Getting started with QuoteCloud

Connect bookings to your CRM, traffic and accounts

Create plans from your CRM, pass signed bookings to your traffic sheet and send payments to your accounts.

QuoteCloud connects to media sales systems through Zapier, Make and the QuoteCloud API from the Essentials plan: create a media plan from a template with data items and price rows, then use triggers such as Recipient Signed Document and Document Payment Event to update your CRM, traffic sheet or accounts. Pipedrive, Xero and QuickBooks are native on Business.

The activity of a sample media plan from a fictional media owner, Marrick Media Group: the plan opened by the agency's buyer, the homepage takeover added, signed by the agency and the advertiser, the $15,378.00 deposit paid through Stripe, and the booking added to the traffic sheet in Google Sheets through Zapier.

A won deal in your CRM becomes a media plan

When a deal reaches the right stage in your CRM, an automation through Zapier, Make or the QuoteCloud API can create the media plan from your template. It fills the data items (advertiser, agency, campaign, flight dates, the agency's PO number) and adds the placements as price-table rows: label, note, price, quantity, tax, discount and cost.

The template supplies everything else: your cover, specs, estimates table, terms and signature blocks. The rep checks the plan, adds any options the advertiser can tick and sends it. An automation doesn't tick options or choose content blocks.

  • Create a document from a template
  • Fill data items and add price-table rows at creation
  • Then Send Document, or leave it for the rep to check and send

How each system a media seller runs connects

What's native, what goes through Zapier, and what only connects through Zapier, Make or the API where your system has a connector or an API.

  • CRM

HubSpot and Zoho connect through Zapier. Salesforce through Zapier or the Sync add-on. Pipedrive is native on Business.

  • Work boards

monday.com connects through Zapier, so a signed booking can add an item to the board your campaign team works from.

  • Ad server, traffic & booking systems

No native integration. They connect only through Zapier, Make or the QuoteCloud API, where your system has a connector or an API of its own.

  • Traffic sheet

Google Sheets through Zapier: a signed booking adds a row with the advertiser, flights and key number for traffic to schedule.

  • Accounts

Xero and QuickBooks Online are native on the Business plan, otherwise via Zapier.

  • Payments

Stripe and PayPal take the deposit or full payment on signing, into your own account.

From a CRM deal to a booking on the traffic sheet

An illustrative set of zaps for a media seller. Your own steps depend on your CRM and systems.

  1. Deal reaches the stage

A deal in your CRM moves to Proposal, and the zap starts.

  2. Plan created

Zapier creates the media plan from your template, fills its data items and adds the placements as rows.

  3. Rep checks and sends

The rep adds options the advertiser can tick, checks the rates and sends it to the agency and advertiser.

  4. Signed

Recipient Signed Document starts the next zap: a row on the traffic sheet and the deal marked won in your CRM.

  5. Paid

Document Payment Event passes the deposit to your accounts sheet, or to Xero or QuickBooks.

The PO number in the order, and what automation costs

The agency's PO number is a data item in the insertion order. Your team types it in, or the automation that creates the order fills it from your CRM, so it's in the order both sides sign and in every hand-off after.

Zapier, Make and the API come with the Essentials plan. Each document created through the API or Zapier has a fee by monthly volume: US$2.00 each for 1 to 1,000, US$1.80 for 1,001 to 5,000 and US$1.60 above that. No fee is stated for Make.

  • Zapier triggers: Recipient First Viewed Document, Recipient Signed Document, Document Payment Event, Document Status Changed, Document Comment Event
  • Zapier actions: Send Document, Generate PDF Link, Update Document Status
  • Slack and Microsoft Teams alerts for document updates, comments and actions

Integration questions

Does QuoteCloud integrate with our ad server or traffic system?

Not natively. Ad servers, traffic, booking and broadcast scheduling systems connect only through Zapier, Make or the QuoteCloud API, where your system has a connector or an API of its own. QuoteCloud doesn't check inventory or availability, and doesn't read delivery or performance from an ad server.

Which CRMs connect to QuoteCloud?

HubSpot and Zoho connect through Zapier. Salesforce connects through Zapier or the Sync add-on, and Pipedrive is native on the Business plan. Any CRM with a Zapier or Make connector, or an API, can create documents through the QuoteCloud API, Zapier or Make from the Essentials plan.

Can an automation create a media plan from a CRM deal?

Yes. The API, Zapier or Make can create a document from your template, fill its data items, such as advertiser, agency, flight dates and PO number, and add placements as price-table rows with label, note, price, quantity, tax, discount and cost. It doesn't tick options or choose content blocks.

Do signed bookings sync back to our CRM or accounts?

Not as a two-way sync. Zapier triggers such as Recipient Signed Document and Document Payment Event can start a zap that updates your CRM, traffic sheet or accounts. Xero and QuickBooks Online are native on the Business plan, otherwise via Zapier, and monday.com connects through Zapier.

What does it cost to create documents automatically?

Zapier, Make and the API are on Essentials and above. Documents created through the API or Zapier have a fee by monthly volume: US$2.00 each for 1 to 1,000, US$1.80 for 1,001 to 5,000 and US$1.60 above 5,000. No fee is stated for Make.

Can Slack or Microsoft Teams tell us when a booking is signed or paid?

Slack and Microsoft Teams alerts cover document updates, comments and actions; there isn't a dedicated Slack or Teams alert for a signed or paid booking. Your team sees each open, signature and payment in the document's tracking and activity, inside QuoteCloud.
