Getting started with QuoteCloud

Engagement letters in your own locked wording

Your engagement terms as locked blocks no one on the team can change, sent with the services and fees and signed by every client.

QuoteCloud sends your firm's engagement letter from a template: who you act for, the services, the fees, privacy and complaints, each in a content block your compliance manager locks so advisers can't edit it (content locking, Business plan). Clients tick your acknowledgements and every client signs online.

A sample engagement letter from a fictional firm, Ferrowby Advice & Lending, for Tom and Alicia Brennan. Its clauses are stacked as strips: who we act for, what we'll do, fees, your information and ending the engagement. A padlock closes on each strip in turn, because the firm's wording sits in locked blocks the team can't edit. Then Tom and Alicia's signatures draw on the last strip and a card shows 2 of 2 signed, with a certificate of authenticity.

Wording settled once, in locked blocks every adviser uses

Your director or compliance manager writes the engagement clauses once and saves them in the content library. Advisers build each letter from them and fill in only the parts about the client.

  • Locked where it matters

Locked blocks can't be edited in a letter. Only the roles you allow can change the wording in the library.

    Content locking: Business

  • One library for the firm

Every adviser starts from the same clauses, so a letter from one reads like a letter from another.

    Content library: Essentials and up

  • Room for the client

The cover, the scope and the names stay editable, so each letter is still about one client.

The letter Tom and Alicia read and signed

Six clauses in Ferrowby's own words, from who the firm acts for to how to raise a concern. Tom and Alicia tick the two acknowledgements, then each signs in their own browser, on their own time.

The letter refers to the fee proposal for the scope and fees, so the two documents always agree. You can send them together or one after the other.

Change the wording, and it's a new version to sign

When Andrew updated the complaints clause, he changed it once in the locked block in the library. Tom and Alicia's letter had already gone out, so Nadia sent a new version, and they signed v2.

Version history keeps v1 and v2 on record, with who changed what and when. QuoteCloud doesn't review your wording: it keeps every version the clients saw.

  • Version history on every document
  • Earlier signed versions stay on record
  • Revise Last Version to send the new wording

Set up your engagement letter in four steps

The director or compliance manager does this once; advisers use it every time.

  1. Write the clauses

Paste your engagement wording into text blocks, one clause per block, and save them in the content library.

  2. Lock them

Lock each clause so it can't be edited in a letter, and choose which roles may change the library version.

  3. Add the acknowledgements

Your acknowledgement wording as tick boxes with the Forms block, locked too.

  4. Build the template

Put the cover, the locked clauses, the acknowledgements and a signature block for every client in one template.

Engagement letter questions, answered

How do I stop advisers changing our engagement wording?

Save each clause as a block in the content library and lock it. A locked block can't be edited inside a letter, and only the roles you allow can change the library version. Content locking is on the Business plan; the content library is on Essentials and above.

Does QuoteCloud check that our engagement letter is compliant?

No. The wording is your firm's own, written or approved by your director, compliance manager or lawyer. QuoteCloud keeps it consistent with locked blocks, records every version and collects the signatures. It doesn't review the wording or make any claim that it meets the rules that apply to you.

Can both clients sign the engagement letter?

Yes. Add every client as a signer: both partners, each trustee or each director. Each signs in their own browser with no account, and you can see who has signed. The signed letter carries a certificate of authenticity and an audit trail. eSignatures are on every plan.

Can clients tick acknowledgements before they sign?

Yes. Put your acknowledgement wording into a Forms block with tick boxes and lock it, so the wording can't change. Clients tick each one before they sign, and the answers come back with the signed letter. The Forms block and content locking are on the Business plan.

What happens when we change our engagement wording?

Change the locked block in the library once and every letter sent from then on uses it. For a letter already sent, send a new version with Revise Last Version; version history keeps both on record. Version history is on the Business plan.

Should the engagement letter and the fee proposal be one document?

Either works. Some firms send the engagement terms inside the fee proposal, so clients sign once. Others keep a separate engagement letter that refers to the proposal for the scope and fees. Both come from your own templates, and every client signs each one.
