Rolling out QuoteCloud in a travel business
From the add-on and Travel API settings to templates, content libraries and trained consultants, in a sample four-week plan.
- 5/5 on G2
- 4.2 on Capterra
- Building QuoteCloud since 2013
A QuoteCloud rollout for a travel business follows the user guide's onboarding: choose and install the travel add-on, set up itinerary templates with placeholders, enter each team's Travel API settings, then build content libraries, connect payments and train consultants. One template is converted free during the trial, and onboarding and professional services are there if you want help.
Two overlapping samples from a fictional agency, Saltpine Travel Co.: behind, the first two days of an itinerary in the Travel Itinerary Template (Style 1), imported from Tres CCTE for Hamish and Grace Doyle; in front, the activity of a proposal made from a Sabre booking: booking XKQ7TZ queued in Sabre, the itinerary created from the booking by the Itinerary Sync add-on with 7 segments, photos, guide and excursions added by the consultant, and the proposal sent.

A four-week plan for a travel agency
A sample plan for a fictional agency with a leisure team, a corporate team and a groups desk. Each phase says what you bring, what QuoteCloud gives you and how you know it's done.
-
Phase 1, Week 1
Choose and install the travel add-on
- You bring
- Which system your bookings live in (Sabre GDS, Tres CCTE or Tramada), an admin in QuoteCloud and, for Sabre, an active Sabre account.
- QuoteCloud gives you
- The add-on from the Addons library: Free Trial, accept the terms, then Template Setup. Sabre has a 14-day free trial for new installations; Tramada is set up with the QuoteCloud team.
- Done when
- The add-on shows as installed and the Travel API Settings appear for your teams.

Phase 2, Weeks 1–2
Set up your itinerary templates
- You bring
- The itinerary or proposal your consultants send most, with your branding and photos.
- QuoteCloud gives you
- Copy System Template or Create New Template, plus one template converted free during the trial. Add the Itinerary Placeholder and a price table as the itinerary/API placeholder.
- Done when
- A consultant can start a branded itinerary proposal from the template.
-
Phase 3, Week 2
Enter each team's Travel API settings
- You bring
- Your teams (by branch or by desk) and each one's connection details: Queue Number, Domain, PCC and user for Sabre, or Doc Link API URL and branch code for Tres CCTE.
- QuoteCloud gives you
- Settings → Users & Roles → Teams → Edit → Travel API Settings, with the itinerary template each team's bookings fill.
- Done when
- A test booking from each team opens as an itinerary in that team's template.
-
Phase 4, Weeks 2–3
Build your content library and terms
- You bring
- Destination descriptions, photos, booking conditions for each kind of trip, and what you want travellers to acknowledge.
- QuoteCloud gives you
- The content library (Essentials and up); locked booking terms and a Forms block for acknowledgements and the insurance choice (Business).
- Done when
- Consultants add guides and terms from the library instead of retyping them.
-
Phase 5, Week 3
Connect payments and your other systems
- You bring
- Your Stripe or PayPal account, your deposit per traveller, and the CRM or accounts a signed trip should reach.
- QuoteCloud gives you
- Deposits on signing as a fixed amount or a percentage; Zapier, Make and the API on Essentials and up; Xero and QuickBooks native on Business.
- Done when
- A test proposal takes a deposit, and a signed trip reaches your CRM or accounts if you connect them.
-
Phase 6, Week 4
Train consultants and go live
- You bring
- Your leisure, corporate and groups consultants, and a few live enquiries to send.
- QuoteCloud gives you
- A 45-minute training session on paid plans; extra training as a paid professional service.
- Done when
- Every new itinerary proposal goes out from QuoteCloud.
Sample planning, not a promise: your timing depends on your templates, your teams and the systems you connect. QuoteCloud doesn't replace your GDS or mid-office, and nothing is migrated from them.
Help from the QuoteCloud team, when you want it

Every desk on its own settings, every trip on the dashboard
Travel API Settings are kept per team, so each branch or desk brings bookings into its own itinerary template. Custom user roles decide who sends, who edits templates and who manages settings.
Once trips are booked, the dashboard's travel smart filters keep them in view: Due to Travel for upcoming departures, Currently Travelling for travellers who are away now and Travel Ended for trips that are over, beside Expiring Soon for fare holds about to lapse.

Implementation questions from travel businesses
How long does it take to set up QuoteCloud for a travel agency?
It depends on your templates, teams and connections. A single consultant can send a first itinerary proposal during the trial; an agency with several branches might plan around four weeks for the add-on, templates, each team's Travel API settings, content libraries, payments and training. These are sample timings, not a promise.
Do we need the travel add-on?
You need it for the itinerary blocks and to bring bookings in from Sabre GDS, Tres CCTE or Tramada. The Travel itineraries widget and GDS / mid-office integration is an opt-in paid add-on on Essentials, Business and Enterprise. Sabre has a 14-day free trial for new installations, and pricing is shown in the add-on panel.
How is Tramada set up?
Itineraries created in Tramada can be opened directly in QuoteCloud, and the connection is set up with the QuoteCloud team rather than from the Addons library. Talk to the team about your Tramada set-up and the itinerary template it should fill; your consultants then enhance and send those itineraries like any other.
Can each branch have its own settings and template?
Yes. Travel API Settings are entered per team under Settings, Users & Roles, Teams, so each branch or desk can have its own connection details and its own itinerary template. Custom user roles control who can send, edit templates or change settings. Teams and roles are on Essentials and up.
Can you convert our existing itinerary into a template?
Yes. During the trial, QuoteCloud converts one of your existing templates free on the Essentials, Business and Enterprise plans. Send the itinerary your consultants use most. More conversions are a paid professional service, and the pricing page notes that custom itineraries can be created via commission.
Is training included?
Yes. Paid plans include a 45-minute training session for your team, and extra training is available as a paid professional service, for example one session per branch. Enterprise adds implementation support, and premium support is available as a paid add-on.
