Getting started with QuoteCloud

Signed proposals into your CRM and planning software

Through Zapier, Make or the QuoteCloud API, where your CRM, planning software or aggregator platform has a connector or an API.

QuoteCloud connects to the systems advice and broking firms use through Zapier, Make or the QuoteCloud API, from the Essentials plan, where those systems have a connector or an API. A document can be created from a template with data items and price rows, and signature, payment and form events can update your CRM. Pipedrive and Xero are native on Business.

The activity of a sample fee proposal, FA-A-2611, from a fictional advice firm, Ferrowby Advice & Lending, as the firm's team sees it in QuoteCloud: proposal opened by Alicia Brennan on her phone; fact-find submitted (Forms block, the Form Submitted on Document event); debt structure added, plus $330.00 including tax; signed by Tom and Alicia with a certificate of authenticity; $1,815.00 paid on signing via Stripe; and the client record updated in the firm's CRM through Zapier.

How each of your systems connects

Native where QuoteCloud has an integration; otherwise Zapier, Make or the QuoteCloud API, where your system has a connector or an API.

  • Your CRM

Pipedrive: native on Business. HubSpot and Zoho: through Zapier. Salesforce: through Zapier or the Sync add-on. Others: Zapier, Make or the API.

    Pipedrive and QuoteCloud
  • Your planning software

Through Zapier, Make or the API, where it has a connector or an API. Your advice documents stay in it; QuoteCloud sends the fee and engagement documents.

  • Your aggregator platform

Through Zapier, Make or the API, where it offers one. No lender system or rate feed is connected: brokers type loan figures in.

  • Xero and QuickBooks

Native on the Business plan, otherwise through Zapier. Ongoing fees are invoiced from your own accounting system.

    Xero and QuoteCloud
  • Stripe and PayPal

Fees paid on signing go to the Stripe or PayPal account your firm connects. Each team can connect its own Stripe account.

    Payments in QuoteCloud
  • Slack and Teams

Alerts in a channel for document updates, comments and actions, so your team sees a client's question as it arrives.

A signature, a payment or a fact-find, back in your CRM

Every step the Brennans take on their proposal is an event your CRM can hear about through Zapier. When Alicia submits the fact-find, the Form Submitted on Document trigger can add a note to her record. When both have signed and the fee is paid, the Recipient Signed Document and Document Payment Event triggers can move the client to your next stage.

You choose what each zap does. Nothing updates in both directions by itself.

  • Recipient First Viewed and Recipient Signed Document
  • Document Payment Event and Document Part Paid
  • Form Submitted on Document, Status Changed and Comment Event

Proposals created from your CRM, with the details already in

From a client record, a zap or your own API call can create a fee proposal from the template for that service, fill its data items with the clients' names, emails and the adviser, and add price-table rows: the initial advice fee and the ongoing fee as a repeating item, with labels, notes, prices and quantities.

The template supplies the layout, wording and locked blocks. The automation doesn't tick optional items or choose content blocks: the clients tick their own options, and the adviser checks the proposal before it's sent. This example is illustrative.

  • Create from a template you choose
  • Data items filled: names, emails, adviser, dates
  • Price-table rows added at creation
  • Per-document fee for API and Zapier documents

Before you connect anything

Four things to decide, so the first zap does what your team expects.

  • One template per service

Initial advice, ongoing service, broker proposal: each automation creates from the right one.

  • Fields to map

Which CRM fields fill which data items, and which fees become price-table rows.

  • Events to send back

Signed, paid or fact-find submitted, and what each should change in your CRM.

  • Who builds it

Your team in Zapier or Make, your developer with the API, or QuoteCloud professional services.

Questions about integrations

Does QuoteCloud integrate with financial planning software?

Not natively. QuoteCloud connects to planning software through Zapier, Make or the QuoteCloud API, where your planning software has a Zapier or Make connector or an API of its own. What can move depends on that connector. Zapier, Make and the API are on the Essentials plan and above.

Can QuoteCloud connect to our aggregator platform or lender systems?

Only through Zapier, Make or the API, where the platform offers a connector or an API. QuoteCloud has no direct integration with any aggregator or lender system and no rate or product feed. Loan options and figures in a broker proposal are typed in by the broker.

Which CRMs work with QuoteCloud?

Pipedrive is native on the Business plan. HubSpot and Zoho connect through Zapier, and Salesforce through Zapier or the Salesforce Sync add-on. Any other CRM with a Zapier or Make connector, or an API, can be connected the same way. Zapier and Make are on Essentials and above.

What can our CRM send to QuoteCloud?

Through Zapier or the API, a document can be created from one of your templates, its data items filled with details such as the clients' names and emails, and price-table rows added with a label, note, price and quantity. The template supplies the wording and layout; automations don't tick options or choose content blocks.

What can QuoteCloud send back to our CRM?

Zapier triggers include a recipient first viewing or signing a document, a payment event, a form submitted on a document, a status change and a comment. Each can update a client record, add a note or create a task in your CRM. Nothing updates in both directions automatically; each zap does what you set it up to do.

What does it cost to create documents through the API or Zapier?

Documents created through the API or Zapier carry a per-document fee: US$2.00 each for 1 to 1,000 a month, US$1.80 for 1,001 to 5,000 and US$1.60 above 5,000, on top of your plan. No per-document fee is stated for Make. Documents your team creates in QuoteCloud have no such fee.

Do Xero and QuickBooks connect?

Yes. Xero and QuickBooks are native integrations on the Business plan. On other plans they connect through Zapier, for example to create a contact or an invoice in your accounting system when a fee proposal is signed and paid. The invoice for an ongoing fee is still yours to raise.
