Getting started with QuoteCloud

Booking terms and insurance choices, signed by every traveller

Your booking conditions locked, the insurance choice and acknowledgements ticked in the proposal, and all of it recorded with each signature.

Travel agencies use QuoteCloud to put their booking conditions into every proposal as a locked block (content locking, Business) and to collect acknowledgements and the traveller's travel insurance choice in a Forms block inside the document (Business). The answers are recorded with each traveller's signature, with a certificate of authenticity and an audit trail.

A sample proposal page from a fictional agency, Saltpine Travel Co.: Before you sign. The booking terms for Ruby and Theo Lindqvist's trip to Japan sit in a locked block: the $500 deposit per traveller, the balance due 8 weeks before departure, fares guaranteed once ticketed and cancellation charges. Below, a Forms block with three ticked acknowledgements (the terms read, names matching passports, entry, visa and health requirements theirs to check) and the travel insurance choice: I have my own travel insurance.

Tick it as Ruby would, before she signs

The last page before the signature is where an agency shows its travellers read the conditions. The booking terms are a locked block: your consultants can't edit them, so every proposal carries the wording you approved.

Below them, a Forms block asks for what you need on record: the terms read, the names matching passports, entry and visa requirements theirs to check, and a travel insurance choice. Try it: the answers are fields in the proposal, recorded with the signature, not a separate form sent by email.

  • Ticks and a single insurance choice in a Forms block

Booking terms Locked block

  1. Your deposit of $500 per traveller confirms the booking and is non-refundable once airline tickets are issued.
  2. The balance is due 8 weeks before departure. Saltpine Travel will send you an invoice.
  3. Fares and availability are only guaranteed once the deposit is paid and the booking is ticketed.
  4. Cancellation charges apply as set out in the full booking conditions attached to this proposal.

What travel agencies put in the Forms block

Fields that belong with the signature, in your own words. QuoteCloud records the answers; the wording and the advice behind it are yours.

  • Terms read

A tick that the traveller has read the booking terms and the cancellation charges in the proposal.

  • Names as on passports

A tick that the names match their passports. Passport numbers stay in your secure process, not the proposal.

  • Entry requirements

Your statement that entry, visa and health requirements are the traveller's to check. QuoteCloud gives no visa or health advice.

  • Travel insurance choice

One choice: the policy you quoted, their own cover, or travelling without. QuoteCloud records it; it doesn't advise on or sell insurance.

  • Group and school conditions

A parent or guardian confirming the group conditions, as in the school tour acknowledgement.

  • Answers to your records

Zapier's Form Submitted on Document trigger can send the answers to a spreadsheet or your CRM (Essentials and up).

Each traveller signs, and the record stays with the booking

Ruby and Theo each sign in the browser, with no account needed. You can ask for a one-time passcode by email before they sign. The signed proposal carries a certificate of authenticity and an audit trail, with the terms and the answers exactly as they were signed.

If a traveller later asks what they agreed to, the answer is the signed document: the locked terms, their ticks and their insurance choice, beside their signature.

Set up your terms and acknowledgements once

How an agency puts its booking conditions and insurance choice into every proposal.

  1. Write your conditions

One set per kind of trip: independent travel, group tours, cruises, corporate programs.

  2. Save them locked

Add each one to the content library as a locked block (Business).

  3. Add a Forms block

The acknowledgements and the insurance choice, as fields in your own words (Business).

  4. Build them into templates

Put both into your itinerary templates, so every proposal starts with them.

  5. Every traveller signs

The answers are recorded with each signature and the certificate of authenticity.

Booking terms and insurance questions

Can our consultants change the booking terms in a proposal?

Not if you lock them. On the Business plan, content locking turns your booking terms into a block consultants can add but not edit, so every proposal carries the wording you approved. Keep one set per kind of trip in the content library, such as independent travel, group tours and cruises, and update it there when your conditions change.

Can a traveller record their travel insurance choice in the proposal?

Yes. On the Business plan, a Forms block inside the proposal can offer a single choice, such as the policy you quoted, their own cover or travelling without insurance. The answer is recorded with their signature. The choices and the wording are your agency's own: QuoteCloud doesn't sell insurance or give insurance advice.

Does QuoteCloud give visa, health or insurance advice?

No. QuoteCloud carries your agency's wording, such as a statement that entry, visa and health requirements are the traveller's to check, and records that they acknowledged it. It doesn't check requirements, recommend policies or advise travellers. What you tell travellers, and how, stays with your agency.

What record do we have of what a traveller agreed to?

The signed document. It shows the locked terms, the acknowledgements and the insurance choice exactly as signed, and it carries a certificate of authenticity and an audit trail. You can also ask for a one-time passcode by email before a traveller signs. QuoteCloud eSignatures are legally binding and eIDAS compliant.

Can every traveller sign the same proposal?

Yes. Add each traveller as a signer, or a parent or guardian and a student for a school tour. Nobody needs a QuoteCloud account to sign, and you can see who has signed. eSignatures are on every plan; the Forms block and locked terms are on Business.

Can the answers go to our CRM or a spreadsheet?

Yes, through Zapier on Essentials and up. The Form Submitted on Document trigger starts a Zap when a traveller completes the Forms block, so you can add the answers to a spreadsheet or your CRM. HubSpot and Zoho connect through Zapier.
