Getting started with QuoteCloud

CRM, accounting and job integrations for solar

HubSpot, Pipedrive, Xero, QuickBooks, simPRO and ServiceM8, each connected the way it really connects.

QuoteCloud connects to the systems solar retailers use: HubSpot and Zoho CRM through Zapier, Pipedrive directly, Xero and QuickBooks Online natively on the Business plan or through Zapier, simPRO and ServiceM8 through Zapier, and any other system through Zapier, Make or the QuoteCloud API where it has a connector.

Two views of Tallowwood Solar & Storage's signed proposal TS-2614 for Jess and Arlo Penhaligon (a fictional business). Behind, the price table: 15 panels, a 5 kW hybrid inverter, racking, isolators, monitoring, installation, a rebate line with the installer's own figure and the 10 kWh battery chosen, $14,575.00 including tax with a 15% deposit. In front, the document's activity: sizing sheet filled in, opened on the tablet, battery chosen, both homeowners signed with a certificate of authenticity, and the $2,186.25 deposit paid via Stripe.

Every system, and how it really connects

The route matters: it decides which plan you need and what moves between the systems. Here is each one, plainly.

  • HubSpot · through Zapier

A signed or paid proposal can update the deal through a zap. HubSpot and QuoteCloud.

  • Zoho CRM · through Zapier

The same Zapier triggers move the result into Zoho. Zoho CRM and QuoteCloud.

  • Pipedrive · connects directly

A direct connection, with native CRM integrations on the Business plan. Pipedrive and QuoteCloud.

  • Xero · native on Business

Native on the Business plan, otherwise through Zapier, for the balance invoice. Xero and QuoteCloud.

  • QuickBooks Online · native on Business

Native on the Business plan, otherwise through Zapier. QuickBooks Online and QuoteCloud.

  • simPRO · through Zapier

A signed proposal or paid deposit can start an install job. simPRO and QuoteCloud.

  • ServiceM8 · through Zapier

The same idea for crews who run their jobs in ServiceM8. ServiceM8 and QuoteCloud.

  • Google Calendar · Zapier, one way

Install dates from QuoteCloud to the calendar, never back. Google Calendar and QuoteCloud.

  • Slack and Microsoft Teams

Alerts for document updates, comments and actions, in the channel your team already reads. Slack and QuoteCloud.

One signature, three systems updated

An illustrative set-up for Tallowwood. When Jess and Arlo sign, the Zapier trigger Signed Document marks the HubSpot deal won. When the deposit is paid, Document Payment Event creates the install job in simPRO and puts the install date in Google Calendar. After the install, Bree raises the balance invoice in Xero, connected natively on the Business plan.

What moves is the document's details: the client, the proposal, its status and the payment. The sizing sheet stays in the proposal as the record of how the system was sized. Nothing is described as synced: each step is a trigger and an action you choose.

  • Signed Document → HubSpot deal won (Zapier)
  • Document Payment Event → simPRO job (Zapier)
  • Install date → Google Calendar (Zapier, one way)
  • Balance invoice in Xero (native on Business)

Set up once, in the rollout

Nobody retypes a signed solar proposal

The deal, the install job and the invoice each start from the signed document, through the route each system really has. Map it once during implementation and every consultant's sale follows the same path.

Integration questions

Does QuoteCloud integrate with HubSpot for solar sales?

Yes, through Zapier on Essentials and up. Zapier triggers such as Signed Document, Document Payment Event and Status Changed can update a HubSpot deal, and a new deal or form can create a proposal from your template. Zoho CRM connects the same way.

Does QuoteCloud connect to Xero or QuickBooks?

Yes. Xero and QuickBooks Online connect natively on the Business plan, and through Zapier on other plans. Solar retailers use them for the balance invoice after the install: the deposit is paid on signing in QuoteCloud, and the rest is your own invoice from your accounting system.

Can a signed proposal create a job in simPRO or ServiceM8?

Yes, through Zapier. A trigger such as Signed Document or Document Payment Event can start a zap that creates the install job in simPRO or ServiceM8 with the client and proposal details. There's no direct simPRO or ServiceM8 integration; it's a zap you set up.

What do Slack and Microsoft Teams alerts cover?

Alerts for document updates, comments and actions, posted to the channel your team chooses. They're useful for knowing a household has commented or acted on a proposal. For a specific step after signing or payment, use the Zapier triggers instead.

Do the sizing sheet's numbers go to my CRM?

The sheet stays in the proposal as the record of how the system was sized. What other systems receive through Zapier or the API are the document's details, such as the client, status and payment events. Moving individual spreadsheet cells to another system isn't a documented feature, so don't plan a set-up around it.

Can QuoteCloud connect to my solar design software?

Only where that software has a Zapier or Make connector or an API of its own. QuoteCloud has no dedicated connection to solar design tools. Through those routes, your tool can create a proposal from your template with data items and price rows.
