Getting started with QuoteCloud

Rolling out QuoteCloud across your advisers and brokers

Templates converted, your wording locked, payments connected and the team trained, in a plan sized to your firm.

A typical QuoteCloud rollout for an advice or broking firm converts the fee proposal and engagement letter templates, locks the engagement wording, sets roles and teams, connects Stripe or PayPal for fees on signing, sets approval rules on Business and connects the CRM through Zapier, then trains the team. One template conversion is free during the trial.

A sample service and fee proposal sent from a fictional firm's template, Ferrowby Advice & Lending, plays through what happens once QuoteCloud is in place: Tom and Alicia Brennan open it, tick the optional home loan and debt structure review, and the total updates to $3,630.00 including tax; they both sign, and $1,815.00, half the once-off fees, is paid on signing via Stripe. The ongoing service fee of $275 a month is shown in the agreement.

A four-week sample plan for an advice and broking firm

A sample plan for a fictional firm with four advisers and brokers. Each phase says what you bring, what QuoteCloud gives you and how you know it's done.

  1. Phase 1, Week 1

Convert your fee proposal and engagement letter

    You bring
Your current fee proposal and engagement letter, and your branding.
    QuoteCloud gives you
One template converted free during the trial (Essentials, Business, Enterprise).
    Done when
An adviser can start a branded fee proposal from the template.
  2. Phase 2, Weeks 1–2

    Lock your wording

    You bring
Your approved engagement terms, acknowledgements, privacy and complaints wording.
    QuoteCloud gives you
The content library, with locked blocks advisers can use but not edit.
    Done when
Every template carries the same locked wording.

    Content locking: Business

    Engagement letters & terms
  3. Phase 3, Week 2

    Set roles, teams and payments

    You bring
Who advises, who brokes, who runs client services, and your Stripe or PayPal accounts.
    QuoteCloud gives you
Custom user roles, teams, and a Stripe account per team for fees paid on signing.
    Done when
A test proposal takes a fee into the right account.
  4. Phase 4, Week 3

Set approvals and connect the CRM

    You bring
Your discount limit, who approves, and the CRM fields that matter.
    QuoteCloud gives you
Approval rules on discount % or total value (Business), and Zapier, Make or the API for your CRM.
    Done when
A discount over the limit waits In Review; a signed proposal updates the CRM.
  5. Phase 5, Week 4

    Pilot, train and go live

    You bring
Two advisers or brokers and real clients for the pilot, then the whole team.
    QuoteCloud gives you
A 45-minute training session on paid plans, and tracking and comments on the pilot documents.
    Done when
Everyone sends from the templates, and the old Word versions are retired.

Sample planning, not a promise: your timing depends on your templates, your wording and your CRM.

Advice and broking teams, each paid into its own account

Many firms run advice and broking side by side. Set each up as a team in QuoteCloud with its own templates and its own connected Stripe account, so an initial advice fee and a broking fee land in the right place.

Custom user roles decide who can edit templates and the content library and who only sends. Fees paid on signing go to the account your firm connects; check the rules that apply to your firm before taking fees this way.

  • Teams, each with its own Stripe account
  • Custom user roles for editing and sending
  • A percentage or a fixed amount on signing

Your discount limit, set once in week three

A principal sets the rule during rollout: any discount over 10% goes to a director before it can be sent. From then on, Nadia's 15% referral discount for the Whitlams waits In Review until Andrew decides.

It's one of the decisions that stays with the firm, alongside your wording and who can edit it. QuoteCloud applies the rule; it doesn't decide the limit for you.

Questions about rolling out QuoteCloud

How long does it take to roll out QuoteCloud in an advice firm?

It depends on how many templates you need and whether you connect a CRM. Many firms plan it over a few weeks: templates first, then wording, roles and payments, then approvals and integrations, then a short pilot and training. The plan on this page is a sample, not a promise.

What help does QuoteCloud give during implementation?

One template conversion is free during the trial on Essentials, Business and Enterprise, and paid plans include a 45-minute training session. Onboarding services, professional services and premium support are available on request, and Enterprise includes implementation support. Prices for those services aren't published: ask the QuoteCloud team.

Does QuoteCloud set up our compliance settings?

No. QuoteCloud doesn't configure or check anything for advice or credit rules. Your firm decides its own engagement wording, acknowledgements, fee limits and who approves discounts. QuoteCloud gives you the tools to apply those decisions consistently: locked blocks, approval rules, custom roles and expiry dates.

Can our advice and broking teams take payments into different accounts?

Yes. Set up teams in QuoteCloud and each team can connect its own Stripe account, so initial advice fees and broking fees paid on signing go to the right business. Fees go to the Stripe or PayPal account your firm connects; check the rules that apply to your firm before taking fees this way.

Which plan should an advice firm choose?

Essentials, US$39 per user per month, covers price tables, templates, the content library, payments, bulk send, expiry dates and Zapier, Make and the API. Business, US$59, adds approval workflows, content locking, the Forms block for fact-finds, version history and native CRM and accounting integrations. Both start with a 14-day free trial.

Do our clients need QuoteCloud accounts?

No. Clients open each document from a link in their email, read it on any device, tick any options, fill in the fact-find and sign in their own browser. You can add a one-time passcode by email for extra security. Only your own team needs QuoteCloud user accounts.
