Getting started with QuoteCloud

ERP, MRP and CRM connections for your quotes

Accepted quotes to your ERP or MRP through Zapier, Make or the API, and to your CRM and accounting software.

QuoteCloud connects to ERP and MRP systems through Zapier, Make or its API from the Essentials plan, where the system has a connector or an API; there is no native ERP integration. Dynamics 365, HubSpot and Zoho connect through Zapier, Salesforce with the Sync add-on or Zapier, and Xero and QuickBooks natively on Business, otherwise through Zapier.

The activity on a sample quote from a fictional job shop, Tessmore Engineering, as its team sees it: the quote opened by Quenda Robotics' engineer, the first article report ticked, signed by Engineering, signed by Procurement with PO QR-PO-4471, $2,343.00 of tooling paid via Stripe, and a sales order raised in the shop's ERP through Zapier or the API.

How each system connects, honestly

There is no native ERP or MRP integration. Here is what connects, and how, from the plan each route needs.

  • Your ERP or MRP

Through Zapier, Make or the QuoteCloud API, where your ERP or MRP has a Zapier or Make connector or an API of its own. Essentials and up.

    API, Zapier and Make
  • Microsoft Dynamics 365

Through Zapier: a QuoteCloud trigger, such as a signed quote, starts the step you set up in Dynamics 365.

    Dynamics 365 and QuoteCloud
  • Salesforce

With the Salesforce Sync add-on, or through Zapier, so the opportunity hears about the quote without anyone retyping it.

    Salesforce and QuoteCloud
  • HubSpot and Zoho

Both through Zapier: a signed quote can move the deal on in your CRM, so the pipeline matches what the buyer accepted.

    HubSpot and QuoteCloud
  • Xero and QuickBooks Online

Native on the Business plan; on Essentials, through Zapier. Your accounting software raises the invoice, not QuoteCloud.

    Xero and QuoteCloud
  • Microsoft Excel

Through Zapier: add a row to an order register in Excel for every accepted quote, PO number included.

What the acceptance hands to your systems

The acceptance section is where the useful data is: the PO number, who signed, and the tooling payment. Each one is a Zapier trigger your ERP step can start from.

Recipient Signed Document fires when a signer signs; Form Submitted on Document when the buyer submits the PO number field; Document Payment Event when the tooling is paid. Status Changed and Recipient First Viewed Document are there too.

On the way back, a Zap can send a document, generate a PDF link to attach to the sales order, update a document's status or approve or reject a workflow.

  • Triggers: signed, form submitted, payment, status changed, first viewed, comment
  • Actions: send, generate PDF link, update status, approve or reject
  • Make scenarios and the API for the same jobs

Free for 14 days, no credit card required. Zapier, Make and the API are on Essentials, so you can connect a test quote to your ERP before you commit.

Or start the quote from the RFQ in your ERP

Some shops log every RFQ in the ERP first. The QuoteCloud API, Zapier or Make can create the quote from your RFQ template at that point: fill its data items (customer, RFQ number, part, drawing revision) and add price-table rows with a label, note, price, quantity and cost.

Your estimator opens a quote that's already started, checks the breaks and tooling, and sends it. The automation fills in what it's given; it doesn't tick options for the buyer or choose which blocks go in. Those come from the template.

Documents created through the API or Zapier carry a fee per document: US$2.00 each for the first 1,000 a month, US$1.80 up to 5,000, US$1.60 above that.

  • Create from a template, fill data items, add price rows
  • Optional items stay for the buyer to tick

Signed quote to sales order, in five steps

A typical Zap for a shop whose ERP has a Zapier connector. With an API-only ERP, a developer does the same with the QuoteCloud API.

  1. Choose the trigger

Recipient Signed Document, or Document Payment Event if the order should wait for the tooling payment.

  2. Find the customer

Look the customer up in your ERP by name or account code, or create them if they're new.

  3. Create the sales order

Map the quote's reference, total and PO number into a new sales order in the ERP.

  4. Attach the PDF

Use Generate PDF Link so the signed quote travels with the order.

  5. Test it on one quote

Sign a test quote yourself and check the order before you switch it on for everyone.

ERP and integration questions

Does QuoteCloud integrate with our ERP or MRP?

Through Zapier, Make or the QuoteCloud API, where your ERP or MRP has a connector or an API. There is no native ERP or MRP integration. A signed quote, a submitted PO number or a payment can start a Zap that raises the order in your ERP. Zapier, Make and the API are on Essentials and above.

Which Zapier triggers and actions does QuoteCloud have?

Triggers include Recipient First Viewed Document, Recipient Signed Document, Document Payment Event, Document Part Paid, Document Status Changed, Form Submitted on Document and Document Comment Event. Actions include Create Document, Send Document, Generate PDF Link, Update Document Status and Approve or Reject Document Workflow.

Is there a fee for documents created through the API or Zapier?

Yes. Documents created through the API or Zapier cost US$2.00 each for the first 1,000 a month, US$1.80 each from 1,001 to 5,000 and US$1.60 each above 5,000. The fee applies to documents created through the API or Zapier; no per-document fee is stated for Make.

Do Xero, QuickBooks, Salesforce and HubSpot connect natively?

Xero and QuickBooks Online connect natively on the Business plan, or through Zapier on Essentials. Salesforce connects with the Sync add-on or through Zapier. HubSpot, Zoho and Microsoft Dynamics 365 connect through Zapier. Your accounting software raises invoices; QuoteCloud doesn't.

Can our ERP create the quote automatically?

Your ERP or automation can create a quote from your template through the API, Zapier or Make, filling data items and adding price-table rows with a label, note, price, quantity and cost. It can't tick optional items for the buyer or choose content blocks; those come from the template, and your estimator checks it before sending.

Does QuoteCloud work with Make?

Yes. Make is supported alongside Zapier and the API on Essentials and above, so a shop already running Make scenarios can include QuoteCloud in them, for example to pass an accepted quote on to the ERP. We don't list Make modules here, and no per-document fee is stated for Make.
