Getting started with QuoteCloud

Project proposals in phases, with the plan on show

Discovery, identity, content and launch as phases with their own subtotals, a moodboard, a Gantt chart and the deposit paid when they sign.

Brand and creative studios use QuoteCloud for project proposals: phases as price-table sections with subtotals, optional phases the client ticks, a moodboard gallery, the timeline as a Gantt chart (Business), locked deliverables and revision rounds, two owners signing and a deposit on signing via Stripe or PayPal.

A fictional studio's project proposal for Orchard Lane Wines, drawn as four phases sliding onto a 14-week ruler: discovery and strategy ($6,200, weeks 1 to 3), identity and labels ($10,100, weeks 4 to 10), website content ($6,400, weeks 8 to 11) and the optional spring launch, ticked by the client ($4,200, weeks 12 to 14). The total is $29,590.00 including tax, and a stamp shows the 40% deposit of $11,836.00 paid via Stripe.

A bright room with a sofa, a bed and floor-to-ceiling windows

A freelancer's project quote, signed and half paid

Mae Hollis writes six pages and four blog posts for an interior designer. She isn't registered for tax, so the tax line reads zero, and 50% is paid on signing.

  • Per-page pricing with quantities
  • Optional blog posts the client ticked
  • Deposit via PayPal

Tick the launch, and the plan and the deposit follow

The spring launch is an optional phase. Untick it and the total, the tax and the 40% deposit drop on the page; tick it again and they come back. The Gantt chart underneath shows the launch weeks as optional, so Grace and Tom see what they're adding in time as well as money.

Later stages are not billed by QuoteCloud: only the deposit is paid on signing. The remaining 60% is the studio's own invoice at the milestones written in the proposal.

  • Optional phases the client ticks
  • Group subtotals, tax and the deposit recalculate
  • Gantt chart with milestones and optional bars

From workshop to signed project in five steps

How a studio turns a good first meeting into a proposal with a plan and a deposit.

  1. Start from the project template

One template per offer: rebrand, website content or launch campaign, from your templates.

  2. Price the phases

Add each phase as a price-table section, with optional phases the client can tick.

  3. Show the look and the timing

Add a moodboard gallery and the Gantt chart (Business) for the weeks ahead.

  4. Lock the scope

Drag in the scope and revision rounds block, locked on Business.

  5. Send for signature and deposit

Both owners sign in their own blocks and the deposit is paid by card on signing.

Project proposal questions, answered

Can a project proposal include a timeline?

Yes. On the Business plan add a Gantt chart block with tasks, durations, milestones and optional bars, so the client sees which week each phase runs. On other plans, set out the timing as a table or text in the proposal.

Can clients add an optional phase themselves?

Yes, from the Essentials plan. Put the phase in an optional price-table section. When the client ticks it, the subtotal, tax, total and the deposit on signing update on the page before they sign.

Can we take a deposit when the project is signed?

Yes. Connect Stripe or PayPal and set the payment on signing as a percentage, such as 40%, or a fixed amount. The client pays by card straight after signing. Later stages are your own invoices: QuoteCloud doesn't bill milestones or send payment reminders.

Can we show a moodboard in the proposal?

Yes. Image and gallery blocks are on the Starter plan and up, including a mosaic layout for a moodboard, and the image editor lets you mark up a photo. Proofing and approving artwork files happen outside QuoteCloud.

Can two owners sign the same project proposal?

Yes. Add both as signers; each gets their own signature block and link and doesn't need an account. You can see who has signed and who is still to sign, and the signed proposal carries a Certificate of authenticity.
