Allied health practices use QuoteCloud to send a program as one document: sessions per week as a repeating charge, program options as a single choice, a session schedule, extras such as a report to the referrer, and an acknowledgement the client signs. The first sessions or a deposit are paid through Stripe or PayPal on signing.

The program options take turns: once a week on Tuesdays for $920, twice a week on Tuesdays and Fridays for $1,840, or twice a week plus a Wednesday hydrotherapy session for $2,400, each for 8 weeks. The amount paid on signing changes to match: $291.25, $521.25 or $661.25.

A session every second week, shown per fortnight, the intake session once-off, and a family session or a report on request. Jordan, his mother and his psychologist each sign; the practice's wording says no insurance or funding benefit is calculated.

Daniel picks how often he'll come in. The program line in the price table changes to match, the doctor's letter stays ticked, and the amount paid on signing updates before he signs.
The program the physio discussed is selected when it opens, labelled "As discussed at your assessment". Every option looks the same: no badges and no ranking, because the clinical advice happened in the room, not in the quote.

Therapy program questions, answered
Can a therapy program show sessions per week as a repeating charge?
Yes. Price tables support repeating price items with a period label beside once-off fees, so a session can show its charge per week or per fortnight, with the estimate over the program. The charges are shown in the document; QuoteCloud does not bill later sessions, so you invoice them from your own systems. Price tables are on Essentials and above.
Can clients choose between program options?
Yes. Put the programs in a single-choice group, such as once a week, twice a week or twice a week with a pool session, and the program fee and totals follow the client's choice. The option your clinician discussed can be selected when it opens, labelled in your own words, with no ranking.
Does QuoteCloud book sessions or send appointment reminders?
No. QuoteCloud sends the program and collects the signature and any payment on signing; your reception team or booking system books the sessions. A signed program can start a Zapier automation with the Recipient Signed Document trigger, where your booking or practice system has a Zapier connector.
Can a parent or guardian sign a psychology or OT program?
Yes. A document can have several signers, each with their own signature block, such as the client, a parent or guardian and the practitioner. Nobody needs an account to sign, and you can add an optional one-time passcode sent by email before signing.
Does QuoteCloud calculate insurance or funding rebates for sessions?
No. QuoteCloud does not calculate insurance or other benefits. Write your own wording in the program, for example that no benefit is included and the client should check with their insurer or funder. The price table calculates your fees, options, totals and the payment on signing.
Can we take the first session fees when the client signs?
Yes, from the Essentials plan. Set the payment on signing as a percentage or a fixed amount, such as the assessment and the first week, paid through Stripe or PayPal. QuoteCloud does not set up instalments, recurring billing or payment reminders.
