Getting started with QuoteCloud

Questions from advisers and brokers, answered

What QuoteCloud does for advice and broking firms, what it costs, and what stays in your own systems.

QuoteCloud sends an advice or broking firm's own fee proposals, engagement letters, fact-finds and renewal agreements, signed online by every client, with fees paid on signing to the firm's Stripe or PayPal. It doesn't prepare advice or credit documents, calculate rates, bill ongoing fees or renew agreements by itself.

Documents, advice and what stays yours

What is QuoteCloud for financial planners and mortgage brokers?

QuoteCloud is proposal, agreement and eSignature software. Financial planners, advisers, wealth managers, mortgage brokers, asset finance brokers and paraplanning services use it to send their own service and fee proposals, engagement letters, fact-finds and renewal agreements from templates, signed online by every client, with fees paid on signing if they choose.

Does QuoteCloud produce regulated advice documents or credit disclosures?

No. QuoteCloud sends your firm's own engagement and fee documents. Regulated advice documents, credit disclosures and any other documents your licensing and disclosure obligations require are prepared in your own planning or credit systems and signed off by your adviser or broker. QuoteCloud makes no claim that any document meets the rules that apply to you.

Does QuoteCloud give financial advice or calculate rates and repayments?

No. QuoteCloud gives no advice and has no calculators, rate feeds or lender integrations. A broker types the loan options, rates and repayment estimates from each lender's information into the proposal, labelled as estimates. Returns, rates and outcomes are never promised by QuoteCloud; the figures in a document are the firm's own.

Can the client fill in a fact-find inside the proposal?

Yes, on the Business plan. The Forms block puts questions inside the document, so clients answer them in the same place they read and sign. Keep identity documents, tax ID numbers and account numbers out of it and collect them through your firm's secure process. A Zapier trigger can tell your CRM when a form is submitted.

Can we use our own engagement wording?

Yes. Templates hold your firm's own wording: scope, fees, terms, privacy and complaints. On the Business plan you can lock those blocks so advisers and brokers can fill in the scope and fees but can't edit the wording. Clients can tick acknowledgements in a Forms block before they sign.

What about fund audit, tax and structuring work?

Those engagements usually come from an accounting practice, so they're covered on QuoteCloud's accounting microsite: fund and compliance audits, tax and compliance, and structures and succession. Firms that offer advice and accounting can run both from one QuoteCloud account, with a team and a Stripe account for each.

Fees, payments and signing

Can a proposal show an initial advice fee and an ongoing service fee?

Yes. Price tables hold once-off lines, such as the initial advice fee, beside repeating price items with a period label, such as an ongoing service fee per month, plus optional lines the client ticks. The ongoing fee is shown in the agreement only: you invoice it, QuoteCloud doesn't bill it. Price tables are on Essentials and above.

Can clients pay the initial fee when they sign?

Yes. Set a payment on signing as a percentage of the fees or a fixed amount, paid by card through Stripe or PayPal into the account your firm connects. Check the rules that apply to your firm before taking fees this way. QuoteCloud takes no instalments, sends no payment reminders and never bills ongoing fees.

Can both partners, every trustee or each director sign?

Yes. Add every person who needs to sign. Each signs the same document in their own browser, on any device, with no account, and the document shows how many have signed. There's no signing order to manage. You can add a one-time passcode sent by email before signing.

Are QuoteCloud eSignatures legally binding?

QuoteCloud eSignatures are legally binding and eIDAS compliant. Each signed document carries a certificate of authenticity and an audit trail recording who signed and when. Whether an electronic signature suits a particular document under the rules that apply to your firm is for your firm to check; QuoteCloud makes no compliance claim beyond that.

Can a principal approve fee discounts before a proposal is sent?

Yes, on the Business plan. An approval rule triggered by the discount percentage or the total value holds a proposal In Review until a principal approves or declines it in the document workflow panel. Proposals that don't meet the rule go straight out, so principals only see the ones that need a second look.

Renewals, integrations and plans

Does QuoteCloud renew ongoing fee arrangements automatically?

No. Nothing renews by itself. Give each agreement an expiry date at its renewal date, use the Expiring Soon filter to find the ones coming up, and send each client a new version to read and sign, one by one or with bulk send. Arrangements may need renewing under the rules that apply to your adviser.

Does QuoteCloud connect to our CRM, planning software or aggregator?

Through Zapier, Make or the QuoteCloud API, from the Essentials plan, where your system has a connector or an API. HubSpot and Zoho connect through Zapier and Salesforce through Zapier or the Sync add-on. Pipedrive, Xero and QuickBooks are native on Business. No planning software, aggregator or lender system is integrated natively.

Can a document be created from our CRM?

Yes. Through Zapier or the API, a document can be created from your template, with data items such as the clients' names filled in and price-table rows added. Documents created through the API or Zapier carry a per-document fee from US$2.00. Automations don't tick options or choose content blocks; the template and the client do that.

How much does QuoteCloud cost?

Plans are priced in US dollars per user per month: Free at $0 for 2 documents a month, Starter at $14.95, Essentials at $39 and Business at $59. Enterprise has custom pricing. Essentials and Business start with a 14-day free trial with no credit card, and one template conversion is free during the trial.

How is client information kept secure?

QuoteCloud runs on AWS with 256-bit encryption, supports GDPR requirements and records an audit trail for every signed document. Signers can be asked for a one-time passcode by email. Keep tax ID numbers, identity documents and account numbers out of documents and collect them through your firm's secure process.
