Getting started with QuoteCloud

Vehicle inspections with photos, rated and priced in one quote

Each finding photographed, marked up and rated by your technician, then priced as an item the customer can tick.

With QuoteCloud a workshop puts its multi-point inspection inside the quote: photos of each finding, a marked-up image of the worst one, the technician's urgent, recommended and can-wait ratings, and each finding priced as an optional row. The customer sees why, ticks what to do and signs.

A technician's photo of a front brake from a fictional workshop, Kettlebrook Auto Service, under a magnifier that settles on three spots in turn: the pad at 3 mm and the scored rotor, both rated urgent, and the caliper with no leaks, checked OK. In front, finding 1 as the customer reads it in the quote: front brake pads and rotors, rated urgent by the technician, pads at 3 mm and rotors scored below the minimum, an optional row ticked by the workshop at $629.00.

From the technician's rating to the groups in the quote

Seven findings from Nadia's 90,000 km inspection. Move any of them to another group, or leave one out, and see the quote she'll get.

A demo with a fictional workshop. The ratings are your technician's and the grouping is your service advisor's: QuoteCloud doesn't rate, diagnose or read data from the car. In QuoteCloud each group is a section of optional rows in your quote template, and rows can be ticked as defaults before you send. Price tables: Essentials and up.

What happens when the customer ticks and signs

Photos where the customer can't see the problem

A worn pad is out of sight and a cracked belt is under the bonnet. The findings block puts every item under the technician's rating with a thumbnail of the photo taken on the hoist, so 'urgent' comes with a reason.

Upload the photos into image or gallery blocks in the quote; number them to match the findings and the price lines. Items checked and found OK go in too, so the customer sees what was looked at, not just what costs money.

  • Findings grouped by your technician's rating
  • Photos numbered to match the price lines

What to photograph on an inspection

Set the photo list once in your inspection template and every technician takes the same shots. Photos are taken on your own phone or tablet and uploaded into the quote.

  • The measurement

The pad against a gauge, the tread depth on the edge that's worn: a number the customer can see.

  • The wear pattern

An inner-edge tyre photo explains the alignment line without a word from the advisor.

  • Leaks and cracks

Close up, then a wider shot so the customer knows where on the car it is.

  • One marked up

The worst finding circled with the image editor: crop, arrow, text, highlight.

  • What's OK

The battery test or the brake fluid reading that passed. Good news builds trust in the bad news.

  • The same block every time

One inspection block in every service template, so every customer reads findings the same way.

The brake pad, circled. The yes, in writing.

Hamish marked up the front brake in QuoteCloud's image editor. Nadia read it on her phone, ticked the alignment as well, and signed.

The inspection workflow once your inspection block is part of every service template.

  1. Inspect

The technician works through the template's checklist and photographs each finding.

  2. Rate

Each finding gets the technician's rating: urgent, recommended, can wait or OK.

  3. Upload & mark up

Photos go into the quote's image blocks; circle the worst one in the image editor.

  4. Price

Each finding becomes an optional row from your price book, urgent ones ticked.

  5. Send

The customer reads the findings, ticks the work and signs.

Inspection questions

Can we add inspection photos to a quote?

Yes. Image and gallery blocks put the technician's photos in the quote next to the findings and the price lines. The built-in image editor crops, rotates and adds text, shapes, arrows, highlights and freehand marks, so the worn part is circled. Image blocks and the editor are on the Starter plan and above.

Does QuoteCloud rate the findings or diagnose faults?

No. The ratings are your technician's: urgent, recommended, can wait or checked OK. QuoteCloud doesn't diagnose, rate findings automatically or read data from the car's computer. It presents the findings, photos and prices your team puts in the quote.

Is there an app for taking inspection photos?

QuoteCloud runs in the browser on a phone, tablet or computer; there's no separate inspection or photo-capture app. Technicians take photos with their own device and upload them into the quote's image blocks, or the advisor adds them from the workshop computer.

How does the customer choose which findings to fix?

Each finding is an optional row in a group such as urgent, recommended or can wait. You can tick the urgent rows as defaults; the customer ticks or unticks the rest and the total and deposit update as they do. They then sign, and the signed document records what was approved.

Can items checked and found OK be shown too?

Yes. The findings block in the sample shows a 'Checked, OK' group for the battery, steering and lights. They carry no price, so they sit in the inspection section rather than the price table. Showing what passed helps the customer trust what didn't.
