From a template to Kinfield's care agreement

What to add to a template before you send it

A template is a starting point. These are the parts that make it a document your practice can send to a patient.

  • Your fee schedule

Load your fees into the product catalogue once, then add them to any estimate. Weekly or fortnightly services become repeating rows.

  • Consent wording, locked

Save your consent and acknowledgements as a library block and lock it, so nobody edits it by mistake. Business.

  • Intake questions

Add a Forms block for the questions you ask at intake, answered inside the document. Business.

  • An expiry date

Give every estimate an expiry date; the Expiring Soon filter shows the ones that lapse in the next few days.

  • Payment on signing

A deposit, the first week or the full fee, by card through Stripe or by PayPal. Essentials and up.

  • Your wording on benefits

If you mention insurance or funding benefits, it is your own text: QuoteCloud calculates none.

Template questions, answered

Which healthcare templates does QuoteCloud have?

The library includes a Treatment Plan Proposal, Home Health Care Contract Template, Medical Services Proposal, Hospital Agreement Template, Pharmacy Services Agreement and Fitness Services Proposal Template. Each is a starting point: add your logo, fees, consent wording and terms, then save it as your own template for your team.

Is there a template for physio programs, aged care, funded-plan agreements or consent forms?

Not in the library today. Start from the closest template, such as the Treatment Plan Proposal or the Home Health Care Contract, or from a blank document, and build your own. Once it is saved as a template, every new client starts from it. During the trial QuoteCloud converts one of your existing templates for free.

Can QuoteCloud convert our existing estimate or agreement?

Yes. One existing document template is converted free during the trial on the Essentials, Business and Enterprise plans. Further conversions are a paid add-on, billed per template. Send the document you use today, then check the converted template and your consent wording before you send it to clients.

Can each service have its own template?

Yes. Save as many templates as you need, for example one each for home care, physiotherapy programs and elective treatment estimates. Shared parts such as your consent wording and terms can live in the content library, so each template uses the same approved text. Templates and the content library are on Essentials and above.

Do templates calculate insurance or funding rebates?

No. QuoteCloud does not calculate insurance or other funding benefits. Write your own wording into the template, for example that no benefit is included and the patient should check with their insurer or funder. The price table calculates your fees, options, totals, tax and the payment on signing.

Which plan do templates need?

Templates, price tables, the product catalogue and the content library are on Essentials (US$39 per user a month) and above. The Forms block, content locking and the approval workflow are on Business (US$59). Essentials and Business start with a 14-day free trial with no credit card required.
