Getting started with QuoteCloud

Signed partnerships into your CRM and finance system

Zapier, Make or the QuoteCloud API from Essentials, native Xero and QuickBooks on Business, and an honest list of what connects.

QuoteCloud connects to the CRM and finance tools not-for-profits use through Zapier, Make or the QuoteCloud API from the Essentials plan: for example, a signed partnership can update a HubSpot or Salesforce record, or a paid membership a Google Sheet. Xero and QuickBooks Online are native on Business, otherwise via Zapier. There's no fundraising-platform integration.

Two sample views from a fictional children's literacy charity, Paperbark Reading Trust. Behind: the signature block of a partnership proposal to Fernhollow Foods, signed by the head of marketing with a first payment of $16,995.00 paid via Stripe. In front: the document's activity, from proposal opened and Champion tier chosen to both signatures and the first payment paid to Paperbark's own account: the events a Zapier zap can use to update a CRM record or a spreadsheet.

Every system, and exactly how it connects

An honest list for not-for-profits. Zapier, Make and the QuoteCloud API are on the Essentials plan and up; native integrations are on Business.

  • HubSpot and Zoho CRM

Through Zapier: a signed partnership or a paid membership updates a contact or deal record.

    HubSpot and QuoteCloud
  • Salesforce

Through Zapier, or the Salesforce Sync add-on for teams that run partnerships in Salesforce.

    Salesforce and QuoteCloud
  • Your donor CRM

Through Zapier, Make or the API, where your CRM has a Zapier or Make connector or its own API. There's no direct donor-CRM integration.

    API, Zapier and Make
  • Xero and QuickBooks Online

Native on the Business plan; on Essentials, through Zapier. A signed program agreement can become an invoice in your finance system.

    Xero and QuoteCloud
  • Google Sheets

Through Zapier: a partner register or member list that gains a row when a document is signed or paid.

    Google Sheets and QuoteCloud
  • Stripe and PayPal

Payments on signing into your own connected account. No donation pages, receipts or fundraising-platform integrations.

    Online payments

One zap: a renewal paid, the member register updated

Northgate Library signs its 2027 membership renewal and pays $737.00 through PayPal. A zap that starts on Document Payment Event adds a row to Paperbark's member register in Google Sheets, with the member, the amount and the date.

A second zap on Recipient Signed Document can update the matching record in your CRM. The zaps only move information about documents: they don't tick options, choose tiers or pick content for a document.

  • Triggers: Recipient First Viewed, Recipient Signed Document, Document Payment Event, Document Part Paid, Status Changed, Form Submitted on Document, Comment Event
  • Actions: Send Document, Generate PDF Link, Update Status, Approve or Reject Workflow

Renewals created from your own system, through the API

If your membership database has an API or an automation tool of its own, it can ask QuoteCloud to create each renewal from your template: the member's name and details filled into data items, and their fee added as a price-table row.

Your team checks it and sends it, or the automation does with Send Document. The example is illustrative: your developer or integration partner builds it against your own system.

  • Create a document from a template
  • Fill data items and add price-table rows at creation
  • Documents created through the API or Zapier: US$2.00 each for the first 1,000 a month, less above that

Integration questions

Does QuoteCloud integrate with our donor CRM?

Through Zapier, Make or the QuoteCloud API, where your CRM has a Zapier or Make connector or an API of its own. There's no direct integration with a donor CRM, so check which connectors your system offers. Zapier, Make and the API are on the Essentials plan and up.

Does QuoteCloud work with HubSpot or Zoho CRM?

Yes, through Zapier. For example, a zap on Recipient Signed Document can update a HubSpot or Zoho deal when a partner signs, and one on Document Payment Event can record the first payment. Zapier needs the Essentials plan or above.

Does QuoteCloud connect to Salesforce?

Yes, in two ways: through Zapier, or with the Salesforce Sync add-on for teams that manage partnerships and sponsorships in Salesforce. Ask us about the add-on if Salesforce is your main system.

Does QuoteCloud connect to Xero or QuickBooks?

Yes. Xero and QuickBooks Online integrations are native on the Business plan; on Essentials, connect them through Zapier. A signed fee-for-service agreement can then become an invoice in your finance system without retyping.

Does QuoteCloud integrate with fundraising or donation platforms?

No. QuoteCloud has no fundraising-platform or donation-page integration, and it doesn't issue tax receipts. It takes payments only when a document is signed, through the Stripe or PayPal account your organisation connects. Your fundraising platform and receipting stay as they are.

What does it cost to use Zapier or the API?

Zapier, Make and the API are included from the Essentials plan. Documents created through the API or Zapier carry a fee: US$2.00 each for 1 to 1,000 a month, US$1.80 for 1,001 to 5,000 and US$1.60 above that. No fee is stated for Make.

Can automation choose a sponsor's tier or add content?

No. The API, Zapier and Make can create a document from a template, fill its data items and add price-table rows. They don't pre-select tiers or options or choose which content blocks go in. The partner makes their own choices in the document.

Can our team get Slack or Microsoft Teams alerts?

Yes. The Slack and Microsoft Teams integrations post alerts for document updates, comments and actions. For signed or paid documents, use a zap or your email notifications instead.
