Getting started with QuoteCloud

Sponsorship proposals partners choose and sign

Tiers the partner picks between, add-on assets they tick, your impact in their words and both signers signing online.

Charities and community organisations use QuoteCloud to send corporate sponsorship and partnership proposals: tiers as a single choice with their benefits, add-on assets such as logo placement, tables and naming rights as optional rows, approved impact stories from the content library, two signers, and a first payment on signing through Stripe or PayPal into the organisation's own account.

Paperbark Reading Trust's 2027 partnership proposal for Fernhollow Foods (fictional). Three tiers stand like book spines: Community $10,000, Champion $25,000 and Founding $50,000. Champion slides out and opens into its benefits: reading packs for 300 children, a logo on the partner page, a thank-you in the annual report, two impact visits and a quarterly impact story, plus two ticked add-ons, a logo on 1,200 reading packs (+$3,500) and a table at the Big Book Breakfast (+$2,400). The staff reading day is not ticked and the reading bus naming rights are included only in Founding. Total $33,990.00 including tax; first payment on signing $16,995.00, paid via Stripe.

Be the sponsor: choose, tick, sign and pay

This is the part of the proposal Fernhollow Foods works through. Pick a tier, tick the assets your marketing team wants, then both signers sign and the first payment is made.

The first payment is set as a percentage or a fixed amount and paid through Stripe or PayPal into your own account when the partner signs. The second payment is your own invoice: QuoteCloud doesn't run instalments or send reminders.

How payments on signing work

The partnership proposal, part by part

Paperbark's Reading Champions proposal for Fernhollow Foods, read top to bottom, with what your team writes, what comes from the library and what the partner decides.

  1. Your team writes

A cover written to the partner

It opens on Fernhollow's region and the children a partnership would reach, written to Jasmine Kaur, not a mail merge. The cover photo, intro and colours come from your partnership template.

Every child in the Fernhollow region going home with books they chose. Here is how a partnership with Fernhollow Foods would fund it in 2027, the tiers to choose from and what your team gets back.

  2. From the library

    An approved impact story

Tess drops in a story and Paperbark's own 2025–26 figures from the impact library, so every proposal tells the same, approved story. The figures are labelled as Paperbark's own.

    Mia's first library card

Mia was six when a Paperbark pack of twelve books arrived at her home. By the end of the year she had read every one with her dad, and asked her teacher how to join the library.

Shared with her family's permission. Name changed.

  3. Partner chooses

    Tiers as a single choice

Community, Champion or Founding: the partner picks one and the price table's tier line follows. Each tier's benefits sit in its row's note, so nothing is lost in a separate benefits grid.

  5. How it's paid, and a question answered

Half on signing; the second half is Paperbark's own invoice on 1 July 2027, written here as content. Jasmine asked about the reading day in a comment and Tess replied in the same thread.

    How the partnership is paid

    • Half of the year's total is paid by card when both signers have signed.
    • The second half is invoiced by Paperbark on 1 July 2027, on our usual 14-day terms.
    • Impact visits are booked with your team once the partnership starts.
    • Figures in this proposal are Paperbark's own program figures for 2025–26.

Jasmine KaurCould the staff reading day be in Term 2 rather than Term 1?

Tess, PaperbarkYes. We'll pair your team with a Year 2 class in May.

  6. Two signers, then the first payment

Jasmine and Robert each sign with their own signature. When both have signed, the 50% first payment is made via Stripe into Paperbark's account, and the document carries a Certificate of authenticity and an audit trail.

Paid on signing

The partnership starts with money in the bank

Robert Tanaka signed second, and Fernhollow's first payment went straight to Paperbark's Stripe account. The second half is Paperbark's own invoice in July.

Set up a partnership proposal once, send it all year

The steps a partnerships manager follows the first time, and every time after that.

  1. Build the tiers

A price table with your tiers as a single-choice group, each tier's benefits in its row's note.

  2. Add the assets

Logo placement, event tables and naming rights as optional rows, with their prices.

  3. Set the first payment

A percentage or a fixed amount on signing, paid through Stripe or PayPal.

  4. Write to the partner

A cover and intro for this company, plus a story from the impact library.

  5. Send to both signers

Each signs in their own block; you see the signatures and the payment in the activity.

Sponsorship proposal questions, answered

How do I show sponsorship tiers in a proposal?

Put the tiers in a price table as a single-choice group, from the Essentials plan. Write each tier's benefits in the row's note, mark the one you'd suggest as the default, and the partner picks one before signing. The total, tax and any payment on signing follow their choice.

Can a sponsor add extras such as naming rights or an event table?

Yes. Add each asset as an optional row in the price table with its price and a short note. The partner ticks the ones they want and the totals update. If an asset is part of a higher tier, say so in the tier's benefits so it isn't charged twice.

Can the sponsor pay part of the partnership when they sign?

Yes, from the Essentials plan. Set a first payment as a percentage of the total or a fixed amount, paid through Stripe or PayPal into your organisation's own account when the signers sign. Later payments are your own invoices: QuoteCloud doesn't run instalments, recurring billing or payment reminders.

Can the head of marketing and the CFO both sign?

Yes. Add each signer to the proposal and each signs with their own signature, on any device, without an account. When everyone has signed, the document carries a Certificate of authenticity and an audit trail. Signing order isn't set: each signer can sign when they're ready.

Does QuoteCloud issue receipts or handle tax for sponsorships?

No. QuoteCloud takes the payment on signing into your Stripe or PayPal account and marks the proposal paid. Invoices, receipts and the tax treatment of a sponsorship stay with your finance team and your accounting software.

Can we reuse our impact stories in every proposal?

Yes, from the Essentials plan. Save approved stories, program descriptions and your own figures in the content library and drop them into any proposal. On the Business plan you can lock blocks so the approved wording can't be edited in a proposal.
