Getting started with QuoteCloud

Manufacturing quoting questions, answered

What QuoteCloud does and doesn't do for RFQs, breaks, tooling, PO acceptance, supply agreements and your ERP.

QuoteCloud answers RFQs with quantity breaks, tooling and lead times, takes acceptance against a PO with several signers and a tooling payment, and connects to ERP and MRP systems through Zapier, Make or the API. It doesn't read CAD files, cost from drawings, check stock or create purchase orders.

RFQs, breaks and tooling

What is QuoteCloud for manufacturers?

QuoteCloud is quoting, proposal and eSignature software. Job shops, contract manufacturers, equipment builders, packaging and print firms, co-packers and distributors use it to answer RFQs from their own templates and price book, with quantity breaks, tooling and lead times, and to get quotes accepted, signed and paid online.

How do we show quantity price breaks in a quote?

Two ways. Show every break as a table in the quote with the quoted quantity marked, or put each quantity in as an alternative row in a single-choice group so the buyer picks one and the total follows. The break prices are your own pricing; QuoteCloud doesn't apply breaks by rule. Price tables are on Essentials and above.

How should tooling, NRE and setup charges appear?

As one-off lines in their own section of the price table, separate from the per-part price, with a note such as kept for repeat orders. You can take the tooling as a payment on signing, set as a fixed amount or a percentage, through Stripe or PayPal on Essentials and above.

Can the buyer change quantities or choose options?

Yes, where you allow it. Enable Quantity Editing on a line, such as spares, and the buyer changes the quantity. Optional rows let them add extras such as a first article report, and single-choice groups let them pick one quantity break or one motor size. The totals update as they choose.

Can we attach the customer's drawing?

Yes. Place the drawing as a PDF page or an image, and mark up images in the built-in editor with arrows, shapes, text and highlights (Starter and above). QuoteCloud doesn't open CAD files or price parts from a drawing; your estimator does the pricing.

Can we set an expiry date on a quote?

Yes. Give each quote an expiry date so material prices and machine time aren't held forever, and use the Expiring Soon filter on the documents list to follow up quotes about to lapse. Expiry dates and Expiring Soon are on Essentials and above.

PO acceptance and payments

Can the buyer add their PO number when they accept?

Yes. Add a text field for the PO number to the acceptance section with the Forms block, on the Business plan, and the buyer types it as they accept. If the PO arrives first, your team types it into the quote before sending. The number stays in the accepted document. QuoteCloud doesn't create the purchase order.

Can several people sign one quote?

Yes. Add engineering, procurement or anyone else as signers; each signs online with their own legally binding signature, and the quote shows who has signed and who hasn't. There is no fixed signing order. You can also have someone sign in person on your device. eSignatures are on every plan.

Can we take a deposit or tooling payment on signing?

Yes, on Essentials and above. Connect Stripe or PayPal, then set a fixed amount or a percentage of the total, or full payment, to be paid when the quote is signed. QuoteCloud takes that one payment; instalments, payment reminders and later invoices aren't part of it.

Can discounted or large quotes go to a manager first?

Yes, on the Business plan. The approval workflow puts a quote In Review when it passes a discount percentage or a total value you set, and it can't be sent until the approvers approve. Cost and margin stay in your team's view and are never shown to the buyer.

What QuoteCloud doesn't do, and what to do instead

Better to know now than after you've bought it. Each limit, and how manufacturers work with it.

  • No native ERP or MRP integration

Instead: connect through Zapier, Make or the API where your ERP has a connector or an API, so a signed quote can raise the sales order.

    ERP & integrations
  • No CAD files or costing from drawings

Instead: place the drawing as a PDF page or an image, mark it up, and your estimator prices it from your price book.

    Drawings & specifications
  • No stock or availability checks

Instead: write lead times and material terms into the quote as your own content, with an expiry date so prices don't linger.

    RFQ responses
  • No purchase orders or invoices

Instead: the PO number goes in the accepted quote, and your ERP or accounting software raises the order and the invoice.

    PO acceptance
  • No quantity breaks by rule

Instead: type your breaks into the quote as a table, or as alternative rows the buyer picks from.

    Breaks & tooling
  • No billing, instalments or auto-renewal

Instead: take one payment on signing, show releases as repeating charges, and use expiry dates and Expiring Soon for renewals.

    Supply agreements

Supply agreements and distributors

Can we send annual or blanket supply agreements?

Yes. Put the year's pricing, the scheduled releases as repeating charges and your terms in one agreement both sides sign, with an expiry date and the Expiring Soon filter to follow up. QuoteCloud doesn't invoice the releases, track them against the agreement or renew it by itself.

Can we send the same offer to all our dealers?

Yes. Bulk send creates a personalised copy of one template for each reseller or distributor, such as a new year's dealer price offer, and you can see which copies were sent, opened and accepted. Bulk send is on Essentials and above, with volume-based costs.

Is there a distributor agreement template?

Yes. QuoteCloud's template library has a Distributor Agreement covering terms, responsibilities and territory, and a Manufacturing Services Agreement covering specifications, pricing, delivery, quality, warranty and termination. Open either in your account, add your own terms and dealer levels, and send it for signature.

ERP, CRM and accounting

Does QuoteCloud integrate with our ERP or MRP?

Through Zapier, Make or the QuoteCloud API, from Essentials, where your ERP or MRP has a connector or an API. There is no native ERP or MRP integration. A signed quote, a submitted PO number or a payment can start a Zap that raises the sales order in your ERP.

Which CRMs connect to QuoteCloud?

Salesforce connects with the Sync add-on or through Zapier. Microsoft Dynamics 365, HubSpot and Zoho connect through Zapier. A signed quote can then move the deal on in your CRM, so the pipeline matches what the buyer accepted without anyone retyping it. Zapier is on Essentials and above.

Does QuoteCloud work with Xero and QuickBooks?

Yes. Xero and QuickBooks Online connect natively on the Business plan, or through Zapier on Essentials, so a signed quote can reach your accounts without retyping. Your accounting software raises the invoice; QuoteCloud doesn't create invoices itself, and it doesn't bill releases or later stages.

Can we keep the price book up to date from our ERP?

Export your item master as a CSV and import it into the product catalogue, with column mapping and validation, after each price review. The Zapier product actions or the API can also create products. There is no live price link, and QuoteCloud doesn't read stock levels.

Plans, security and getting started

Which plan does a manufacturer need?

Essentials ($39 per user per month) covers price tables, the product catalogue with CSV import, templates, payments on signing, expiry dates and Zapier, Make and the API. Business ($59) adds approvals, the Forms block for a PO number field, Gantt charts, content locking, version history and native accounting integrations.

Is there a free trial?

Yes. There is a free plan, and a 14-day free trial of Essentials or Business with no credit card required. During the trial QuoteCloud converts one of your existing templates free on Essentials, Business and Enterprise, and paid plans include a 45-minute training session.

How secure are our quotes and drawings?

QuoteCloud is hosted on Amazon Web Services with 256-bit encryption and is GDPR compliant. Signers can be asked for a one-time passcode by email before signing, and every completed document carries a certificate of authenticity and an audit trail. Enterprise adds single sign-on and IP range filtering.

Does our buyer need a QuoteCloud account?

No. Buyers open the quote from a link in their browser, ask questions in the comments, tick options, add their PO number and sign without creating an account. Card details for payments go through Stripe or PayPal and are never stored by QuoteCloud.
