Getting started with QuoteCloud

Day-by-day itinerary proposals your travellers can't wait to sign

Every flight, stay, transfer and tour as its own segment, with the photos, guides and tickets that belong to it.

Travel consultants use QuoteCloud's Itinerary block to build day-by-day proposals: each flight, hotel, transfer, tour, rail journey or cruise is a segment with its own details, passengers and attachments, a trip summary counts it all up, and the proposal is priced per person and signed online by every traveller.

A sample itinerary from a fictional agency, Saltpine Travel Co., drawn as an open travel journal: the left page lists the days of Ruby & Theo Lindqvist's trip to Japan (Day 1 Riverside to Tokyo, Day 2 Tokyo with a local guide, Day 5 bullet train to Hakone, Day 7 on to Kyoto, Day 9 Nara, Day 13 home), and the right page turns to each day's segments: flights, transfers, rail and stays imported from Sabre with their e-tickets and vouchers attached, guided tours typed in, and a photo of the Kyoto hotel. A trip summary counts the flights, stays, transfers, rail journeys and tours.

An itinerary built by hand, segment by segment

Ana and Felix's Venice and Dolomites trip has no GDS booking behind it: Tomás typed every segment into the Itinerary block. This is what each part does.

  1. Opens on the trip

Their names, the dates, the fare hold and a two-line welcome from Tomás, over a photo of where they're going.

  2. Consultant adds

Add a Segment, day by day

Right-click in the Itinerary block and choose Add a Segment: a flight, a water taxi, a hotel. Each type has its own pre-formatted layout, so a transfer reads like a transfer and a stay like a stay.

  3. The paperwork, where it belongs

The car hire voucher and a page on mountain driving sit on the car segment, not at the bottom of an email. Add an attachment to any segment, rename it or remove it.

  4. Activities and tours, in order

Lake Braies before the crowds on day 6, the Seceda ridge walk on day 7. If the plan changes, Block Up and Block Down move a segment.

  5. A trip summary that counts it up

Show Trip Summary adds the totals: flights, stays, cars, tours and activities. Show Weather adds a forecast to segments in the next 7 days, so it earns its place once they're nearly there.

  6. Photos, and notes from someone who knows

A gallery of the places on the route and Tomás's own notes. If Ana has a question, she asks it in a comment on the proposal.

    Notes from Tomás

    • The car is yours from Mestre on day 4: the voucher and a page on mountain driving are attached to that segment.
    • Lake Braies is best before 8 am; I've put it first on day 6.
    • I'll add the trip price once you're happy with the days.

Nine kinds of segment, each with its own layout

Add a Segment offers a layout for each part of a trip. Here is what goes in each, with a sample of how it reads.

  • Flights

Route and times, and the passengers on each flight with their seat, class, ticket and frequent flyer number.

  • Hotels

Where they stay, for how long and what's included, with a photo and the voucher attached.

  • Cars

Pick-up, drop-off and the vehicle, with the hire voucher on the segment.

  • Trains

Each rail journey as its own segment, so a two-train day reads clearly.

  • Transfers

Who meets them, where and when, on the day it happens.

  • Tours

Guided days and excursions, typed in by you; the optional ones are also lines to tick in the price.

  • Cruises

A sailing as one segment, with the port days around it. See cruise & touring proposals.

  • Insurance

The policy the travellers chose, with its documents. Your terms, not QuoteCloud, say what it covers.

  • Activities

Anything else on the day: a walk, a show, a free afternoon.

On every segment

On the whole itinerary

  • Show Trip Summary
  • Show Weather (segments in the next 7 days)
  • Itinerary Style: Right, Explorer, Escape, Aeroplane and more
  • Booked segments from Sabre or Tres CCTE

Travel Itinerary add-on: opt-in on Essentials, Business and Enterprise

Photos, guides and the paperwork, in one place

A gallery of where they're going, a photo on the hotel segment, the e-tickets on the flight and the ryokan voucher on the stay: what Ruby and Theo need is in the proposal they sign, not spread across emails.

Generate Travel Guide adds destination images, attractions and suggestions to a segment, and you edit it like anything else you write. See it on the AI Co-Worker page.

  • Image and gallery blocks with your own photos
  • Tickets, vouchers and PDFs attached to each segment
  • PDF brochures and videos beside the itinerary

Build a day-by-day itinerary in five steps

From a blank itinerary template to a proposal your travellers can read, sign and pay a deposit on.

  1. Start from your template

An itinerary template with an Itinerary Placeholder, your branding and your booking terms. Copy a system template or build your own.

  2. Add the segments

Right-click and Add a Segment, or let Sabre or Tres CCTE bring the booked ones in.

  3. Attach and illustrate

Tickets and vouchers on their segments, a gallery, a travel guide where it helps.

  4. Summary, weather, style

Show Trip Summary, Show Weather for trips about to start, and the itinerary style that suits the trip.

  5. Price it and send

A per-person price with options to tick, then email the link. Every traveller signs and the deposit is paid on signing.

Itinerary questions

Can I build an itinerary without a GDS?

Yes. In the Itinerary block, right-click and choose Add a Segment for a flight, hotel, car, train, transfer, tour, cruise, insurance policy or activity, and fill it in yourself. Booked segments can also come from Sabre GDS or Tres CCTE through the Travel Itinerary add-on, and one itinerary can mix both.

Which plans include the itinerary features?

The Travel Itinerary add-on, the itinerary widget with GDS and mid-office integration, is an opt-in paid extra on the Essentials, Business and Enterprise plans; it isn't on Free or Starter. Install it from Addons in QuoteCloud. QuoteCloud's pricing page also notes custom itinerary layouts can be created on commission.

Can travellers see the weather?

Show Weather adds a forecast to segments within the next 7 days: conditions, temperatures, humidity, UV and air quality. Further out there's no forecast to show, so it's most useful in the days just before departure.

Can I attach e-tickets and vouchers?

Yes. Add an attachment to any segment, such as the e-tickets on a flight or a voucher on a stay, and rename or remove it later. The files sit on the segment they belong to, inside the proposal the travellers sign.

Does QuoteCloud search fares or make bookings?

No. QuoteCloud doesn't search fares or availability, hold bookings or issue tickets. You book in your GDS or mid-office as usual; QuoteCloud turns the booking, or the segments you type, into the proposal your travellers read, sign and pay a deposit on.

Can I change how the itinerary looks?

Yes. The Itinerary Placeholder has an Itinerary Style setting with several layouts, such as Right, Explorer, Escape and Aeroplane, and the template carries your own branding. Block Up and Block Down reorder segments, and Show Trip Summary adds the totals.
