Getting started with QuoteCloud

Deposits paid the moment travellers sign

A fixed deposit per traveller or a percentage, paid through Stripe or PayPal on signing, with the balance and its due date in writing.

QuoteCloud takes the travel deposit when the proposal is signed: a fixed amount such as $500 per traveller, or a percentage, through your Stripe or PayPal account (Essentials and up). The balance and its due date are written into the proposal and invoiced by you; QuoteCloud doesn't bill balances or send reminders.

A fictional trip from Saltpine Travel Co., SP-24871 for Ruby & Theo Lindqvist, drawn as a boarding pass from Riverside to Tokyo Haneda departing Sat 10 Apr 2027: trip total $14,430.00 and a balance of $13,430.00 due Sat 13 Feb 2027 on the agency's own invoice. Both travellers sign, then the stub, a deposit of $500 × 2 travellers = $1,000.00, is stamped "Paid via Stripe" and tears off.

The deposit stays put when they upgrade

Try it: switch Ruby and Theo to business class, or tick the Lake Ashi cruise. The trip total and the balance follow; the deposit stays at $500 per traveller, because that's what Saltpine's terms say confirms a booking.

When both have signed, the deposit is paid through Stripe on the same page and the proposal is marked Paid. The balance stays on the page, as the amount and the date you'll invoice.

  • A fixed amount per traveller, or a percentage
  • Full payment on signing for short-notice trips
  • Balance and due date written in, never billed

Deposit questions

How do travellers pay the deposit?

By card, straight after signing, through the Stripe or PayPal account you connect to QuoteCloud (Essentials and up). Set the deposit as a fixed amount, such as $500 per traveller, or as a percentage of the trip total, on the template or on each proposal.

Does QuoteCloud collect the balance?

No. The balance and its due date are written into the proposal the travellers sign, and you invoice it from your own accounts. QuoteCloud doesn't bill balances, take instalments or send payment reminders.

Can travellers pay the full amount upfront?

Yes. Instead of a deposit, the proposal can take full payment on signing, which suits short-notice trips where you ticket straight away.

Can every traveller sign?

Yes. Each traveller can have their own signature block with no account needed, and every signed document carries a certificate of authenticity and an audit trail. The deposit is paid on signing.

How do we know a deposit has been paid?

The proposal is marked Paid and the payment shows in its activity. A Zapier zap on Document Payment Event can pass it to your other apps, and Xero or QuickBooks connect natively on the Business plan, or through Zapier.

What about fare holds?

Give each proposal an expiry date, such as the date your fares are held until. The Expiring Soon filter lists the proposals about to lapse, so you can call before the price changes.
