Getting started with QuoteCloud

Partner MOUs both organisations sign online

Who does what, the partner's details collected in the document, a review date and two signatures, with no money involved.

Not-for-profits use QuoteCloud for memorandums of understanding with libraries, schools, councils and other charities: the roles of each partner, a Forms block where the partner enters its details (Business), a start and review date, and signatures from both organisations with a certificate of authenticity and audit trail. No price table or payment is needed.

A sample memorandum of understanding from a fictional children's literacy charity, Paperbark Reading Trust, open in the signing view on a tablet: a volunteer reading partnership with Northgate Community Library, the partner details the library filled in (contact for volunteers, Saturday mornings, a children's corner that seats 30, child safety policy attached), and what each organisation agrees to from 6 February 2027 with a review after Term 2. The library manager, Ruth Adeyemi, signs in person and the button turns to Signed. Two notes: partner details filled in with a Forms block on the Business plan, and signed by both organisations with no payment involved.

The Northgate MOU, part by part

Paperbark's volunteer reading partnership with a community library: one document, read the way the library manager reads it.

  1. Your team writes

    Who it's between, and why

A cover written to Northgate Community Library: what the partnership is for and when it starts. Your team writes this part for each partner, in an MOU template you build once.

  3. Locked block

Who does what, and when you'll review it

Each organisation's part, a clause saying no money changes hands, the start date and a review after Term 2. Keep the clauses you use in every MOU as a locked block, so nobody rewrites them by accident.

One way of working for every kind of partnership

Build one MOU template for each kind of partnership you have, then change the partner, the people and the dates.

  • Volunteer placements

Your volunteers working at a partner's site: who recruits and trains them, who supervises on the day, and the hours they'll be there.

  • Venue and space use

A school hall, a library corner or a community centre room: the space, the days, and who looks after keys, set-up and pack-down.

  • Co-delivered programs

Two organisations running one program: each partner's part, how you'll credit each other, and how you'll share what you learn.

  • Referral partnerships

Agencies referring families to your program and back: what each partner passes on, and the privacy terms you both follow.

Partner details collected in the MOU itself

Instead of emailing a form and copying the answers into the agreement, put a Forms block in the MOU. The partner fills it in when they open the document, then signs, so the details and the signatures sit in one record.

Want the answers in your partner register as well? Form Submitted on Document is a QuoteCloud trigger in Zapier, so a zap can add them to a Google Sheet or a CRM record (Zapier: Essentials and up).

  • Text fields, checkboxes and choices
  • Filled in by the partner, inside the document
  • Never a form on your website: it travels with the MOU

Partnerships

Goodwill, with a signed record behind it

Partnerships run on trust. A short MOU that both organisations have read, filled in and signed means everyone still knows who does what when staff change or the review comes round.

From a first meeting to a signed MOU

What a programs lead does once the partner has said yes in principle.

  1. Build your MOU template

There's no MOU template in the library, so build your own, or adapt the Partnership Agreement template.

  2. Add the partner

Their organisation and signer, the start date and the roles you agreed at the meeting.

  3. Partner fills in details

Contacts, days and spaces, entered in the Forms block (Business plan).

  4. Both sign

Their signer and yours, each with their own signature, online or in person.

  5. Keep the record

The signed MOU with its certificate of authenticity, ready for the review.

Partner MOU questions

Is there an MOU template in QuoteCloud?

Not as such. The template library has no memorandum of understanding template, so organisations build their own: a cover, each partner's role, a Forms block for the partner's details, the term and review date, and a signature block. The Partnership Agreement template is a good starting point to adapt, and one template conversion is free during the trial.

Can the partner fill in their details inside the MOU?

Yes, on the Business plan. A Forms block sits inside the document with text fields, checkboxes and choices, such as the partner's contact, session days and the space available. The partner fills it in when they open the MOU, before signing. It's part of the document, not a form on your website.

Can both organisations sign the same MOU?

Yes. Add a signer from each organisation, such as the partner's manager and your chief executive. Each signs with their own signature, online or in person on your device. Once both have signed, the MOU carries a certificate of authenticity and an audit trail. eSignatures are included on every plan, including Free.

Does an MOU need a price table or a payment?

No. A QuoteCloud document can be text, a form and signatures only. Leave out the price table and there's nothing to pay: the MOU simply records what each organisation agrees to do, with a clause saying no money changes hands if that suits you.

Is a signed MOU legally binding?

QuoteCloud eSignatures are legally binding and eIDAS compliant, so the signatures themselves count. Whether a memorandum creates legal obligations depends on its wording and what the partners intend, which is a question for your own adviser. QuoteCloud records who signed, and when, in the audit trail.

Can the partner's details go into our partner register?

Yes, through Zapier from the Essentials plan. Form Submitted on Document is a QuoteCloud trigger in Zapier, so a zap can add the partner's answers to a Google Sheet or a CRM record. The Forms block itself needs the Business plan.

Does QuoteCloud screen or roster volunteers?

No. QuoteCloud prepares, sends and records signed documents. Volunteer screening, checks and rosters stay in the systems you already use. The MOU can set out which organisation is responsible for each of them.
