Getting started with QuoteCloud

Trade quoting questions, answered

Straight answers for electricians, plumbers, air-con techs and multi-trade businesses, including what QuoteCloud doesn't do.

QuoteCloud is quoting, proposal and eSignature software trades use in the browser on a phone or tablet: job templates, photos, a price book, good, better and best options, and a deposit paid through Stripe or PayPal when the customer signs. It connects to ServiceM8 and simPRO through Zapier and to Xero and QuickBooks natively on Business.

Quoting on site

Can I quote from my phone or tablet on site?

Yes. QuoteCloud runs in the web browser, so you can open a job template, add photos, adjust labour and parts and send the quote from a phone or tablet, with nothing to install. The customer can sign on your device in person or on their own phone.

Does it work without phone signal?

No. QuoteCloud is a cloud app, so you need mobile data or Wi-Fi to build, send and sign quotes. Where there's no signal, take photos and measurements on site, then build and send the quote from the van or the office; the customer can sign online later.

Can I add job photos and mark them up?

Yes. Add photos to image or gallery blocks and mark them up with arrows and text in the built-in image editor, so the customer sees the leak, the old board or where the new unit will go. Image blocks and the image editor are on Starter and above.

Can the customer sign on my device?

Yes. Open the quote's signing view and hand over your phone or tablet. The customer signs with a finger, no account needed. Signatures are legally binding and eIDAS compliant, with an audit trail and a certificate of authenticity on every signed quote, on every plan.

Options, rates and the price book

Can I offer good, better and best options?

Yes. Put the options in a single-choice group in the price table and select the one you recommend. The customer picks one, ticks optional add-ons, and the totals and the deposit recalculate as they choose. Price tables are on Essentials and above.

Can I store call-out fees, labour rates and parts?

Yes. The product catalogue holds call-out fees, hourly rates by trade and parts, each with a SKU, category, price and cost. QuoteCloud calculates your margin and never shows costs to the customer. You can import parts from a supplier CSV. The catalogue is on Essentials and above.

Can customers change quantities themselves?

Yes, on lines you allow. Turn on quantity editing for a line, such as metres of pipe or the number of power points, and the customer can change it while the totals update. Products in the catalogue can also be set so the recipient can change the quantity.

Can I save my common jobs as templates?

Yes. Save each job you quote often, such as a hot water replacement or switchboard upgrade, as a template with its scope, price table, options, deposit and company blocks. QuoteCloud also has templates for electrical, plumbing, HVAC, solar, roofing and repair work to start from.

Signatures and deposits

Can customers pay a deposit when they sign?

Yes, from Essentials. Connect Stripe or PayPal and set the payment as a percentage, a fixed amount or the full price. The customer pays straight after signing on the same page and the quote is marked Paid. A gateway is required; availability and fees vary by region and provider.

Can two people sign the same quote?

Yes. A quote can have several signers, each with their own signature block, for example both owners of a home or a building manager and a committee member. The quote shows who has signed and who hasn't, and each signature is recorded in the audit trail with the certificate of authenticity.

Does QuoteCloud store card details?

No. Payments run through the third-party gateway, Stripe or PayPal, and QuoteCloud does not store your customers' card details. Documents are protected with 256-bit encryption and hosted on Amazon Web Services, and every signed quote carries an audit trail and a certificate of authenticity.

Agreements, compliance and follow-up

Can I send maintenance or service agreements?

Yes. Send an agreement with service levels to choose from, the services and their monthly charges for a fixed term, a visit calendar, your terms and an expiry date. The customer signs online. The Expiring Soon filter shows agreements nearing their end.

Can I include my licence, insurance and warranty?

Yes. Save licence numbers, insurance details, workmanship warranty and safety wording as content library blocks and add them to any quote or template. On the Business plan you can lock them so the team can't edit them. QuoteCloud doesn't verify licences or insurance.

Can I see when a customer opens a quote?

Yes. QuoteCloud shows the moment a quote is opened and how long it was read, records each view in the document's history, and lets customers ask questions as comments on the quote. Use it to time your follow-up call. Document tracking is on Essentials and above.

Integrations

Does QuoteCloud connect to ServiceM8 or simPRO?

Yes, through Zapier, from Essentials. For example, when a quote is signed, a Zap runs the ServiceM8 Create Job action with the client, address, description and line items. simPRO connects the same way. Zapier and API document creation has per-document fees.

What about Tradify, Fergus or other job apps?

QuoteCloud doesn't list a dedicated integration for them. If your job app has a Zapier or Make connection, link it the same way as ServiceM8; otherwise the QuoteCloud API, on Essentials and above, can connect your own systems.

Does QuoteCloud work with Xero and QuickBooks?

Yes. Xero and QuickBooks Online connect natively on the Business plan, and through Zapier on Essentials, so a signed quote can become an invoice in your accounting software. It isn't a two-way sync; your accounting software keeps the invoices.

What QuoteCloud doesn't do

Does QuoteCloud take instalments or bill the balance?

No. QuoteCloud takes a deposit or the full amount when the quote is signed, through Stripe or PayPal. It doesn't run instalment plans, send payment reminders or charge the balance when the job's done. Invoice the balance from your accounting software, as you do today.

Does QuoteCloud bill or renew service agreements?

No. An agreement lists the repeating charges and the term, and you invoice them from your accounting software. Agreements end on their expiry date; send a new agreement for signature before then, using the Expiring Soon filter to see what's due.

Is QuoteCloud a job management or scheduling app?

No. QuoteCloud is for quotes, proposals, agreements, signatures and deposits. Scheduling, dispatch, job cards and timesheets stay in your job management app, such as ServiceM8 or simPRO, which a signed quote can feed through Zapier so nothing is typed twice.

Plans, set-up and support

Which plan do trades need?

Essentials (US$39 per user per month) covers price tables, the product catalogue, payments, tracking and Zapier. Business (US$59) adds approvals, content locking and native Xero and QuickBooks. Starter (US$14.95) and the Free plan include eSignatures but not price tables or payments.

Is there a free trial?

Yes. Essentials and Business start with a 14-day free trial with no credit card required, and there's a free plan with two documents a month. During the trial QuoteCloud converts one of your existing templates for free on Essentials, Business and Enterprise.

What help do I get setting up?

Paid plans include a complimentary 45-minute training session, email support in business hours, Monday to Friday and the User Guide's step-by-step guides. Extra template conversions, training and Premium 24×7 support are paid add-ons, and integration set-up consultancy is available from sales.

Can I control what technicians can change?

Yes. Custom user roles from Essentials decide who can edit the catalogue and content library. On Business, approval workflows hold quotes with a discount over your limit until the owner approves, and content locking keeps compliance blocks fixed.
