Getting started with QuoteCloud

Supply agreements for the year, signed once

The year's pricing, scheduled releases and terms in one agreement, with an expiry date you can't miss.

Manufacturers use QuoteCloud for blanket and annual supply agreements: the year's pricing, monthly releases shown as repeating charges in the agreement, terms on pricing, releases and invoicing, signatures from both sides, and an expiry date with the Expiring Soon filter. QuoteCloud doesn't bill the releases or renew the agreement.

A sample annual supply agreement from a fictional job shop, Tessmore Engineering, for Quenda Robotics, shown as four sheets behind index tabs: the cover of the 2027 supply agreement for the QR-220 housing and QR-310 bracket; the scheduled monthly releases as repeating charges, $9,050 a month over 12 months; the terms on releases, pricing, invoicing and expiry, running 1 January to 31 December 2027; and both signatures, from procurement and engineering.

The year's supply, in four pages

Tessmore Engineering's 2027 agreement with Quenda Robotics, once the QR-220 went into production. One document from the Manufacturing Services Agreement template, signed once for the year.

    Monthly releases as repeating charges

Each release is a repeating charge in the agreement: 400 housings, 250 brackets and the delivery, $9,050 a month. They show what the year looks like; Tessmore invoices each release from its own system.

Supply agreements run out quietly. A plan your commercial manager can follow every year, and the QuoteCloud feature each step uses.

    2027 ends

The old agreement expires on its date. If the new one isn't signed, nothing carries on by itself.

    No automatic renewal

Your team's own process, not something QuoteCloud runs. QuoteCloud shows the expiry dates and the Expiring Soon filter; it doesn't send reminders or renew agreements.

Releases the buyer can plan around, invoiced by you

A blanket order is only useful if both sides can see the shape of the year. Repeating charges set out what ships each month and what it costs, with the 12-month strip underneath.

QuoteCloud doesn't bill the releases or track them against the agreement. Your ERP raises each release and its invoice, as it does today; the signed agreement is what both sides refer back to.

When the price clause is triggered, send a signed variation: a short document, its own signatures, the agreement unchanged.

  • Repeating charges with a frequency and a monthly total
  • Terms on releases, pricing, invoicing and expiry
  • Price changes as a signed variation, not an edit

Every agreement that ends this quarter, in one list

Each agreement has an expiry date. The Expiring Soon filter on the documents list shows which ones end next, so the 2028 offers go out with time to negotiate.

It's the same filter your estimators use for quotes about to lapse, so one list covers RFQ responses and agreements alike.

  • Expiry dates on every agreement and quote
  • Expiring Soon on the documents list

Build your supply agreement template

Once, from the Manufacturing Services Agreement template. Every agreement after that starts from it.

  1. Start from template 9

Open the Manufacturing Services Agreement and add your letterhead.

  2. Write your terms

Releases, pricing and material clauses, invoicing and expiry, in your own words. Lock them on Business.

  3. Add the releases

Each part and its monthly quantity as a repeating charge, with delivery as its own line.

  4. Set the dates

The term's start and end in the terms, and an expiry date on the document for the offer.

  5. Send for signature

Add procurement and engineering as signers. Both sign once, for the year.

Supply agreement questions

Can QuoteCloud hold a blanket or annual supply agreement?

Yes. Put the year's pricing, the scheduled releases as repeating charges and your terms on releases, pricing, invoicing and expiry in one agreement, and both parties sign it online. Start from the Manufacturing Services Agreement template or your own. Price tables with repeating items are on Essentials and above.

Does QuoteCloud invoice each release?

No. The releases are shown in the agreement as repeating charges so both sides can see the year, but QuoteCloud doesn't bill them or track deliveries against the agreement. Your ERP or accounting system raises each release and its invoice, as it does now.

Will the agreement renew automatically?

No. Each agreement has an expiry date and nothing renews by itself. The Expiring Soon filter on the documents list shows which agreements end soon, so your team can send next year's offer in time. QuoteCloud doesn't send renewal reminders.

How do we change prices during the year?

Write the rule into your terms, such as a material price clause, and when it applies send a short variation as its own document for both sides to sign. QuoteCloud doesn't adjust prices from metal indices or any other source; the figures are yours.

Can both procurement and engineering sign the agreement?

Yes. Add each as a signer and each signs with their own legally binding signature, in no fixed order, and the agreement shows who has signed and who is still to sign. The signed agreement carries a certificate of authenticity and an audit trail. eSignatures are included on every plan, including Free.
