Getting started with QuoteCloud

Your impact stories, approved once and used everywhere

Stories, program descriptions, your own figures and photos saved in the content library, locked where they must not change.

Not-for-profits use QuoteCloud's content library (Essentials and up) to keep approved impact stories, program descriptions, case studies, their own program figures and photo sets in folders, and drag them into any proposal or application. Content locking (Business) keeps figures and terms from being edited by accident.

Four sample library blocks from a fictional children's literacy charity, Paperbark Reading Trust, filed behind index tabs and taking turns at the front: a story-led cover for its Reading Champions partnership, the charity's own program outcomes with baselines and targets labelled as its own figures, the Community, Champion and Founding partnership tiers, and the standard terms of a service agreement.

One grant application, assembled from the library

Kiri is applying to a family foundation. Most of what the funder asks for is already approved and waiting in Paperbark's content library.

  • Saved once, used in every document

Stories, program outlines, figures and photos live in folders in the library, not in last year's proposal.

  • The figures stay as approved

Lock the figures and the governance statement so they read the same in every application.

What to keep in a not-for-profit library

Anything you've rewritten for the third time this year belongs here. Organise it in folders, pin the ones you use most and search the rest.

  • Impact stories

The stories you have permission to share, in a short and a long version, each with its photo.

  • Program descriptions

What each program does, who it's for and how it runs, written once by the program lead.

  • Your own figures

Reach, baselines and results from your own reporting, labelled as yours with the period they cover, and locked.

  • Case studies

A school, a council or a partner you've worked with, told the way your partnerships team tells it.

  • Tiers and price tables

Partnership tiers and add-on assets saved as a price table, with their options and notes intact.

  • Standard terms

Child safety, use of your name and logo, privacy and how agreements end, as locked blocks.

Figures labelled as yours, and locked

Funders and sponsors read your numbers closely. Keep them in one library block, labelled as Paperbark's own figures with the period they cover, and lock it so nobody tweaks a percentage in one proposal and not the next.

When the 2026–27 figures are signed off, update the block in the library once and use the new one in new proposals. QuoteCloud doesn't check or verify your figures: they're your organisation's own.

  • Baselines, targets and how you measure them
  • Labelled as the organisation's own figures
  • Locked: usable in documents, not editable there

Help drafting a case for support, from your own material

Starting a case for support for a new funder? In the editor, AI Co-Worker can draft an introduction from your call notes, shorten a long story or change its tone, working from what you give it.

Whatever it writes is flagged until someone on your team accepts, edits or rejects it. It doesn't write the document by itself or send anything, and your figures still come from your locked library block.

  • Draft, expand, shorten or rewrite in the editor
  • Flagged until a person accepts it
  • Your figures and stories stay your own

Project summary

Children in the northern suburbs start school with fewer books at home than the regional average. Books at Home gives 600 families a pack of 12 books their child chooses, two reading coaches in four primary schools and 24 family reading sessions, then measures what changes over the year.

Build the library in an afternoon

Start with the blocks you copy most often. The rest can follow as you write.

  1. Gather the best versions

Your strongest story, program outlines, this year's figures and the photos you can use.

  2. Save them as blocks

Select them in a document and add them to the company library, in folders.

  3. Lock what mustn't change

Figures and standard terms as locked blocks (Business).

  4. Pin the favourites

The blocks your team uses every week, pinned at the top of the library.

  5. Drag into proposals

Build the next sponsorship proposal or application from them.

Impact library questions

What can we keep in QuoteCloud's content library?

Any block from a document: impact stories, program descriptions, case studies, your own figures, standard terms, and price tables such as partnership tiers with their options. You can also upload images and PDFs into folders. Content is saved as personal or company content, and the library is on the Essentials plan and up.

Can we stop our figures being edited by accident?

Yes, on the Business plan. Lock a company library block and it can still be dragged into documents, but it can't be edited there. Only admins and users with the right permissions can unlock it in the library.

Who can use and change the library?

You decide by role. Access to the content libraries, and permission to add or edit content, are set in Users, Teams & Roles, so volunteers can use approved stories while only the communications lead changes them.

If we update a story in the library, do proposals already sent change?

Treat the library as the source for new documents. When a story or your figures change, update the block in the library and use the new version in new proposals. Check any proposal still in progress and replace the block there yourself.

Can AI write our case for support?

Not by itself. On the Business plan, AI Co-Worker helps your team in the editor: it can draft an introduction from your notes, shorten or rewrite a story, or change its tone. Everything it writes is flagged until a person accepts, edits or rejects it, and your figures should come from your own library blocks.

Does QuoteCloud check our impact figures?

No. Your figures are your organisation's own, taken from your own reporting. QuoteCloud stores and presents them; it doesn't verify them. Label each figure with the period it covers and lock the block so it reads the same everywhere.

Can we find a block quickly when the library grows?

Yes. Organise blocks in folders, pin the ones your team uses most so they sit at the top, and search or filter the content libraries page by folder. Several blocks can be selected and dropped into a document together, in order.
