This FAQ answers common questions from real estate agencies about QuoteCloud: building listing and appraisal proposals, setting out comparable sales and commission as content, campaign packages vendors choose, several vendors signing, the campaign deposit on signing, tracking, bulk follow-ups, CRM connections, plans and the free trial.
Listing and appraisal proposals
What is QuoteCloud for real estate agencies?
QuoteCloud is proposal, quoting and eSignature software that agencies use for listing and appraisal proposals, property management proposals, commercial leasing proposals and buyers' agent engagements. You build branded templates once, add comparable sales, commission options and a campaign vendors can tailor, and every vendor signs online, with the campaign deposit paid on signing.
Does QuoteCloud replace our agency agreement?
No. The listing proposal sits alongside your agency's own agency agreement, which you prepare and have signed as usual. QuoteCloud does not provide statutory forms or check documents against your local requirements. The proposal is your pitch: the evidence, method of sale, commission options and the campaign the vendors choose.
Does QuoteCloud pull comparable sales or portal data?
No. Comparable sales and price guides are the agent's own content: type them into a table in the proposal, or have your CRM send them as data items through the QuoteCloud API or Zapier. QuoteCloud does not connect to property portals or sales data providers, so the evidence is always the evidence you chose.
Is there a listing proposal template?
Not in the public library. Agencies build their own from a proposal template, adding comparable sales, method of sale, commission and campaign sections, and save the parts to the content library. During the trial on Essentials, Business or Enterprise, QuoteCloud converts one of your existing templates, such as your listing kit, for free.
Can one proposal cover auction and private treaty?
Yes. Set out each method of sale with how you'd run it and the campaign plan to the date, and recommend one. Many agencies keep a template per method instead, built from the same content library blocks, so the agent starts from the one that suits the property.

Campaigns and commission
Can vendors choose their own marketing campaign?
Yes. Put campaign packages in a price table as a single choice and upgrades such as drone, video, virtual styling, portal upgrades or a letterbox drop as optional items. The vendor picks and ticks, and the vendor-paid advertising subtotal, tax and total recalculate as they go. Price tables are on Essentials and above.
How is commission shown?
As content. Set out your flat or incentive options with worked examples at the prices you choose, in text or a table block. Commission is paid at settlement under your agency agreement, so keep it out of the price table: the price table carries the campaign, and the deposit is a percentage or fixed amount of that.
Can we stop agents changing commission wording?
Yes, on the Business plan. Save your commission options to the content library and lock the block: agents can add it to a proposal but not edit it. Where agents can discount, an approval rule can hold the proposal In Review until the principal approves, triggered by discount percentage or total value.
Can our campaign price list be loaded once?
Yes. Import your campaign items into the product catalogue from a CSV file, with SKUs, categories, prices and your cost, then add them to proposals from the catalogue. Your cost and margin stay hidden from vendors. The product catalogue and price tables are on Essentials and up.
Where should the campaign funds be paid?
Into the Stripe or PayPal account you connect, and each team can connect its own Stripe account. QuoteCloud does not hold funds or do trust accounting, and it makes no claim about how campaign funds must be held: decide that with your accountant, and connect the account that fits.
Signing, deposits and tracking
Can both vendors sign, and can they pay the campaign deposit?
Yes. Add each vendor as a signer with their own signature block; they sign online with no account, and the signed proposal carries a certificate of authenticity and audit trail. With Stripe or PayPal connected (Essentials and up), the campaign deposit, as a percentage or a fixed amount, is paid on the same page after signing.
Can vendors sign in person at the appraisal?
Yes. A vendor can sign on the agent's tablet or laptop in person, as well as online in their own inbox. Signing works in any modern browser, needs no account, and can require a one-time passcode sent to the signer. eSignatures are on every QuoteCloud plan, including Free.
Do vendors have to sign in a set order?
No order is set. Each vendor has their own signature block and signs when they're ready, and the proposal shows how many have signed. If your agency agreement needs a particular signing process, keep running that agreement through your usual system.
Will I know when the vendors open the proposal?
Yes. QuoteCloud shows when a proposal is opened and how long it is read, and the document history records each recipient's activity, so you can call while it is fresh. Expiry dates and the Expiring Soon filter show which listing proposals are about to lapse. Tracking is on Essentials and above.
Can we follow up every recent appraisal at once?
Yes, with bulk send on Essentials and up. One follow-up template is sent as a personalised copy to each vendor you appraised, with their name, address and price guide, and you see who opened and who accepted. Bulk send has volume-based costs. QuoteCloud does not send automatic reminders.

What QuoteCloud doesn't do for an agency
So you know where QuoteCloud stops and your other systems carry on.
No sales or portal data
Comparable sales, leasing evidence and price guides are typed in by the agent or sent from your own systems. Nothing is pulled from portals or data providers.
No trust accounting
No rent collection, bond handling or trust accounts. One payment on signing goes to your Stripe or PayPal account; decide with your accountant how it's received.
No statutory forms
The proposal sits alongside your own agency or management agreement. QuoteCloud doesn't supply statutory forms or check documents against your local rules.
No commission charged
Commission, leasing and success fees are content, paid at settlement, on lease or on exchange under your agreement. Only the campaign or engagement fee is in the price table.
Property management, leasing and buyers' agents
Does QuoteCloud handle trust accounting or collect rent?
No. QuoteCloud sends proposals, collects signatures and can take one payment on signing through your Stripe or PayPal account. It is not a trust accounting, rent collection or security deposit system, so keep using your property management and trust software. A Zapier or Make step can add a new landlord there when they sign.
Can a landlord choose a management option in the proposal?
Yes. Set your management options out side by side with the services each includes, as a single choice the landlord makes before signing. Your fees are a percentage of rent under your management agreement, so they are shown as content; letting costs and optional extras go in a price table.
Can commercial proposals be approved before they go?
Yes, on the Business plan. An approval workflow holds a proposal In Review when its total value or discount passes the threshold you set, and named approvers, such as the principal, approve or decline before it can be sent. Each director of the landlord company can then sign in their own signature block.
Can a buyers' agent take the engagement fee on signing?
Yes. Put the engagement fee and optional services, such as auction bidding, in a price table and set the payment on signing to the full amount through Stripe or PayPal. Both buyers sign online. The success fee stays content with worked examples, invoiced on exchange under your engagement terms.
Can we pitch project marketing to a developer?
Yes. A project marketing proposal can set out the release stages, the marketing budget in a price table and your fee as content, with a Gantt chart of the campaign on Business. An approval rule can route it to the principal before it goes, and the developer's directors each sign online.
CRM, plans and set-up
Does QuoteCloud connect to our real estate CRM?
Through Zapier, Make or the QuoteCloud API, from the Essentials plan: your CRM can create a proposal from a template with data items and price rows, and triggers such as Recipient Signed Document or Document Payment Event can update the listing. Pipedrive, Xero and QuickBooks are native on Business. No named real estate CRM integration is built in.
Can an automation choose the vendors' campaign for them?
No. An automation creates the proposal from the template you name, fills data items and can add price-table rows, but it does not tick upgrades or choose content blocks. The vendors choose their own package and upgrades in the proposal, and the template supplies its sections.
Which plan does an agency need?
eSignatures are on every plan. Essentials (US$39 per user a month) adds price tables, the catalogue, payments, tracking, bulk send, and Zapier, Make and the API. Business (US$59) adds approvals, content locking, version history, the Forms block and native Pipedrive, Xero and QuickBooks integrations. Enterprise is priced to suit larger groups.
Is there a free trial, and help to set up?
Yes. QuoteCloud has a free plan and a 14-day free trial of Essentials or Business with no credit card. During the trial QuoteCloud converts one of your templates for free, paid plans include a 45-minute training session, and onboarding and professional services are available for larger rollouts.
Is our vendors' information secure?
QuoteCloud is hosted on Amazon Web Services, with personal information stored on servers in the USA and 256-bit encryption. Signatures are legally binding and eIDAS compliant, every signed document carries a certificate and audit trail, and QuoteCloud does not store card details: payments go through Stripe or PayPal.
