Getting started with QuoteCloud

Make-goods and changes as a revised, signed booking

A missed spot or a moved flight goes out as a new version of the order, and both sides sign it again.

When a spot misses or a flight moves, media sellers revise the booking in QuoteCloud: Revise Last Version creates a new version of the insertion order with the make-good or change, the agency and advertiser sign it again, and on the Business plan version history keeps every earlier version. QuoteCloud never makes a make-good by itself.

Two sample documents for a fictional media owner, Marrick Media Group. Behind: insertion order MM-IO-4471 for Pelorus Drinks Co. through Brolga Media Partners, with its booking details, the agency's PO number and a version history: version 1, the booking as planned, signed on Wed 28 Oct, and version 2 of Mon 14 Dec, a make-good re-running six missed breakfast spots at no charge, signed by both. In front: the order's activity, ending with Version 2 signed.

Every change to a booking, settled in writing

The changes a media seller handles every week, and where each one ends up once bookings go out from QuoteCloud. Your traffic team still finds the problem: QuoteCloud records what both sides agreed.

The jobAgreed by phoneAs a revised version
A spot doesn't run The rep calls the buyer, the spots re-run the next week, and the note lives in someone's inbox until the invoice is queried. Revise Last Version: version 2 of the order describes the make-good, at no charge, and the agency and advertiser sign it.
A flight moves New dates in an email thread; the traffic sheet and the signed order now disagree. The flight dates change in the line's note in a new version, so the order both sides signed matches what goes to air.
The advertiser adds a week A verbal yes, then a separate quote nobody signs before the extra week runs. The extra week goes into the price table of the revised order, the total updates, and both sides sign it before it runs.
A placement swaps A print insertion becomes a digital takeover by phone, and accounts invoice the old placement. The revised order shows the new placement and price, and a comment in the document explains why.
The invoice is queried Someone digs through emails to work out what was agreed and when. Version history (Business plan) keeps every earlier version, so anyone can see what was agreed before each change.

Version 2 of the order, signed by both sides

Six breakfast spots for Pelorus didn't run on Friday 11 December. Ruby Ng in traffic agrees a make-good with the buyer: the spots re-run from Monday to Wednesday at no charge, and the total stays the same.

Instead of a side email, she opens the signed insertion order and uses Revise Last Version. Version 2 carries the change in plain words, and the agency and advertiser each sign it again in their own browser. Version 1 stays exactly as it was signed.

  • Revise Last Version: the change starts from the order both sides already signed
  • A comment on the document explains the change to the buyer
  • The agency and the advertiser sign again, each with their own signature block
  • Version history keeps version 1 and version 2 side by side (Business plan)

What goes into a revised version, and what stays yours

A revised order changes the document both sides signed. Finding the miss, re-running the spot and invoicing it stay with your own team and systems.

  • Make-goods at no charge

Describe the re-run in the line's note or in a $0 line, so the total stays the same and the signed order says exactly what will air.

  • Moved or extended flights

Change the flight dates or add weeks in the price table. The totals and tax recalculate in the new version.

  • The reason, in a comment

The buyer reads why the order changed in a comment thread on the document, and can reply before signing.

  • Both sides sign again

Agency and advertiser each sign the new version online, with no account needed. Every version keeps its own audit trail.

  • Your traffic team finds the miss

QuoteCloud doesn't track delivery or performance, and never raises a make-good by itself. Your logs and reports tell you what didn't run.

  • Your accounts invoice it

Invoice from the latest signed version. With Xero or QuickBooks native on Business (otherwise via Zapier), the details don't need re-typing.

Make-goods

Your studio knows a spot missed. The revised order settles it.

QuoteCloud doesn't watch your playout or ad server. When your team finds a miss, the make-good becomes a new version of the order that the agency and advertiser sign, and the earlier version is kept.

From a missed spot to a signed make-good

How a media seller's team handles a change to a booking with QuoteCloud.

  1. Find the change

Your traffic log, playout report or the buyer tells you a spot missed or a flight has to move.

  2. Revise the last version

Open the signed insertion order and choose Revise Last Version to start version 2.

  3. Write the change in

Describe the make-good at no charge, move the dates or add the week, and leave a comment for the buyer.

  4. Both sides sign again

Send it. The agency and the advertiser each sign the new version in their own browser.

  5. Invoice from what was signed

Your accounts invoice from the latest signed version, with every earlier one kept in version history (Business).

Make-good and revision questions

How do we send a make-good in QuoteCloud?

Open the signed insertion order and use Revise Last Version. The new version describes the make-good, for example six missed breakfast spots re-run the following week at no charge, and you send it. The agency and the advertiser each sign the revised version online, and the earlier version stays as it was signed.

Does QuoteCloud know when a spot or placement didn't run?

No. QuoteCloud doesn't connect to playout systems or ad servers, and doesn't track delivery or performance. Your traffic team or your own reports find the miss. QuoteCloud never raises a make-good by itself: your team writes it into a revised version of the order.

Do we keep every earlier version of the booking?

Yes, on the Business plan. Version history keeps each version of the document, so you can see what the order said before and after a change, and signed documents carry a certificate of authenticity and an audit trail. Revise Last Version starts the new version from the latest one.

Do the agency and the advertiser have to sign the revised order again?

You decide who signs each version. A document can have several signers, each with their own signature block, so the agency and the advertiser can both sign the revised order, each in their own browser and with no QuoteCloud account. eSignatures are included on every plan.

Can we change the price in a revised version?

Yes. A revised version is a full document, so you can add a week, swap a placement, change quantities or add a $0 make-good line, and the price table recalculates the totals and tax. If a deposit was already paid on the first version, invoice any later amounts from your own accounts.

Can we explain the change to the buyer inside the document?

Yes. Comments and replies sit on the document, so you can write why the order changed and the buyer can answer before signing. Your team sees when the revised version is opened and signed. Slack and Microsoft Teams alerts cover document updates, comments and actions.
