Getting started with QuoteCloud

Your parts price book and labour rates, in every quote

Parts, service kits and labour rates in one product catalogue, imported from a CSV, with costs and margins kept from customers.

QuoteCloud's product catalogue holds a workshop's parts, service kits and labour rates with SKU, category, price, cost and margin. Import and update it from a CSV with column mapping, keep items Active, Draft or Inactive, and pick lines into quotes. The prices are your own: QuoteCloud doesn't connect to supplier parts catalogues or look up parts by VIN.

A fictional workshop's product catalogue in QuoteCloud, after a CSV import that updated 412 items: workshop labour at $160 an hour and auto-electrical labour at $175, synthetic oil per litre, an oil filter, a front pad and rotor kit at $389, an all-terrain tyre at $329, a dual-battery system kit as a draft and a superseded brake kit marked inactive, each with its cost and margin.

Picked from the price book, not typed in

Every line in Nadia's service quote comes from the workshop's catalogue: labour by the hour at the workshop rate, oil by the litre, filters and plugs each, and each repair as a job with its parts and labour in the note.

The advisor picks the item and sets the quantity; the price, the description and the cost come with it. The customer sees the price and the total, never the cost or the margin.

  • Labour per hour, parts per unit, kits per job
  • Separate groups for labour and parts, with subtotals
  • Optional rows for the work the customer chooses
  • Cost and margin kept from the customer

What a workshop keeps in its price book

Confirmed product catalogue features, set up the way a service desk quotes.

  • Labour rates by work type

Workshop, auto-electrical, fit-out or diagnostic labour as separate items, each with its own hourly rate and cost.

  • Service kits

A brake kit or a 90,000 km parts kit as one item priced per kit, so the same job is always quoted the same way.

  • SKUs and categories

Your own codes and categories such as labour, service parts, brakes, tyres and fit-out, with filters to find them fast.

  • Cost and margin

Each item's cost and margin for your team only. Hide cost columns from the customer in every quote.

  • Active, Draft, Inactive

Keep a new kit as a draft until it.s ready, and mark a superseded part inactive when its replacement arrives.

  • Who can change prices

Role permissions decide who edits the catalogue and who only picks from it.

Where typed prices cost a workshop money

What changes when every advisor quotes from one price book.

The jobTyped inFrom the price book
Labour rates Each advisor's own idea of the hourly rate for an electrical job. One item per labour type with its rate, picked into every quote.
Parts prices Last month's price from memory, or a supplier invoice on the desk. This month's prices, imported from your own CSV in one go.
Margin A discount given at the counter without knowing what the part cost. Cost and margin in the catalogue, and approval on big discounts on Business.
Superseded parts An old kit quoted by mistake, then the price argued at pickup. The superseded kit marked Inactive, the current one Active, in one catalogue.
Consistency The same service quoted three ways by three advisors. The same kit and the same labour lines in every service quote.

Big discounts wait for the workshop manager

Set a rule once: any quote with a discount over 10% goes to the workshop manager before it can be sent. When Sam adds a 15% loyalty discount, the quote goes In Review and Luke approves or declines it.

Rules can also trigger on the total value, so a large fit-out or fleet agreement gets a second look before the customer sees it.

  • Triggers on discount % or total value
  • Approvers named per rule
  • The quote can't be sent until it's approved

Load your price book from a CSV

How a workshop gets its parts and labour rates into QuoteCloud, then keeps them current.

  1. Export

Export your parts list from your workshop system, or use your supplier's price file, as a CSV.

  2. Add labour

Add a row per labour type with its hourly rate and cost, and a row per service kit.

  3. Map the columns

Import the CSV and map each column to SKU, name, category, price and cost; QuoteCloud checks the file.

  4. Tidy up

Mark superseded parts inactive and keep new kits as drafts until they're ready.

  5. Update monthly

Import the new file when prices change, so every advisor quotes the same new prices.

Price book questions

Can QuoteCloud hold our parts and labour rates?

Yes. The product catalogue holds each part, service kit and labour rate with a SKU, category, price, cost and margin. Advisors pick items into a quote's price table and the price and description come with them. The product catalogue is on Essentials and above.

Can we import our price book from a CSV?

Yes. Import a CSV file and map each column to a catalogue field such as SKU, name, category, price and cost; QuoteCloud validates the file before it imports. Re-import a new file when your prices change, so the whole catalogue is updated in one go instead of item by item.

Does QuoteCloud connect to supplier parts catalogues?

No. QuoteCloud doesn't look up supplier parts, live prices, stock levels or fitment by VIN, and it doesn't create purchase orders. The prices in your quotes are the ones you load into your own catalogue, for example from a supplier's price file you export.

Can customers see our cost price and margin?

No. Each item's cost and margin are for your team only. In a quote's price table the cost columns can be hidden from the customer, who sees the item, the quantity, the price and the totals with tax, but never what the part cost you or the margin you make on it.

Can we stop advisors giving big discounts?

On the Business plan, the approval workflow can hold any quote with a discount above a percentage you set, or above a total value, until a named approver approves it; until then it can't be sent. Role permissions also control who can edit the catalogue's prices and who can only pick from it.

Can the catalogue be updated from another system?

Yes, in two ways: through a CSV import with column mapping, or through Zapier, whose QuoteCloud app includes actions to create, find and list products. There is no native integration with a workshop management system or a parts supplier, so the prices are always the ones your team loads.
