Getting started with QuoteCloud

Bookings signed by both sides and paid on signing

Agency and advertiser each sign in their own browser, and a new advertiser pays the deposit or prepays straight away.

Media sellers use QuoteCloud to collect signatures and money in one step: the agency and the advertiser each sign the booking online, then a new advertiser pays a deposit as a percentage or a fixed amount, or the full amount, through Stripe or PayPal. Account customers sign with no payment. Later invoices are the seller's own.

An animated sample media plan from a fictional media owner, Marrick Media Group, for Pelorus Drinks Co. through Brolga Media Partners. The plan opens, the homepage takeover is ticked and the total rises to $76,890.00 including tax, the agency and the advertiser sign, and the 20% deposit of $15,378.00 is paid through Stripe.

Two signatures and the deposit, in one document

Pelorus is a new advertiser for Marrick, so the media plan asks for 20% on signing. Tess Holloway signs for the agency in the morning, Mira Delacroix signs for Pelorus in the afternoon, and the deposit is paid by card straight after.

The deposit follows the plan. Tick the second podcast in the table and the total and the deposit both change, because the deposit is a percentage of whatever the advertiser accepts. You can set a fixed amount instead, or ask for the full amount.

  • A deposit as a percentage or a fixed amount, or full payment, on signing
  • Paid into your own Stripe or PayPal account
  • The agency and the advertiser each sign in their own browser, no account needed
  • A certificate of authenticity and an audit trail on the signed plan

Set the money on signing for each kind of advertiser

Payment settings sit on each document, so your credit rules decide what each booking asks for. QuoteCloud doesn't run credit checks: your team decides who pays up front.

  • A deposit from new advertisers

A percentage of the total, such as 20%, paid by card or PayPal as soon as the plan is signed. The first flight is covered before it runs.

  • Prepayment in full

For a one-off booking or a small advertiser, ask for the full amount on signing. A fixed amount works too, like a set booking fee.

  • Account customers sign only

Agencies and advertisers on account sign with no payment step. You invoice them on your usual terms from your own accounts.

What a new advertiser sees before they pay

Kerbside Outdoor has sent Ridgeline Bikes a roadside and shelter booking with a 25% deposit. Until Sam Okafor-Reid signs, the document shows the amount due on signing and how it will be paid, so there are no surprises at the end.

The payment goes into Kerbside's own Stripe account. QuoteCloud doesn't bill later flights or months, set up instalments or send payment reminders: the balance is invoiced by you.

  • The deposit amount shown before signing
  • Card payment through Stripe, or PayPal
  • Your Expiring Soon filter shows unsigned bookings near their expiry date

Credit and accounts see the deposit without re-keying

Every open, signature and payment shows in the document's activity, so Harriet Cole in credit and accounts can see the Pelorus deposit landed before the first spot goes to air.

To pass it on, a Zapier zap can start from QuoteCloud's Document Payment Event or Recipient Signed Document trigger and add a row to your accounts sheet or traffic sheet. Xero and QuickBooks Online are native on the Business plan, otherwise via Zapier.

Signing and deposit questions

Can a new advertiser pay a deposit when they sign?

Yes, from the Essentials plan. Set a deposit as a percentage of the total or a fixed amount, or ask for the full amount, and the advertiser pays by card through Stripe or through PayPal straight after signing. The money goes into your own Stripe or PayPal account.

Can the agency and the advertiser both sign?

Yes. Add both as signers and each gets their own signature block. They sign in their own browsers, at different times if they need to, and nobody needs a QuoteCloud account. The signed document carries a certificate of authenticity and an audit trail. eSignatures are on every plan.

Can we bill each flight or month through QuoteCloud?

No. QuoteCloud takes one payment on signing: a deposit or the full amount. It doesn't bill per flight or per month, set up instalments, send payment reminders or take automatic recurring payments. Invoice the balance and any later flights from your own accounting system.

Do account customers have to pay on signing?

No. Payment settings belong to each document, so a booking for an agency or advertiser on account can go out with no payment step. They sign, and you invoice them on your usual terms. Use a deposit or prepayment only where your credit rules ask for one.

Does QuoteCloud check an advertiser's credit?

No. Credit checks aren't a QuoteCloud feature. Your credit team decides who pays up front, and the rep sets the deposit or full payment in that advertiser's plan or order before sending it. Accounts that pass your checks can sign with no payment step, and you invoice them as usual.

How does finance find out a deposit was paid?

The payment shows in the document's activity. To pass it on, a Zapier zap can use the Document Payment Event trigger to update your accounts sheet or system. Xero and QuickBooks Online are native on the Business plan, otherwise via Zapier.
