Getting started with QuoteCloud

Quote the job on site, from your phone

Open a job template in the browser, add the photos you just took, price it from your price book and let the customer sign while you're still standing there.

You quote on site in QuoteCloud in the web browser on a phone or tablet, with nothing to install. Start from a job template, add and mark up photos, adjust labour and parts from your price book, then send the link or hand over your device so the customer signs in person. You need a connection to send and sign.

A sample hot water quote from a fictional business, Ridgeline Trade Services, in a tablet's signing view: a photo of the old unit marked up with three numbered notes, three system options with the 270 litre heat pump chosen, and the price table of call-out, labour and parts. The homeowner signs in the sign bar and the button turns to Signed.

A quote built in the laundry, part by part

The hot water quote from one site visit, top to bottom. Each part is a QuoteCloud block you either bring from a template or fill in on the spot.

  1. From the template

    Start from the job template

The cover, the scope and your standard wording come from your hot water template. On site you change the customer and the address, not the whole quote.

    Job quote

    Hot water replacement

Prepared for Hannah Whitfield · Tue 14 Oct, 9:12 am · Valid 14 days

Your electric storage unit is leaking at the base and the relief valve is corroded. Three ways to replace it, priced on site this morning, with installation as soon as Thursday.

  2. Added on site

    Mark up what you found

Add the photo you just took and point to the problem with arrows and text in the built-in image editor. The customer sees why the job is needed, not just what it costs.

    What we found

A plumber working on an electric hot water unit in a laundry
    1. Leaking fitting
    2. Relief valve corroded
    3. No safe tray
  3. The other photos, in one block

The valve to replace and where the new unit will sit. A gallery keeps them together with a caption each, so they read as part of the quote, not as attachments.

  4. You edit

    Adjust, don't retype

Labour, parts and the call-out come from your price book. Change 3.5 hours to 4 or swap the tempering valve and every total follows, tax included.

What makes it work from the van

Nothing special to install and nothing different to learn: the same account on the phone, the tablet and the office computer.

  • It runs in the browser

Sign in on a phone, a tablet or a laptop. Your templates, price book and quotes are the same on every device, so the office can pick up where you left off.

  • Photos straight from the job

Upload the photos on your device into an image or gallery block and mark them up in the image editor. Image blocks are on Starter and up.

  • Send it from the driveway

Email the quote link before you leave. The customer opens it on any device, in their own time, with no account and nothing to download.

  • Or sign it in person

Open the signing view and hand over your device. Signatures are legally binding and eIDAS compliant, with an audit trail and a certificate on every signed quote.

What the customer sees on their own phone

Sent instead of signed on the spot? The customer taps the link and the quote opens in their browser: the photos of their job, the three options, the total and the deposit.

They choose an option, sign with a finger and pay the deposit by card or PayPal. You see it opened, signed and paid.

  • No account or app for the customer
  • The same quote on a phone, tablet or computer

How to quote a job on site

Five steps, from the photo to the signature, for a job you have a template for.

  1. Open the job template

Create a quote from your saved template for the job, such as a hot water replacement, on your phone or tablet.

  2. Add the photos

Upload the photos you just took into the image block and mark up the problem in the image editor.

  3. Adjust the price

Change hours and quantities, add parts from your price book, and tick the option you recommend.

  4. Send or hand over

Email the link, or open the signing view and pass your device to the customer.

  5. Signed and booked

The customer signs and pays the deposit. A Zap can create the job in ServiceM8 or simPRO.

Quoting on site: questions

Do I need an app to quote on site?

No. QuoteCloud runs in the web browser on phones, tablets and computers, so there is nothing to install. Sign in on your phone or tablet and you have the same templates, price book and quotes as the office. Customers open and sign quotes in their own browser too, with no account needed.

Can I add photos from my phone to a quote?

Yes. Upload the photos on your device into an image or gallery block, then mark them up with arrows and text in the built-in image editor so the customer sees the problem. Image blocks and the image editor are on the Starter plan and above.

Can the customer sign on my phone or tablet?

Yes. Open the quote's signing view and hand over your device; the customer signs with a finger and can pay the deposit straight after on the same page. Signatures are legally binding and eIDAS compliant, and every signed quote carries an audit trail and a certificate of authenticity.

Does QuoteCloud work without phone signal?

QuoteCloud is a cloud app that runs in the browser, so you need mobile data or Wi-Fi to build, send and sign a quote. If there's no signal on site, take the photos and measurements, then build and send the quote from the van or the office; the customer can sign online later.

How do I quote the same job again quickly?

Save the job as a template with its scope, labour, parts, options and wording, for example a hot water replacement or a switchboard upgrade. On site you create a quote from the template and only change the customer, the photos and the quantities.
