Getting started with QuoteCloud

Your price book, imported and kept in your quotes

Machine rates, finishes, materials, parts and one-off charges in one catalogue with SKUs, costs and margins.

Manufacturers load their price book into QuoteCloud's product catalogue from a CSV export, with SKUs, categories, prices and costs, then add lines to quotes from it; margins are calculated and hidden from the buyer. Products can be Active, Draft or Inactive, and catalogue access is set by role. Essentials and up.

A sample price book in QuoteCloud's product catalogue for a fictional job shop, Tessmore Engineering, after 412 products were imported from a CSV file. It lists SKU, name, category, price, unit, cost, margin and status: 3-axis CNC machining at $145 an hour, 5-axis at $210 an hour, black anodise and black powder coat per 100 parts, 6061-T6 bar and plate per kg, fixtures and soft jaws and CAM programming per part number, and a first article inspection report in Draft.

From your ERP export to the catalogue, column by column

Your item master already lives somewhere: the ERP, a costing spreadsheet, last year's price list. Export it as a CSV, map each column to a catalogue field, and QuoteCloud checks every row before anything is imported.

Item code becomes SKU, the description the name, the group the category, the sell price and the standard cost come across as they are. Rows that need a look are set to Draft rather than going live with a gap.

  • Column mapping and validation before the import
  • SKUs, categories and subcategories, price and cost
  • Draft, Active and Inactive statuses
  • Bulk select, duplicate, draft or delete afterwards

How a manufacturer's price book is laid out

One catalogue, organised the way your estimators already think about a job. The units are yours: QuoteCloud just keeps the price and cost against them.

  • Machine rates

3-axis, 5-axis, turning, laser and press brake, each priced per hour with its cost, so a part is built up from the time it takes.

  • Finishes

Anodise, powder coat, passivation and plating per 100 parts or per batch, in their own category so they're quick to find.

  • Materials

Bar, plate, sheet and resin per kg or per length, with the cost you last paid. Refresh them from a new export when prices move.

  • One-off charges

Fixtures, soft jaws, CAM programming, moulds, plates and formes per part number, so tooling always lands on its own line.

  • Quality and documents

First article reports, material certificates and dimensional reports as products, so they're priced the same on every quote.

  • Packing and delivery

Cartons, pallets and metro delivery as their own lines. Freight terms stay in the quote as your own content.

Priced from the book, margin in the team's view only

In the quote, your estimator searches the catalogue and adds the lines: the machining, the finish, the fixtures and the CAM programming arrive with their prices and costs. Prices can still be edited on the quote when a job needs it.

Cost and margin go with them, visible to your team and never to the buyer. Tick an option on the right and the cost, the margin and the quote total follow.

  • Search the catalogue inside the quote
  • Several products added in one go
  • Costs and margins hidden from the customer
  • Catalogue access set by role, categories by team

One price book, instead of three

Where prices live today in most shops, and where they live once QuoteCloud is set up.

The jobTodayWith QuoteCloud
Where prices live The ERP, a costing spreadsheet and the senior estimator's memory. One catalogue every estimator quotes from, loaded from your export.
A new estimator Copies an old quote and hopes the rates are current. Adds lines from the catalogue at today's prices, within the categories their team can see.
A price review A new spreadsheet emailed round, half the quotes still on the old one. A fresh CSV import, superseded items set Inactive so nobody quotes them.
Margin Worked out in a spreadsheet beside the quote, if at all. Cost and margin on every line, in your team's view only.
Tooling and NRE Folded into the unit price by some estimators, not by others. One-off products, so tooling is always its own line.
A new service Quoted differently by everyone until someone writes it down. Added as Draft, priced once, made Active when it's ready.

Import your price book in five steps

Most of the work is deciding categories. The import itself takes minutes.

  1. Export a CSV

From your ERP, MRP or costing spreadsheet: item code, description, group, sell price and cost.

  2. Choose categories

Machining, finishes, materials, one-off and services, with subcategories where they help.

  3. Map and check

Map each column to a catalogue field and let the validation flag rows that need a look.

  4. Import and tidy

Import, then set anything unfinished to Draft and anything superseded to Inactive.

  5. Set who sees what

Assign categories to teams and set catalogue permissions by role.

Price book questions

Can we import our price book from a CSV file?

Yes. Export your items from your ERP, MRP or spreadsheet as a CSV, map each column to a catalogue field such as SKU, name, category, price and cost, and QuoteCloud validates the rows before importing them. The product catalogue and CSV import are on Essentials and above.

Does the price book stay in sync with our ERP?

Not by itself. There is no live price link to an ERP. After a price review, export again and import the updated file, or use the Zapier product actions or the API to create products if your ERP can send them. Mark superseded items Inactive so estimators don't quote them.

Can our customers see our costs or margins?

No. Each product holds a price and a cost, and QuoteCloud calculates the margin. Cost and margin are visible to your team in the catalogue and in the price table's hidden columns, and never shown to the customer in the quote they read.

Does QuoteCloud show stock levels or apply quantity breaks?

No. QuoteCloud doesn't check inventory or availability and doesn't take supplier price feeds. Quantity breaks are your own pricing, shown in the quote as a table or as alternative rows the buyer picks from; they aren't applied to products by rule.

Can we control who sees and edits the price book?

Yes. Catalogue permissions are set by role, and product categories can be assigned to teams, so a distributor team sees only its own ranges. Products can be Active, Draft or Inactive, so new items stay out of quotes until they're priced. Custom roles and teams are on Essentials and above.
