Getting started with QuoteCloud

Advice fee proposals with every fee in plain view

The scope, the initial advice fee and your ongoing service options in one proposal the clients read, choose from and sign.

With QuoteCloud a financial adviser sends a service and fee proposal from the firm's own template: the scope of the advice, the initial advice fee, optional extras the client ticks and the ongoing service fee as a repeating charge shown in the agreement. Both clients sign online and part of the initial fee can be paid on signing.

The fee summary of a sample service and fee proposal from a fictional firm, Ferrowby Advice & Lending, for Tom and Alicia Brennan, in two lanes. Once-off fees: the initial advice fee $3,300.00 and a home loan and debt structure review $330.00, both including tax, total $3,630.00. A bar fills to half, $1,815.00 paid on signing via Stripe, with the balance invoiced by Ferrowby when the advice is presented. Ongoing service, Standard: twelve monthly cells of $275 from February, marked as a repeating charge shown in the agreement and invoiced by Ferrowby, never billed by QuoteCloud.

Put the fee proposal together, then sign it as both clients

Pick the scope you agreed at the first meeting and the ongoing service level. The once-off and ongoing fees stay apart, the way your clients should read them.

In QuoteCloud the scope items are lines in your fee proposal template, the extras are optional lines the clients can tick, and the ongoing service is a repeating price item with a period label, shown in the agreement only (your firm invoices it). How Tom and Alicia read their fee proposal

Four parts of FA-A-2611, in the order the clients meet them. Each one is a content block in Ferrowby's fee proposal template.

  1. Adviser edits

First, what the advice will and won't cover

Retirement, pensions, insurance and cash flow are in. Tax and wills are left to the accountant and the solicitor, and the block says plainly that the advice itself is a separate document Nadia prepares in her own planning software.

    What our advice will cover

    Included

    • Retirement planning: when and how you might stop full-time work
    • Pensions: a review of your two funds
    • Personal insurance: a review of your current cover
    • Cash flow: what you spend now and after you stop work

    Not included

    • Tax returns and tax advice (your accountant)
    • Wills and legal documents (your solicitor)
    • Home lending (our broking team can quote this separately)

Your advice will be set out in a separate advice document prepared and signed off by Nadia Kerrow. This proposal covers our services and fees only, and is not advice.

Two ongoing service levels, one choice for the client

Put Standard and Comprehensive side by side as a single-choice group in the price table. The clients pick one, and the monthly fee and the figure over the 12-month agreement follow, while the once-off fees and the payment on signing stay as they were.

Neither level is labelled as the one to choose. The level Nadia discussed with them is simply the one selected when the proposal opens.

  • Single-choice groups and repeating price items in one price table
  • Monthly and 12-month figures shown, invoiced by your firm
  • No level marked as recommended: the clients choose

Six questions a fee proposal answers before the advice starts

Set them up once in your template, so every adviser's proposal answers them the same way.

  • What will the advice cover?

The scope from the first meeting, as lines the adviser ticks in, with anything extra as an optional line the clients can add.

  • What won't it cover?

Tax, legal and lending work left to others, said plainly, with the note that the advice itself is a separate document.

  • What does it cost now?

The initial advice fee and any extras, with tax shown and the total updating as the clients choose.

  • What does it cost afterwards?

The ongoing service fee per month and per year, how it's invoiced and how to end it, kept apart from the once-off fees.

  • How long is the offer open?

An expiry date on the proposal, so you can see in the Expiring Soon filter which ones are about to lapse.

  • How is it paid?

Part or all of the once-off fees on signing, to your own Stripe or PayPal account, if that suits the rules that apply to your firm.

Your fee proposal template, set up in five steps

Do this once per service, then every adviser starts from the same proposal.

  1. Start from a template

Open a template or send us your current proposal to convert during the trial.

  2. Add your scope lines

Everything an adviser might cover as lines, with extras as optional lines the clients can tick.

  3. Add the ongoing service

Each service level as a repeating price item in a single-choice group, with your wording on how it's invoiced.

  4. Set payment and expiry

Connect Stripe or PayPal, choose the share paid on signing and set how long the proposal stays open.

  5. Send to every client

Add both partners or every trustee as signers. You see when it's opened, signed and paid.

Fee proposal questions, answered

Can a fee proposal show the initial advice fee and the ongoing fee separately?

Yes. The initial advice fee and any extras are once-off lines with tax and a total. The ongoing service fee is a repeating price item with a period label, shown beside them per month. QuoteCloud shows the ongoing fee in the agreement only: your firm invoices it, and QuoteCloud never bills, collects or renews it.

Is a QuoteCloud fee proposal a regulated advice document?

No. The fee proposal sets out your services and fees before the advice starts. Your advice document is prepared and signed off in your own planning software. QuoteCloud gives no advice and makes no claim that a document meets the rules that apply to your firm: the wording in your template is your own.

Can clients choose between ongoing service levels?

Yes. Put each level in a single-choice group in the price table, such as Standard at $275 and Comprehensive at $440 a month. The client picks one and the figures follow. Nothing is labelled as the level to choose; the adviser's selection is simply the default. Price tables are on Essentials and above.

Can part of the advice fee be paid when the clients sign?

Yes, from the Essentials plan. Set a percentage or a fixed amount of the once-off fees, or the full amount, to be paid on signing through your own connected Stripe or PayPal account. QuoteCloud doesn't take instalments or send payment reminders. Check the rules that apply to your firm before taking fees this way.

Can both partners sign the same proposal?

Yes. Add each client as a signer and each signs in their own browser, with no account needed. You can see who has signed and who hasn't, and the signed proposal carries a certificate of authenticity and an audit trail. eSignatures are included on every plan.

Do fee proposals expire?

You can set an expiry date on each proposal, such as 30 days after it was prepared. The Expiring Soon filter lists the proposals and agreements approaching their date, so your client services team can follow up before they lapse. Expiry dates are on Essentials and above.
