that make the library worth dragging from.

  • The brief, in one line

What the client needed, in their terms, before what you did about it.

  • What you actually did

Three or four concrete pieces of work, not a list of channels.

  • Dates on everything

When the work ran and when the case study was last updated. Stale proof is worse than none.

  • Your figures, labelled

If you quote a number, say it comes from your own reporting and never present it as a promise.

  • Permission first

Name a client only with their agreement; otherwise describe them, "an outdoor gear retailer".

  • One owner per block

Give each case study an owner who updates it each quarter, with role permissions to match.

Accepted, then the proof underneath

Once Rina accepts the summary, the flag clears and it reads like any other part of the proposal. Directly under it, the case study closest to Kinroy, dragged from the library and unchanged since its owner last updated it.

Every word in the pitch is either your team's, the library's, or an AI draft a person has accepted.

  • Accepted text loses its AI flag
  • Case study straight from the library
  • Updated date shown on each case study

Pitch library and AI questions, answered

Where do we keep case studies and team bios in QuoteCloud?

In the content library, from the Essentials plan. Save each case study, bio and method page as a block, sort them into folders, pin favourites and set role permissions on who can edit. Drag them into any proposal and tailor them there.

Does the AI Co-Worker write the proposal for us?

No. On the Business plan the AI Co-Worker helps your team draft in the editor, for example an executive summary from attached call notes. Its text stays flagged until someone accepts, edits or rejects it, and it can make mistakes. It never sends anything.

Can the AI Co-Worker make up results for a case study?

Ask it not to, and check every draft: it can make mistakes. Case study figures should come from your own reporting, labelled as yours. Nothing the AI suggests goes into a proposal until a person accepts or edits it.

How do we keep case studies up to date?

Give each block an owner and an updated date, and use role permissions so only owners edit them. Because proposals pull from the library, the next pitch uses the current version. On Business, lock wording that must not change.

Can each account manager keep their own snippets?

Yes. The content library has Company content for everyone and personal content for each user, so account managers can keep their own intros and replies without cluttering the shared library.
