Getting started with QuoteCloud

Treatment plans and cost estimates patients can follow

The plan in plain words, every fee as a line, the options and what the estimate does not include, accepted and signed before treatment starts.

With QuoteCloud a clinic sends a treatment plan and cost estimate as one interactive document: the plan, each fee as a price-table line, options the patient chooses between, the clinic's own wording about what is and isn't included, and an expiry date. The patient acknowledges, signs online and can pay a deposit.

A sample treatment plan and cost estimate from a fictional dental practice, Larchmere Dental Studio, for Tom Hargreaves, building line by line: the examination, X-rays and 3D scan held on 13 October ($420), the implant placement ($3,200), the zirconia crown he chose ($2,250) and a hygiene visit he added ($195), an estimated total of $6,065.00 and a 20% deposit of $1,213.00 on signing. A stamp shows the estimate is valid until Thu 12 Nov 2026. In front, the studio's own wording that no insurance benefit is included or calculated, and Tom's four acknowledgements, signed on 16 October.

One treatment estimate, read part by part

Tom's implant treatment plan, as he read it the evening of his consultation. Every part is a QuoteCloud content block from the studio's estimate template.

  1. The plan, in the dentist's words

Tom's name, the date of his consultation and the date the estimate expires, then the plan as Dr Varga explained it. The clinical content is the practice's own: QuoteCloud never writes or changes it.

Thank you for coming in, Tom. This is the plan Dr Elena Varga went through with you: each visit, what it costs, the crown options and what this estimate does not include.

  2. Each visit, on a timeline

The planned visits as a Gantt chart: assessment, the optional hygiene visit, the implant, a review and the crown. It's the studio's planning; reception confirms each date.

The studio's own wording says no insurance benefit is included or calculated. QuoteCloud doesn't calculate rebates or gaps: you write that wording, and it reads as yours.

    • Bring a list of any medicines you take to the implant visit.
    • If the plan changes after a visit, we send you a revised estimate to sign.

Tom HargreavesCould the implant visit be on a Friday afternoon? I can take that time off work.

Options the patient chooses, totals that follow

Put the options from the consultation side by side as a single choice, and the extras as optional lines. When the patient picks a crown or ticks a hygiene visit, the subtotal, tax, total and deposit change in front of them.

The option you discussed is selected when the estimate opens, labelled in your words, such as "As discussed at your consultation". Nothing is ranked or badged: the choice stays the patient's.

  • Single-choice groups for treatment options
  • Optional extras the patient ticks
  • A note on every line saying what the fee covers
  • A deposit as a percentage or a fixed amount, on signing

From the consultation to the expiry date

A treatment estimate is an offer with an end date. This is how a front desk might work one: your own process, drawn as an example. Nothing in it happens by itself.

  1. Day 0

    Sent after the consultation

Reception creates the estimate from the template for that treatment and sends it the same afternoon.

    Template + send
  2. Day 1

    Opened

Document tracking shows the patient opened it that evening.

    Tracking Essentials and up
  3. Day 3

    A question in a comment

The patient asks about a visit time, and reception answers in the document.

    Comments
  4. Day 16

    Expiring Soon

Unsigned estimates near their date appear in the Expiring Soon filter. Your team decides who to call.

    Expiring Soon Essentials and up
  5. Day 30

    The expiry date

An unsigned estimate expires. If the plan or the fees change, send a revised version to sign.

    Revise Last Version

Expiry dates and the Expiring Soon filter are on Essentials and up. Follow-up calls are your team's own process.

Every estimate about to lapse, in one list

The Expiring Soon filter lists the treatment estimates that expire in the next few days, who they're for and whether they've been opened, so the front desk can call before the offer ends.

What goes into a treatment estimate template

The parts clinics build into one estimate template per treatment, so every practitioner sends the same estimate.

  • The plan, in your words

Text blocks for the plan as your practitioner explains it. The clinical content is yours; QuoteCloud never writes it.

  • Every fee as a line

Price-table lines with notes, group subtotals, tax where it applies and treatment options as a single choice.

  • Fees from your catalogue

Your fee schedule in the product catalogue, so every practitioner quotes the same fee (Essentials and up).

  • What isn't included

Your own wording on rebates, insurance benefits and fees billed by others. QuoteCloud calculates none of them.

  • Locked acknowledgements

Statements the patient confirms before signing, in a block your team can't edit (Business plan).

  • An expiry date

The date the estimate ends, on the cover and in the Expiring Soon filter for the front desk.

Send a treatment estimate in five steps

What reception or the practitioner does after the consultation.

  1. Start from the template

Pick the estimate template for that treatment. The plan layout, acknowledgements and terms are already in it.

  2. Add the fees

Add each fee from your catalogue; offer options as a single choice and extras as optional lines.

  3. Say what's not included

Write your own wording on rebates, insurance benefits or fees billed by others.

  4. Set expiry and deposit

Set the date the estimate expires and the deposit to book, as a percentage or a fixed amount.

  5. Send, sign and pay

The patient chooses, confirms the acknowledgements, signs and pays the deposit. A changed plan goes out with Revise Last Version.

Treatment estimate questions, answered

What should a treatment plan and cost estimate include?

Most clinics include the plan in the practitioner's words, each fee as a line with a note, any options the patient chooses between, what the estimate does not include, an expiry date and the acknowledgements the patient confirms. In QuoteCloud these are content blocks in one estimate template per treatment, and the patient signs and can pay a deposit in the same document.

Does QuoteCloud calculate insurance or funding rebates in an estimate?

No. QuoteCloud does not calculate insurance or other benefits, gaps or rebates. If you want to mention them, write your own wording in the estimate, for example that no benefit is included and the patient should ask their insurer or funder. The price table calculates your fees, options, totals, any tax and the deposit.

Can patients choose between treatment options in the estimate?

Yes. Put the options in a single-choice group and extras as optional lines; the totals and deposit update as the patient chooses. The option you discussed can be selected when the estimate opens, labelled in your own words. Price tables are on the Essentials plan and above.

Can a treatment estimate expire?

Yes. Give each estimate an expiry date. The Expiring Soon filter shows the estimates that lapse in the next few days so your team can follow up before the offer ends. An expired estimate can't be signed; send a new or revised one if the patient still wants to go ahead.

What happens when the treatment plan changes after it's signed?

Use Revise Last Version to send a revised estimate with the new plan or fees, and the patient signs again. On the Business plan, version history keeps every version, so you can see what was agreed and when.

Is a QuoteCloud estimate an informed financial consent form?

QuoteCloud makes no compliance claim for any health regulation. It gives you a document with your own fees, wording and acknowledgements, signed online with a certificate of authenticity and an audit trail. Whether it meets your obligations is for your practice to check.
