Getting started with QuoteCloud

Channel scopes written once, used in every proposal

SEO, social, paid, email and content at each tier, with deliverables in plain words, saved as library blocks your team drags into each proposal.

Agencies keep each channel's scope in the QuoteCloud content library: SEO, social media, paid search and social management, email and content, each with its tiers, deliverables and monthly fee saved as price tables and text blocks. Account managers drag them into proposals, so every client sees the same scope for the same price.

A fictional agency's content library open on its channel scopes. Five channel tabs (SEO, social, paid, email and content) take turns; each shows that channel's scope block with three tiers, Foundation, Growth and Momentum, their monthly fees and a deliverable for each, with the tier used in the Kinroy retainer AD-R-2207 marked. The wording is locked. A note says the block was dragged into AD-R-2207: same wording, same price, every proposal.

Five channels, each scoped once

What every tier includes, in plain words, and the weeks it takes to get going. Pick a channel to see its block as an account manager drops it into a proposal.

How to write a scope a client can read

Scope creep usually starts with a word that means one thing to you and another to the client. A few habits that keep each tier clear.

  • Count what you deliver

"20 posts a month on 3 channels" beats "ongoing social support". Numbers are easy to check at the monthly review.

  • Change one thing per tier

Growth should read as Foundation plus something clear: more hours, more posts, a guide each quarter.

  • Say what's not included

Ad spend, shoots, platform subscriptions: list them under each channel so nobody assumes.

  • Use the client's words

"Replies to comments on weekdays" rather than "community management SLA".

  • Promise work, not results

Scope the effort. A forecast, if you share one, is labelled as your own estimate.

  • Put the rounds in the scope

How many rounds each deliverable gets, and what an extra one costs: see scope and revisions.

The same blocks build the first 90 days

Each channel's block carries its set-up and running weeks, so the retainer shows a plan the client can hold you to: onboarding in week one, accounts and tracking in the first fortnight, then work running, with a review at weeks 4, 8 and 12.

It is the agency's plan, written into the proposal. QuoteCloud shows it; it doesn't track the work or report on it.

Channel scope questions, answered

How do we reuse the same SEO or social scope in every proposal?

Save each channel's tiers as a price table block, with its deliverables, in the QuoteCloud content library (Essentials and up). Account managers drag the block into a proposal and set the tier. Folders, pinning and role permissions keep the library tidy.

Can we stop the scope wording being changed in a proposal?

Yes, on the Business plan. Content locking lets account managers use a block but not edit it, so what each tier includes reads the same in every proposal. Unlocked blocks can still be tailored per client.

Can the scope include results such as rankings or followers?

That is your call, but we recommend scoping the work: hours, posts, articles and campaigns. QuoteCloud doesn't connect to ad platforms or analytics and doesn't report on results. If you share a forecast, label it as your own estimate.

Can we show a plan for the first few months?

Yes. On the Business plan a Gantt chart block shows set-up and running work per channel and the review dates. It is your plan in the proposal; QuoteCloud doesn't track tasks against it.

Can channel tiers live in the product catalogue too?

Yes. Add each tier as a catalogue item with its monthly price, category and SKU, or import them from a CSV. The catalogue keeps prices consistent; the library block keeps the wording consistent.
