Getting started with QuoteCloud

Commercial solar proposals that pass the boardroom

Sized from a year of load data in your sheet, approved internally over your limit, signed by two directors with a programme to switch-on.

QuoteCloud lets commercial solar contractors size systems in a Spreadsheet block from the customer's monthly or interval load data, connect cells to the panels, racking and installation lines, route proposals over a set total for internal approval (Business plan), show the install programme as a Gantt chart, and collect two directors' signatures and a deposit.

A technical drawing of a winery shed from a fictional business, Tallowwood Solar & Storage, with rows of panels filling it to its limit. Beside it, the installer's Load tab shows twelve months of electricity use as bars, highest at harvest; the System tab's cell B5, =MIN(B4,ROUNDUP(B2/B3/0.8*1000/440,0)), finds the load asks for 121 panels but the roof fits 112, so 112 are quoted; and the price card totals $58,157.00 inc tax, which is over the business's $40,000 approval limit, so the proposal is In Review until the director approves it.

Greystone Hollow's proposal, part by part

What the general manager and a director read before they sign: the load, the sizing, the price, the programme.

  1. Opens on their roof

A cover with the shed roof and a supply-price validity date set as the proposal's expiry.

    Commercial solar proposal

49.3 kW of solar and a battery for the winery

Prepared for Greystone Hollow Wines · Prepared Mon 19 Oct 2026 · Supply prices valid until Mon 16 Nov 2026

Sized from twelve months of your interval data: the cool room and the bottling line run through the day, so most of what the array makes is used on site.

  2. From their data

A year of load, typed or imported

Twelve months of kWh, the daytime share and the peak demand, from the customer's interval export or typed from bills. Your demand assumption is labelled as one.

Over your limit, a director approves first

Set an approval rule on total value or discount percentage. Oskar's proposal is over $40,000, so it sits In Review until Marguerite approves it, and only then goes to Greystone Hollow.

If the customer asks for the battery to come out, the revised total is still in the proposal, with the sheet's payback estimate following it.

  • Triggers: total value or discount %
  • In Review until approved
  • Then sent to both signers

The programme is part of what they sign

Commercial customers plan around harvest, shutdowns and their own trades. Put your install programme in the proposal as a Gantt chart, so approvals, ordering, crane day and handover are agreed with the price.

Grid approval and compliance stay with your team; the chart shows when you expect them, in your words.

  • Weeks from signing to handover
  • Milestones for crane day and handover
  • Revise and resend if dates move

What commercial customers need to see

And the QuoteCloud features that put it in the proposal.

  • The load behind the size

A Load tab with twelve months, imported from .xlsx or typed, feeding your sizing.

  • An internal sign-off

Approval on total value or discount before it's sent (Business).

  • More than one signer

A general manager and a director, each signing when it suits them.

  • A programme

Your install plan as a Gantt chart (Business).

  • Method and safety

Method statements and safety notes from your content library.

  • Terms nobody edits

Lock your terms blocks with content locking (Business).

From load data to two signatures

How a commercial team sends a proposal once the template is set up.

  1. Import the load

Paste or import twelve months of kWh and peaks into the Load tab.

  2. The sheet sizes it

Your formulas cap the array at the roof and price the lines.

  3. Add the programme

Update the Gantt chart and method statements for this site.

  4. Approval

Over your limit, it waits In Review for a director (Business).

  5. Both sign

Both signers sign and the deposit is paid on signing.

Commercial solar questions

Can I size a commercial system from the customer's interval data?

Yes, in your own Spreadsheet block. Import the export as .xlsx or paste monthly totals and peaks into a Load tab, and your formulas size the array, cap it at the roof and price the lines. QuoteCloud doesn't fetch meter data or tariffs; it runs the sheet you build.

Can large proposals be approved before they're sent?

Yes, on the Business plan. Set approval rules on total value or discount percentage; a proposal that triggers one waits In Review until an approver accepts it, then it can be sent.

Can two directors sign the same proposal?

Yes. Add every signer the customer needs. Each signs with a legally binding eSignature, online or in person, and the signed proposal carries a certificate of authenticity and audit trail. QuoteCloud doesn't enforce a signing order.

Can I show demand or tariff savings?

Only as your own estimates in your sheet, labelled that way. QuoteCloud doesn't calculate tariffs, demand charges or tax depreciation, and doesn't offer finance or power purchase agreements.

Can the proposal include our install programme?

Yes. Add a Gantt chart block (Business plan) with your stages and milestones. Grid approval, compliance and accreditation remain your business's own; the chart shows your plan for them.
