Getting started with QuoteCloud

Automotive quoting questions, answered

What QuoteCloud does for workshops, smash repairers, tyre shops, fit-out specialists, detailers and fleet providers, and what it doesn't.

QuoteCloud sends service and repair quotes, inspection findings with photos, fit-out and tyre packages and fleet agreements that customers tick, sign and pay a deposit on. It doesn't decode VINs, look up supplier parts, book jobs, send automatic reminders or bill fleet charges, and it connects to workshop systems through Zapier or the API.

Service and repair quotes

What is QuoteCloud for automotive services?

QuoteCloud is quoting, proposal and eSignature software for mechanical workshops, smash repairers, tyre shops, auto electricians and 4WD fit-out specialists, detailers, caravan service centres, fleet maintenance providers and dealer service departments. You send quotes from your own templates, with parts and labour, inspection photos and optional items that customers tick, sign and pay a deposit on online.

Can a quote split parts and labour?

Yes. Price tables have section headings with group subtotals, so the scheduled service and each repair can show labour and parts as separate lines or groups. Labour is priced per hour and parts per unit from your product catalogue, with tax and the total calculated as the customer ticks. Price tables are on Essentials and above.

Can customers choose recommended and urgent work themselves?

Yes. Put findings in urgent, recommended and can-wait groups as optional rows. Tick the urgent items as defaults in your template; the customer ticks or unticks the rest on their phone, and the total and deposit update as they do. The signed quote records exactly what was approved.

Where do the prices in a quote come from?

From your own product catalogue: parts, service kits and labour rates with a SKU, category, price and cost, imported from a CSV and kept up to date by your team. Advisors pick lines into the quote, and the cost and margin stay hidden from the customer. Product catalogue: Essentials and above.

Can a quote have an expiry date?

Yes. Each quote can carry an expiry date, and the Expiring Soon filter on your documents list shows the quotes that run out next, so the service desk can call customers before the prices lapse. Nothing is sent to the customer automatically when a quote is about to expire.

Inspections and photos

Can we include inspection photos and marked-up images?

Yes. Image and gallery blocks put inspection photos in the quote, and the built-in image editor lets you crop, rotate and add arrows, shapes, highlights, text and freehand marks to show the worn part. Image blocks and the image editor are on Starter and above.

Does QuoteCloud rate the findings for us?

No. The ratings, such as urgent, recommended or can wait, and the wording of each finding are your technician's. QuoteCloud puts them in front of the customer in a clear layout, with the photos and the price of each fix as an optional row they can tick.

Can a technician fill in an inspection checklist inside the quote?

On the Business plan, the Forms block puts a form inside a document, so a checklist can be filled in within QuoteCloud. QuoteCloud isn't an offline inspection app; it runs in a browser and needs a connection. Or keep your checklist where it is and add the findings to the quote.

Approval, eSignatures and deposits

Is an eSignature on a quote legally binding?

Yes. QuoteCloud eSignatures are legally binding and eIDAS compliant, and every signed document carries a certificate of authenticity and an audit trail. The customer doesn't need an account to sign, and an optional one-time passcode by email can confirm who is signing. eSignatures are on every plan.

Can customers sign at the counter?

Yes. A customer can sign in person on your device, such as a tablet at the service desk, as well as online from their own phone or computer. Several signers can each sign their own signature block, for example both owners of a car.

Can we take a deposit for parts when the customer signs?

Yes, from the Essentials plan. Set a deposit as a percentage of the total or a fixed amount on the document, or ask for full payment, and the customer pays through Stripe or PayPal straight after signing. A Stripe or PayPal account is required. The document is then marked Paid.

Can customers pay the balance at pickup in QuoteCloud?

QuoteCloud takes payment when a document is signed: a deposit or the full amount. It doesn't send a later bill for the balance, run instalments or send payment reminders. Collect the balance at pickup through your workshop system or point of sale as you do today.

Can we see when a customer opens the quote?

Yes. Document tracking notifies you when a customer opens their quote, and the document.s activity shows when they signed and paid. Use it to call at the right moment instead of leaving voicemails. Tracking and notifications are on Essentials and above.

What QuoteCloud doesn't do

Does QuoteCloud decode VINs or look up parts prices?

No. QuoteCloud doesn't decode VINs or connect to supplier parts catalogues, and it has no stock levels or purchase orders. Vehicle details are typed into the quote by your team, and prices come from your own product catalogue, which you import and update from a CSV file.

Does QuoteCloud book jobs or send service reminders?

No. QuoteCloud has no booking calendar and doesn't send automatic service reminders. You can bulk send a seasonal offer to a customer list from one template (Essentials and up, volume-based costs) and see who opened and accepted it. Bookings stay in your workshop system or calendar.

Does QuoteCloud create invoices or work orders?

No. QuoteCloud sends quotes and agreements, collects eSignatures and takes a payment on signing. Invoices, work orders and job cards stay in your workshop system or accounting software, which an automation through Zapier, Make or the API can update when a quote is signed or paid.

Does QuoteCloud integrate with insurer or assessor platforms?

No. You can email a smash repair quote or its PDF to an assessor and add them as a recipient, but QuoteCloud doesn't connect to insurer or assessor platforms. Claim numbers and assessor notes are typed by your estimator, and the owner signs the quote as the authority to repair.

Does QuoteCloud bill fleet or plan charges every month?

No. Monthly charges in a fleet agreement are shown as repeating charges in the signed document only; you invoice them from your accounting system. QuoteCloud doesn't run recurring billing, and agreements don't renew by themselves: each one ends on its expiry date.

Fleet agreements and offers

Can a fleet agreement price servicing per vehicle?

Yes. Put each vehicle class on a repeating price item, such as a van service plan per month, with the number of vehicles as the quantity. The agreement shows each class, the monthly total, the term, your terms and the expiry date, and the fleet manager signs online.

How do we re-sign fleet customers before their agreement ends?

Give each agreement an expiry date and use the Expiring Soon filter to see which fleets end next. Send a new agreement from your fleet template in good time; document tracking shows whether it has been opened. Nothing renews or reminds by itself, so the follow-up is your team's.

What is bulk send?

Bulk send sends one template to a list of customers as personalised copies, such as a pre-summer car check with add-ons to tick. You see who each copy was sent to, who opened it and who accepted. It's on Essentials and above, with volume-based costs, and it isn't an automatic reminder system.

Workshop systems, DMS and accounts

Does QuoteCloud connect to our workshop management system or DMS?

Through Zapier, Make or the QuoteCloud API, from the Essentials plan, where your workshop system or DMS has a connector or an API. There is no native workshop or DMS integration. Triggers include a signed document and a payment; documents created through the API or Zapier carry a per-document fee.

Does QuoteCloud work with Xero, QuickBooks and HubSpot?

Xero and QuickBooks Online are native integrations on the Business plan, or connect through Zapier on Essentials. HubSpot connects through Zapier. QuoteCloud passes on what a signed quote or a payment contains; it doesn't keep two-way sync between the systems or replace your accounting software.

Can Slack or Microsoft Teams post updates from QuoteCloud?

Yes. The Slack and Microsoft Teams connections post document updates, comments and actions to a channel your team chooses. They are not a replacement for your workshop system; use Zapier triggers such as Recipient Signed Document to update job cards where your system has a connector.

Plans, set-up and templates

Which QuoteCloud plan does a workshop need?

Most workshops start on Essentials (US$39 per user a month): price tables, the product catalogue, templates, payments, bulk send and Zapier, Make and the API. Business (US$59) adds approval workflow, content locking, version history, the Forms block and native Xero and QuickBooks. eSignatures are on every plan, including Free.

Are there automotive templates?

Yes. The template library has a Car Service & Repair Quote, a Fleet Servicing Proposal and a Car Sale Agreement, plus a Car Wash Business Plan for your own planning and general estimates. Most workshops then build their own quote template for each kind of job in the QuoteCloud editor.

Will QuoteCloud help us set it up?

Yes. During the trial of Essentials, Business or Enterprise, QuoteCloud converts one of your existing templates for free, and paid plans include a 45-minute training session. Onboarding services, professional services for integrations and premium support are also available for larger workshops and dealer groups.

Is there a free trial?

Yes. QuoteCloud has a free plan with two documents a month and eSignatures, and a 14-day free trial of Essentials or Business with no credit card required. You can load your price book and send your first live quotes to customers during the trial.
