Fee discounts approved before the client sees them
A rule set once: a proposal with a discount or total over your limit waits In Review until a principal approves it.
- 5/5 on G2
- 4.2 on Capterra
- Building QuoteCloud since 2013
On the Business plan, QuoteCloud's approval workflow holds a proposal In Review when it meets your rule, for example a discount percentage over 10% or a total value over your limit. The principal approves or declines it in the document workflow panel, and only then can the adviser send it to the client.
A sample service and fee proposal from a fictional advice firm, Ferrowby Advice & Lending, for Sarah and Josh Whitlam, behind a checklist panel headed Before it can be sent. The items tick off one by one: the $3,000 initial advice fee, a 15% referral discount, the rule matched (Discount Percentage greater than 10%) and the request sent to Andrew Moffat, director. The panel ends with the proposal's status, In Review, waiting for his approval.

A 15% discount waits In Review for the director
Nadia offers the Whitlams a referral discount of 15% on the initial advice fee. Ferrowby's rule says any discount over 10% needs a director, so the proposal moves to In Review and the request goes to Andrew.
Andrew reads the fees in the proposal itself and approves or declines it in the document workflow panel. The log records who asked, when, and what was decided. Only once it's approved can Nadia send it to Sarah and Josh.

Two rules most advice firms set
Rules are set once by an administrator, in Settings, and apply to every adviser and broker in the firm.
Discount percentage
Any proposal with a discount over your limit, such as 10%, goes to a principal. Referral, family or long-standing client discounts within the limit go straight out.
Total value
Any proposal over an amount you choose, such as a large initial advice fee for a complex family group, gets a second look before it's sent.
Who approves
The approvers your rule names, for example everyone with the director role. Every approver selected must approve, and any rejection returns the proposal to the adviser.
What the adviser does
Nothing extra while the proposal is within your limits. Over them, the adviser requests approval and sends once it's approved.
What principals get from an approval rule
Consistent fees across advisers, without a principal reading every proposal.
Set your first discount rule during the trial
The Business plan starts with a 14-day free trial, no credit card required. Set a discount rule, send a test proposal and approve it yourself.

Test the workflow with a sample proposal, then set it to Active.
- 5
Tell your advisers
Proposals over the limit now show In Review until a principal approves them.
Questions principals ask about approvals
What triggers a fee discount approval in QuoteCloud?
A rule your firm sets in the approval workflow. Advice firms usually trigger on the discount percentage, for example any discount greater than 10%, or on the total value, for example any proposal over an amount you choose. When a proposal meets the rule it moves to In Review and goes to the approvers before it can be sent.
Which plan includes approval workflows?
The approval workflow is on the Business plan, US$59 per user per month, and on Enterprise. Business also includes content locking, version history and the Forms block. Essentials and Business both start with a 14-day free trial with no credit card, so you can set up and test a discount rule before you buy.
What does the principal see when a proposal needs approval?
The proposal shows In Review and the approver receives a request. They open the proposal, read the fees and the discount in the document itself, and approve or decline it in the document workflow panel, which also keeps a log of the request and the decision. Once approved, the adviser can send it to the client.
What happens if the principal declines the discount?
The proposal returns to the adviser to update, for example by bringing the discount within your limit, before it can be sent. Nothing reaches the client in the meantime. On the Business plan, version history keeps the earlier versions, so you can see what was proposed and what was finally sent.
Do small proposals still go straight out?
Yes. A proposal that doesn't meet the rule is never held. An adviser's proposal with no discount, or a discount within your limit, can be sent as soon as it's ready. Only the proposals your rule picks out wait for a principal, so the principal isn't asked to check every proposal.
Can the client see the approval?
No. The approval happens before the proposal is sent, so the client only ever receives the approved version. They see the fees and the discount as set out in the proposal, then accept and sign it in the usual way, with no account needed.
