Getting started with QuoteCloud

Every van quoting the same way

One price book and one set of job templates for every technician, roles that decide who can change what, and big discounts approved by the owner before they go out.

QuoteCloud gives a trade team one price book, job templates and company blocks. Custom user roles from the Essentials plan decide who can edit prices and templates and who can only quote. On the Business plan, an approval workflow holds quotes with a discount over your limit In Review until the owner approves, and content locking keeps compliance wording fixed.

The users and roles of a fictional five-person trade business, Ridgeline Trade Services: the owner, who edits the price book and approves discounts; the office manager, who manages templates and company blocks and sends agreements; a plumber and an air-con technician, who quote from the van with discounts up to 10%; and an apprentice who sees the jobs he's on. A rule below: a discount over 10% goes In Review with the owner, on the Business plan.

A discount over your limit waits for the owner

Josh offered Tom 12% off the split system to win the job. Your limit for technicians is 10%, so the quote goes In Review instead of out the door. Sam sees it, approves or declines it, and only then can it be sent.

Set the trigger on discount percentage, total value, the creator's role or team, the template or the customer, and choose who approves.

  • Discount percentage or total value as the trigger
  • Approvers from a role, such as Owner
  • Approve or decline, with the log on the quote

Who does what, in a five-van business

Roles are yours to define. This is how the sample business set them up.

  • Owner

Edits the price book and the rates, sets the discount rule and approves anything over it.

  • Office

Builds the job templates and company blocks, sends agreements and follows up quotes.

  • Technicians

Quote on site from the templates and price book, with photos, options and the customer's signature.

  • Apprentices

See the quotes they're working on, so they know the scope before they arrive.

One price book, costs kept in the office

Every technician quotes from the same catalogue, at the same rates. Role permissions decide who can add or change items, and product categories can be assigned to teams.

Costs and margins sit beside each item for the people who need them. Customers never see them.

Teams and approvals: questions

Can I stop technicians giving big discounts?

Yes, on the Business plan. Set up an approval workflow triggered when the discount percentage, or the quote's total value, is over your limit. The quote goes In Review and can only be sent after the approvers, such as the owner, approve it. Rejected quotes go back to the technician to update.

Can different team members have different permissions?

Yes. Custom user roles, from the Essentials plan, decide what each person can do, such as editing the product catalogue or the content library, and product categories can be assigned to teams. The owner can keep prices and templates in the office while technicians quote from them.

Do technicians need their own login?

Yes. QuoteCloud is priced per user, and each technician signs in with their own login on their own phone or tablet, so quotes, signatures and activity are recorded against the right person and roles apply to each of them. Customers who sign your quotes never need an account.

Can each team use its own Stripe account?

Yes. Payment settings are set per team in Users & Roles, and each team can connect its own Stripe account. That suits a business with two trading names or separate divisions, such as electrical and plumbing. Payments are included on the Essentials plan and above.

Which plan suits a trade team?

Essentials (US$39 per user per month) covers price tables, the catalogue, payments, roles and Zapier. Business (US$59) adds the approval workflow, content locking and native Xero and QuickBooks integrations. Both start with a 14-day free trial, no credit card.
