Getting started with QuoteCloud

Service agreements for funded support plans, signed by everyone

The supports, your rates and the schedule set out for the participant, with the participant and their nominee or guardian signing online.

Disability and support providers use QuoteCloud to send service agreements for funded plans: each support with your rate per week or fortnight, a schedule, your terms and consent wording in locked blocks, and the participant and their nominee or guardian each signing online. QuoteCloud does not claim or calculate any funding.

The people around one sample service agreement from a fictional provider, Kinfield Health. Sam Whitlock, the participant, is in the middle; Jenny Whitlock, his plan nominee, on one side; Leah Whitford, the coordinator who prepared and sent it, on the other. Sam and Jenny each sign. Below, the agreement: community access support for 8 hours ($536), an occupational therapy session ($193) and two social skills groups ($90) per fortnight, $819 a fortnight and an estimated $10,408 over 12 fortnights including a $580 assessment, with no payment on signing and no funding calculated.

A service agreement the participant can follow

Sam's agreement for 24 weeks of supports, read top to bottom. Every part is a block in the provider's service agreement template.

  1. Plain words first

An easy-read summary opens the agreement: who, which supports, what it costs, when, and Sam's say. It's the provider's own text, written once in the template.

What changes for a support provider

One agreement template, reviewed once; coordinators change supports and quantities, not the wording.

  • Your supports, your rates

Each support at your own rate per week or fortnight. You set the rates; QuoteCloud doesn't check them against any price guide or plan budget.

  • Participant and nominee

Several signers, each with their own signature block. No account needed, and an optional passcode sent by email.

  • Reviews and changes

A changed support goes out as a revised agreement with Revise Last Version, signed before it starts.

  • Wording reviewed once

Agreement and consent wording locked in the template, so coordinators change supports, not terms (Business plan).

  • Easy read first

A plain-language summary above the full agreement, in your own words, in every agreement.

  • A record of who signed

A certificate of authenticity and an audit trail on every signed agreement, on every plan.

Your supports and rates, their signatures

QuoteCloud sets out the supports and rates you agree with a participant and collects every signature. It doesn't claim, calculate or check funding, and it isn't connected to any government scheme: that conversation stays with you, the participant and their plan.

From the planning meeting to signed supports

Four steps for a coordinator, every time an agreement starts or changes.

  1. Start from the template

Open your service agreement template, with the easy-read summary, terms and consent wording already in it.

  2. Add the supports

Add each support from your catalogue at your rate, with the hours or sessions per fortnight and the dates.

  3. Send to everyone who signs

Add the participant and their nominee or guardian as signers. Each signs online or in person.

  4. Review and revise

At the review, or when a support changes, send a revised agreement with Revise Last Version to sign again.

Funded-plan agreement questions, answered

Can QuoteCloud be used for funded-plan or disability service agreements?

Yes, as a document: you set out the supports, your rates, the schedule and your terms, and the participant and their nominee or guardian sign online. QuoteCloud makes no claim of compliance with any funding scheme's rules and isn't connected to any scheme. Your agreement wording and rates are your own.

Does QuoteCloud claim or calculate funding?

No. QuoteCloud does not claim, calculate or check funding, plan budgets or price limits, and it has no plan-management features. The price table calculates your own rates, quantities and totals. Add your own wording asking the participant to check the rates against their plan.

Can the participant and their nominee or guardian both sign?

Yes. Add each as a signer with their own signature block. Nobody needs an account to sign, they can sign online or in person on your device, and you can turn on a one-time passcode sent by email before signing. Each signed agreement has a certificate of authenticity and an audit trail.

Can supports be shown per fortnight?

Yes. Each support can be a repeating charge with a weekly or fortnightly period label, beside once-off fees such as an assessment, with the estimate over the agreement. The charges are shown in the agreement only; you invoice the supports delivered from your own systems.

How do we change an agreement after a review?

Use Revise Last Version to send a revised agreement with the changed supports or rates, and the participant and nominee sign again before it starts. On the Business plan, version history keeps every version, so you can see what was agreed and when.

Where is participant information stored?

QuoteCloud states that it is hosted on Amazon Web Services with 256-bit encryption, that personal information is stored on servers in the USA, and that it is GDPR compliant. It makes no health-record or scheme-specific certification claim. Check your own privacy obligations before you start.
