This FAQ covers how QuoteCloud works for travel businesses: Sabre GDS and Tres CCTE itineraries through the Travel Itinerary add-on, Tramada set up with the QuoteCloud team, per-person pricing with options, deposits on signing, booking terms and insurance acknowledgements, the AI Co-Worker, and the TravelDocs app.
Bookings, GDS and connections
What is QuoteCloud for travel businesses?
QuoteCloud is itinerary proposal, quoting and eSignature software for travel agencies, tour operators, cruise specialists and group organisers. Bookings from Sabre GDS or Tres CCTE fill a branded itinerary template, or you add segments yourself. You price the trip per person with options to tick, and every traveller signs and pays the deposit online.
Does QuoteCloud work with Sabre GDS?
Yes. The Sabre GDS Itinerary Sync add-on opens itineraries created in Sabre in QuoteCloud: the booking fills the Itinerary Placeholder in your team's template, and a price table can take the booking's pricing. You enter the connection in the team's Travel API Settings. New installations get a 14-day free trial.
Does QuoteCloud work with Tres CCTE and Tramada?
Yes. The Tres CCTE Itinerary Sync add-on opens itineraries exported from the Tres CCTE mid-office with the itinerary data mapped into your template, such as Travel Itinerary Template (Style 1). Itineraries created in Tramada can also be opened in QuoteCloud; that connection is set up with the QuoteCloud team.
Can our own booking system send itineraries?
Yes, through the Itinerary Sync API. A booking system posts a BookingCI JSON file with your branch and password: the booking reference and status, agency and consultant codes, passengers, and the itinerary items with segments such as flights, hotels, transfers, tours and cruises. Each file is checked against the schema and errors are returned.
Does QuoteCloud connect to our CRM and accounts?
Yes. Zapier, Make and the QuoteCloud API are on Essentials and up; HubSpot and Zoho connect through Zapier and Pipedrive connects directly. Xero and QuickBooks are native on the Business plan, otherwise via Zapier. A Zap can start when a proposal is signed, paid or has a Forms block submitted.
Pricing, deposits and plans
Can we price a trip per person?
Yes. The trip price is a price table priced per person, with the quantity set to the number of travellers, so the total follows when someone joins or drops out. Cabin class or room category can be a single choice and excursions optional rows the travellers tick. Price tables are on Essentials and up.
Can travellers pay a deposit when they sign?
Yes, on Essentials and up. Connect Stripe or PayPal and take a deposit on signing as a fixed amount, such as $500 per traveller, or a percentage, or the full amount. The deposit is paid in the same step as the signature.
Does QuoteCloud collect the balance?
No. The balance and its due date are written into the proposal, and your agency invoices it as usual. QuoteCloud doesn't bill balances, take instalments or send payment reminders. You invoice from your own accounts system: Xero and QuickBooks connect natively on Business, otherwise via Zapier.
Which plan does a travel agency need?
Essentials (US$39 per user per month) covers price tables, payments, templates, bulk send, expiry dates and Zapier. Business (US$59) adds the Forms block, content locking, approvals, version history, the AI Co-Worker and native integrations. The Travel Itinerary add-on is opt-in and paid on Essentials and up. Both plans start with a 14-day free trial.
Signing, terms and insurance
Can every traveller sign the proposal?
Yes. Add each traveller as a signer, or a parent or guardian and a student for a school tour. Nobody needs a QuoteCloud account to sign, and you can also have them sign in person on your device. Each signed document carries a certificate of authenticity and an audit trail. eSignatures are on every plan.
Can we lock our booking terms?
Yes, on the Business plan. Content locking turns your booking terms into a block your consultants can add but not edit, so every proposal carries the wording you approved. Keep one set per kind of trip in the content library, such as independent travel, group tours, cruises and corporate programs.
Can travellers record their travel insurance choice?
Yes. A Forms block inside the proposal (Business) can offer a single choice, such as the policy you quoted, their own cover or travelling without insurance, plus ticks for your acknowledgements. The answers are recorded with the signature. The wording is your agency's; QuoteCloud doesn't sell insurance or give insurance advice.
Does QuoteCloud give visa or health advice?
No. QuoteCloud carries your agency's own wording, for example that entry, visa and health requirements are the traveller's to check, and records that each traveller acknowledged it. It doesn't check requirements or advise travellers, and passport details belong in your own secure process, not the proposal.
What QuoteCloud leaves to your GDS, your accounts and you
Plainly, so nobody expects the wrong thing. QuoteCloud builds, sends and signs the proposal and takes the deposit; the rest stays where it is today.
No fare or availability search
Fares, availability and holds stay in your GDS or mid-office. QuoteCloud shows what you've booked or typed in.
No bookings or ticketing
QuoteCloud doesn't make, hold or ticket bookings, and nothing is written back to your GDS or mid-office.
No balance billing
Only a deposit or full payment on signing. Balances are written in and invoiced by you: no instalments or payment reminders.
No visa, health or insurance advice
Your agency's own wording records what travellers acknowledged. QuoteCloud doesn't check requirements or advise.
No itinerary written by AI alone
The AI Co-Worker helps in the editor, and everything it adds stays flagged until a consultant accepts it.
No two-way sync
The add-ons and the API bring bookings in; Zapier runs one way when something happens in QuoteCloud.
AI, guides and the TravelDocs app
What does the AI Co-Worker do for travel consultants?
On the Business plan, the AI Co-Worker helps in the editor: it can turn an airfare search into itinerary blocks, a supplier price list into a pricing table and call notes into an introduction, and expand, shorten or rewrite text. Everything it adds stays flagged until a consultant accepts, edits or rejects it, and it can make mistakes.
What is Generate Travel Guide?
Generate Travel Guide is an option on an itinerary segment in the Travel Itinerary add-on. It adds AI-generated destination images, attractions and recommendations to the segment, and your consultant can edit them before sending. Show Trip Summary and Show Weather add a trip summary and, for segments within the next seven days, a forecast.
What is the TravelDocs app?
TravelDocs is QuoteCloud's free traveller app, available for iOS and Android. Travellers sign in with their surname and booking reference to see their trip. Some features are described on QuoteCloud's marketing pages but not yet in the user guide, so ask the QuoteCloud team what it shows for your bookings.
What is the TravelDocs Duty of Care add-on?
The TravelDocs Duty of Care add-on is listed on QuoteCloud's Enterprise plan. Its contents aren't described on the pricing page, so ask the QuoteCloud team what it includes and whether it suits your corporate clients. QuoteCloud itself doesn't track travellers or apply a travel policy to bookings.
