Getting started with QuoteCloud

A price book for call-outs, labour and parts

Keep every rate and part in one QuoteCloud catalogue, with your cost and margin beside it, and add them to any quote on site in a few taps.

QuoteCloud's product catalogue works as a trade price book: call-out fees, hourly rates by trade and parts with a SKU, category, price and cost, so your margin is calculated but never shown to the customer. Import supplier prices from a CSV, mark old parts inactive, and add items to any quote from the price table, on Essentials and up.

A sample price book for a fictional business, Ridgeline Trade Services, in QuoteCloud's product catalogue: a call-out fee of $95 per visit, licensed electrician $125 and plumber $118 per hour, an after-hours rate of $185 per hour, an RCBO safety switch, a tempering valve, a hot water install kit in draft and an old fuse carrier marked inactive, each with its cost and margin, and a note that a supplier CSV updated 46 parts.

Every way a trade charges, in one place

Each one is an item in the catalogue with its own price, unit and cost. In the quote it becomes a line the customer can read.

  • Call-out fees

A fixed price per visit, with a note on what it covers, such as the first 15 minutes or the site assessment.

  • Hourly labour by trade

Licensed electrician, plumber, air-con technician and apprentice, each with their own rate per hour.

  • After-hours rates

A separate item for nights, weekends and emergencies, so the right rate goes on the quote.

  • Parts with your margin

Price and cost on every part. QuoteCloud works out the margin; the customer only ever sees the price.

  • By the point, metre or each

Use the unit that fits: per power point, per metre of pipe, per hour or per job.

  • Kits for common jobs

One item for the bundle of fittings a hot water install always needs, kept in Draft until it's ready to use.

On the quote, it reads like the job

Items come into the price table with their price and a note, grouped the way the customer thinks about the work: call-out and labour, the new system, parts, then the add-ons.

Change an hour or a quantity and the section subtotals, tax and total recalculate. Costs and margins stay in your team's view.

  • Search the catalogue by name inside the quote
  • Add several items at once
  • Line notes that explain each charge

Supplier prices, imported from a CSV

When your wholesaler's prices change, export the list and import it. Match each column to a catalogue field once, check the rows QuoteCloud flags, and the new costs and prices are in.

Parts you no longer use can be marked Inactive instead of being deleted, and new items can wait in Draft until they are ready.

Build your price book

An afternoon in the office, done once and kept up to date from there.

  1. List your rates

Add the call-out fee and an hourly rate for each trade and the after-hours rate, with a note on each.

  2. Import your parts

Import the parts you use from your supplier's price list as a CSV, mapping each column to a catalogue field.

  3. Set categories

Group items as call-outs, labour, parts and kits so they're quick to find on site.

  4. Decide who edits

Use role permissions so only the owner or the office can change prices.

  5. Use it in templates

Add the items to your job templates so every quote starts priced.

Your margin on every part, never on the quote.

Cost and margin sit beside each item for your team. The customer sees the price and the note, nothing else.

Price books and rates: questions

Can I store call-out fees and hourly rates in QuoteCloud?

Yes. Add each rate as an item in the product catalogue with its price, unit and a note, for example a call-out fee per visit, a licensed electrician per hour and an after-hours rate. On site you add them to the quote from the price table. The catalogue is on Essentials and above.

Can I hide my cost and margin from the customer?

Yes. Each catalogue item has a price and a cost, and QuoteCloud calculates the profit and margin for your team. Costs and margins are never shown to the customer in the quote, and role permissions control who can see and edit the catalogue.

Can I import my supplier's price list?

Yes. Import products from a CSV file, map each column, such as part number, description, trade price and sell price, to a catalogue field, and QuoteCloud validates the rows before they are added. Use it again when your supplier's prices change.

What happens to parts I stop using?

Mark them Inactive instead of deleting them, so they stay in your catalogue with their history while your team works from the active items. Items you are still setting up, such as a new kit, can be kept in Draft until they are ready to use.

Can technicians change prices on site?

That's up to you. Use role permissions so technicians can add items and change quantities while only the owner or office can edit the catalogue. On the Business plan, discounts over a limit you set can go to the owner for approval before the quote is sent.
